i'm not arguing the point, i'm saying that I don't believe there should be
mileage compensation
unless the group decides to do it and then an amount needs to be set
because the IRS standard
would kill the club finances with how many long distance events PAS members
do. And you
are also limiting this event to Star Tours members, If you are collecting
for gas reimbursement,
since any PAS members wanting to do these events and be reimbursed for gas,
would need
to turn in a W-9 to PAS.
It's .68 per mile, I thought. And 120 is the mileage I did the math off of.
And I don't believe PAS should pay for gas to and from long distance events.
Yes, I do them as well. So, getting something extra for gas would be nice,
but i don't want to deplete the PAS bank account just to get people out to
do
an event. They should do the event at their cost. And people do have an
option
to decline doing an event if it is too far to drive.
I was chatting with Eric... and i reminded him that if I prearrange an
amount to collect
per vehicle for a long distance event, such as going to Rancho Gabriela for
$10/vehicle,
for Career Day... that is pre-negotiated and therefore, up to 5 vehicles
can attend
at $10/vehicle, and if less attend, then the remainder of the monies is put
towards
the yearly Evening Star Party at that School. But that is pre arranged and
paid for
by the school and so paying it to the PAS Members who attend (up to 5
vehicles),
is already approved. Nothing comes from PAS for that event. And the $10 is
no where
near enough for gas, but it is nice to receive for making the trip that
early in the morning
to do the event.
If I need to collect a gas amount from Christa,
I need to know ahead of time... what PAS decides is fair for the trip out
to
Tonto Nat Monument.
As far as the vote, I don't recall that it was approved, and i don't recall
that
there was a set amount decided upon. But that doesn't mean it didn't happen.
I just don't recall that it was finalized. I believe it was talked about
but not
voted on and if it was voted on, what was the amount that was agreed upon?
Also, what is the distance PAS considers OUT OF PHOENIX, to get reimbursed
for
or allowed an amount for gas reimbursement? I would need to know this to
remind
Eric, at the event of the event, how much to pay each vehicle for doing
these events.
Please let me know what was decided.
It's per vehicle, there fore, if Paul gives Don a ride there, Paul gets the
gas reimbursement. Don
gets nothing in reimbursement. Just making sure we are on the same page.

Let's settle the amount so i know what to put in the notes for the events.
Plus, if we are opening this event up to All PAS members and first
to sign up gets the event, I will then need to collect W-9's for those
who aren't currently in the Star Tours group, so that they can take
in the reimbursement amount.

That's my input on this. Like many of you, i have driven all over
phoenix, outside phoenix,
etc to do freebee, long distance events for the promotion of PAS. I don't
think PAS should
have to pay for this service. PAS already pays for your PAS business
cards and
handouts.
Just my 2 cents.
I have included Eric in this email, so if he wants to agree with what I
said
or disagree, his input is welcome. I just don't think PAS should be paying
a member to do a long distance star party mostly because a few of these
far away events will use up the funds PAS is collecting for other more
honorable
expenses such as the yearly scholarship.
