The file is part of a hosted service via the internet. That is, I was
told the data is in an Excel spreadsheet and I was told the nature of
the field currently in question. We don't have direct access or control
over the data file. We can link to it and use it in our merges but
that's pretty much it.  I can insert the communication field into a
merge document but I cannot manipulate the data source or even see it.
If The data was available to me in Excel, I could get what I needed
using the filter or creating an extra column to extract just what I
want. Even now, I could probably set up a Word catalog file and turn
that into an Excel worksheet then manipulate that but it's not something
we could turn over to someone with no experience or vested interest in
learning how to do it.  My job here is to make data handling such as
this as mindless as possible so we can bring in students and temps to do
perform various tasks without them having much experience or knowledge
and without any of us having to do much in the way of supervision.

I agree with Anne, Glenda...the filter method both she and I suggested
would work really easily.  And, I'm not sure what you mean when you say
you don't want to use it cuz the person who inherits it won't be able to
do it...can you explain that?

Why would the person who inherits it find it easier to clear your field
code than to clear the filter?

Filters in Word Mail Merges are very similar to AutoFilters in
Excel...you just turn them on and off.=20

See my reply earlier.  You don't need to use IF if you use the method I
suggested.  The filter method automatically offers you the option to say
if the field includes an @, rather than only consists of it.
