THE PROBLEM:
I have users that get so much email or get so busy with meetings that 
they're not constantly reading their email.  As a result, they'll get 
invited to multiple meetings, and those meetings will be scheduled at the 
same time because it appeared that they were free when the 2nd one 
scheduled their meeting.  They hadn't seen the first invitation yet and so 
thus have 2 meetings they are supposed to be at.

Hmm, would this work for you? At the corporation where I worked, we had one 
computer that kept track of scheduling, meeting rooms, who clocked in who 
clocked out, etc. It could be done in Excel, though if I remember 
correctly, the guys there wrote it to specifically work to our advantage.

Anyone could call (or write) anyone and ask for a meeting. The trick is for 
both sides to enter in the times they would appear to be there. If I ask 
for an appointment with John Doe, and set one up, I could tell it that I 
was meeting John at 10:00am in Room 123. It was up to JOHN to also fill out 
his time.

It would warn us when we made overlapping schedules. It automatically kept 
the first appointment until the owner of that appointment changed it. In 
the morning, we would find that rest of the day's schedule on our desks. It 
was a nifty way for my supervisor to have an appointment at 9:00am but with 
a note saying "You MUST leave at 9:32am at the latest in order to make a 
10:00am appointment unless changed."
