I was thinking it could be $10 for over a hundred miles, $20 for over 200 miles
one way, etc for doing free educational events such as volunteering for Lowell
Observatory. Not for conferences and conventions. Minuscule gas reimbursements
are allowed in 501C3s but food for members is verboten, one of the clear
violations of the principles that tax-exempt resources should not be used for
personal benefit. We did vote for this at $20 which may be too much.

I would still like to see the minutes of the last MOM before the next MOM on
Oct 13th. Thanks, Sam

I'm agreeing with Bruce and Sam....
In review...
PAS should not pay for someone to drive to a location to do an event, no matter
how far away it is.
The club needs support of those who will donate time, gas for transportation,
etc. We all do a lot of free events,
why change that now. The club can't sustain offering pay to those who drive a
long way. My preference is to collect
from the location... such as for these Tonto star parties, ask for either gas
reimbursement of a reasonable amount, like $10 to $15 for gas, or have them
provide food and drink for the telescope team. We should be getting our
"Pay" from the organization asking us to do these free events, rather than
having PAS pay the costs. If we deplete
the $$ in the PAS account, there won't be anything to fall back on if we lose
our meeting location or star party location which right now is at PVCC both
campus's. We trade star parties at BMC for room space at Main Campus.
and Yes, Bruce, with all the complains and demands for money from PAS, I'm
thinking everyone is out for the money, when we should be out to promote PAS
for free and enjoy the event for what it is. It is true that
PAS is a very busy, public outreach club. Maybe some of the members have lost
sight of the goal of PAS... to promote astronomy with fun and educational
events to the public. Yes, being paid would be nice, but if it isn't negotiated
with the organization asking PAS to be there, then it should not be expected.
Right now, as of this moment, PAS is NOT Paying anything for going to the Tonto
Nat Monument 3 events Christa
set up with me and I put on the calendar. If you really feel you should be paid
for gas reimbursement, you must
come to the next MOM's and discuss it with Eric present as he is the Treasurer
and I want his input on this situation. We can't leave him out of this, as he
is in charge of maintaining the treasury so that PAS doesn't have to scramble
to pay for stuff the club has to have, such as insurance, or a room for the
meetings, or other such items that might,
someday, if not now, need to be paid for. Also, if the club runs low on funds,
PAS will have to raise the dues and right now, the $25 you pay to PAS covers
expenses, your membership, insurance, and a few other things. But if we don't
have enough to cover the extra costs, then the rates will have to go up. I
believe we are the lowest dues in the Arizona area and I'd like to stay that
way. The lower the membership dues, the more members we take in. And without
members, PAS will not function well.
Please consider the long term situation of asking PAS to reimburse for mileage.
I don't think it is a good idea.
Thanks for listening to my 2 cents.
Everyone have a most spectacular day!
Terri, Event Manager
Just a side note: Mark and Ted have always done so many free events, whether it
is for PAS or another organization, they provide views through their telescopes
and do not ask for anything in return. PAS Members
used to LOVE sharing the night sky, and doing it for free. Isn't that what PAS
should be about?
I brought in the Pay for scopes to cut down on schools abusing the FREE star
party option. It weeds out those
schools who can't afford PAS, and gives back to the telescope team members who
might have a long way to
travel to get to an event. But free events are just as important as doing paid
events. And PAS Members should not
be asking PAS to pay for their gas to get someplace. If you can't afford to go,
then please, skip doing that event.
I've very proud of what Ted Blank and Mark Johnston do for PAS! We should
follow in their footsteps and get back
to why PAS exists..... I don't mean drop the paid events, I mean, don't ask PAS
to pay for something out of PAS's bank account in the way of gas reimbursement.
I know we have a lot of unemployed members. But they know if they have enough
money to get gas to get where they are going. If it is a problem... maybe we
should create a way for members to donate cash to "members in need" for gas
reimbursement, rather than having PAS provide gas reimbursement.

