hmm well what exactly is and excange server?
I know they share other documents from the main computer...

If memory serves properly, sharing a calendar the conventional way
requires the touch of an administrator at the console of an Exchange
Server that is hosting the calendar. Is there one in service there?

If not, there is also the Net Folders approach. I have never tried this
so it will definitely be an experiment for you unless someone else here
has some experience with it. I'll do a no-no and paste the Microsoft
step-by-step for doing this as I find it difficult to improve on the
MSKB

SUMMARY
=======

If you want to share information, such as a group events schedule, you
can use
Outlook Net Folders. To share a calendar, all subscribers (members) must
also
use Outlook.

This article describes how to share an Outlook calendar by using Net
Folders.

MORE INFORMATION
================

First, you must create a group calendar. After you create the group
calendar,
you must send everyone that you want to be a subscriber a copy of the
group
calendar Net Folder. Each person in the group can enter events,
activities, and
other information if you grant them the appropriate permissions. Each
time an
appointment or event is added or changed, each member's shared calendar
is
updated automatically. To share a calendar, you must store the calendar
folder
in a personal folder file (.pst) on your computer.

NOTE: You cannot share folders that are stored on a Microsoft Exchange
Server
computer.

Step 1: Create the Group Calendar
---------------------------------

1. On the File menu, point to New, and then click Folder.

2. In the Name box, type a name for the folder.

3. In the "Folder contains" list, click Appointment items.

4. In the "Select where to place the folder" list, click a location for
the
  folder.

Step 2: Publish the Net Folder
------------------------------

1. In the Folder List, click the group calendar folder that you want to
share.

2. On the File menu, point to Share, and then click This folder.

3. Click Next, and then click Add.

4. In the "Type name or select from list" box, type the names of the
people that
  you want to share the folder with. After you enter each name, click
To.

5. After you type all of the names, click OK.

6. Click a name in the Member List list, click Permissions, and then
assign a
  level of permission to that person. You can click several names to
give them
  all the same level of permission.

7. Click Next.

8. Type a description for the folder, and then click Finish.

An automatic invitation is sent to each of the potential subscribers.
They must
click Accept in the invitation to subscribe.

TIP: If you want to store an item in a Net Folder that is viewable by
you but is
not viewable to other subscribers, after you create the item, click to
select
the Private check box.
