I have only recently crossed the fence from being a user for 27 years to becoming a systems administrator. Laying down the law with regard to mail box sizes can only be effective with the cooperation of the users:-) You can set a limit on the mailbox size. My own strategy to get round this was to talk to "Fred" - the administrator who was an old buddy - and get him to increase the limit for me! You can help users to set up an archive in a different area of the server and to set this to auto-archive at frequent intervals. In general it is attached files that cause the mailbox to swell to enormous size quite rapidly. If you have groups of users who have access to a shared storage area on a server, try to persuade them to e-mail hyperlinks rather than files. As a user I found this to be of great benefit in that you didn't generally get multiple copies of the same file floating around. It also kept my mail box to a very modest size. Regards David S. Alternatively you can wipe out files before a certain date. You can do this under the guise of a backup, and even keep the data if you want although its difficult to do anything with it. Not sure if you need to do an offline defrag afterwards though - have never hit this limit.
