I have only recently crossed the fence from being a user for 27 years to
becoming a systems administrator. Laying down the law with regard to mail
box sizes can only be effective with the cooperation of the users:-)

You can set a limit on the mailbox size. My own strategy to get round this
was to talk to "Fred" - the administrator who was an old buddy - and get him
to increase the limit for me!

You can help users to set up an archive in a different area of the server
and to set this to auto-archive at frequent intervals.

In general it is attached files that cause the mailbox to swell to enormous
size quite rapidly. If you have groups of users who have access to a shared
storage area on a server, try to persuade them to e-mail hyperlinks rather
than files. As a user I found this to be of great benefit in that you didn't
generally get multiple copies of the same file floating around. It also kept
my mail box to a very modest size.

I don't know how (or if) to set it up from the server end, but message
archiving is having the client (application) move mailbox items (messages,
etc.) from the server to a local .pst file. This is particularly easy to set
up in Outlook, but I only know how to set it up from the client end and that
means doing it individually for each client. I would imagine there's a way
to do this from the server end, if you have a lot of mail users you should
look into that.

This is an interesting phenomenon, and one I currently face. Does anyone
have any effective strategies for laying down the law and telling one's boss
that he has to reduce the size of his mailbox? :) Serious question there.

EXACTLY.......

I did offline defrag and now the database size is 14.8 GB. But again that
can go above 16 GB anytime... is there any other way???

What is message archiving and how will it help me in this situation?

The disk space is not the problem, he has reached the limit of exchange
standard edition.

Options are:

1. Upgrade to enterprise edition
2. Check the mailbox sizes and lean on the worst offenders (usually
upper management)
3. use exmerge

A good example for using exmerge is to pick a large joke file that's
currently doing the rounds of your company and wipe it out of the
database. Alternatively you can wipe out files before a certain date.
You can do this under the guise of a backup, and even keep the data if
you want although its difficult to do anything with it. Not sure if you
need to do an offline defrag afterwards though - have never hit this
limit.

There are only 5 logfiles. Circular logging is enabled. There is
sufficient disk space also.

I think you would like to know where your exchange server store (on the
server). Then you go to the MailBox Data (MDBDATA) folder and delete any
.log file in there.

Dear all,

We are using E2K standard edition on Win2k standard server.

Our database size is exceeding the limit of 16 GB. Online
defragmentation shows only 1 GB of free space.

Is there any way to decrease the size of database immediately. Server is
restarting intermittently because of this problem.