Several months ago I got up at 6 am, drove to Tonto National Monument, did an 8
hour event with meteorites and my PST for no pay, no meals, no gas money. It
was fine with me although I was very tired driving home.
I do think that we should try for food and water from the Tonto National
Monument at the very least, and we should take turns doing the event since it
is so far to drive,. Doing it once a year is fun and enough. Sam

I can’t say this enough. If you feel pas should pay you to drive to a location
and do a free event. You should probably look for a new astronomy club. I would
never ask pas to pay me for a free event. If I can’t receive the payment from
the event I sure don’t want it from a club that I’m supposed to b volunteering
my time with. I’ve never heard of any church paying for volunteer work. I think
the telescope team is starting to get money hungry. I remember most of the team
saying it’s not about the money. You could have fooled me

Don,
I don't think that was officially voted on, to be paid for out of Phoenix
events...
plus, the pay, if you do it by IRS standards would come out of PAS's pocket
at $187.50/vehicle - ish..... I did the calculation from PVCC. I don't think
PAS should be putting out that kind of money. If you want to do the
event, for free, no reimbursement and no food provided, then
sign up for it.
Think of it this way, if three scopes attend, that's 3 x 187.50 that
PAS is paying it's telescopes (Or other helpers at this event)
for gas to get out there and back. Are we really trying to drain
the PAS bank account?
That's my input on this. Like many of you, i have driven all over phoenix,
outside phoenix,
etc to do freebee, long distance events for the promotion of PAS. I don't think
PAS should
have to pay for this service. PAS already pays for your PAS business cards and
handouts.
Just my 2 cents.
I have included Eric in this email, so if he wants to agree with what I said
or disagree, his input is welcome. I just don't think PAS should be paying
a member to do a long distance star party mostly because a few of these
far away events will use up the funds PAS is collecting for other more
honorable
expenses such as the yearly scholarship.
Everyone have a super day. I will be putting all three of these events on line
and providing
you the links to sign up. First to sign up gets the event. The requested amount
of telescopes,
plus 1 presenter pre event, is 3 scopes...

I thought, at the last MOM, we agreed to pay for gas and a meal for any free
events outside the Phoenix area.

Awesome day to everyone in PAS as long as it is a freebee event and with no
money exchange at all....
Park After Dark
Christine Sadle wants to schedule 3 events
with PAS for 2019 into 2020.
I have looked, and the three dates she has chosen
are currently open on the PAS calendar.
Now i want to be sure I have enough scopes to cover
the events before I book them.
Here are the details:
Here's the map on how to get to Tonto National Monument. This is a freebee
event, meaning you do it
to enjoy the Dark Skies. No money is coming in from PAS or Tonto Nat Monument
to you.
Confirm you are able to do these dates by RSVP at the links provided. Please
note the time of the events and the set up time. Mike, you can attend as a
presenter, to any of these events you wish to, especially if it is requested by
Christa.... and Sam, if you prefer to be a presenter instead of a scope, make a
note of that in your RSVP...You can be either.
Address is: 26260 N AZ Hwy 188 Roosevelt AZ 85595
Nov 23 2019
Event 7pm to 9pm
Set up is 6pm
Requesting 2-3 scopes
Jan 25 2020
Event 6pm to 10pm
Set up is 5pm
2-3 scopes
This event will be a celebration of our recent International Dark Sky Park
designation. We would like to invite PAS to offer telescope viewing, and set up
any information about the organization
Mike if you attend this event, I will consider doing it as well with the PAS
table of handouts.
April 25 2020
Event 8pm to 10pm
Set up is 7pm
2-3 scopes
Putting these events on the site. I have the Booking docs for all three events.
Since i don't have time to put the calendar links up,
let's have mini signups for these three dates in a reply email so i know we
have enough scopes to cover all three events. Please take a moment to reply if
you wish to do one or all 3 of these events. The more scopes we send out there
on the January date, the better the promoting of PAS.
Terri, Event Manager
I'll get the links on line this next week.
Have a super weekend!
