Dear RSC Trainers,

As you know from Hope's message of April 20, 2008 there is the monthly RSC
call tomorrow.  For convenience the number is:

There has been a great deal of preliminary work done by Kathie, Carlton and
myself toward laying the groundwork for a series of Gathering At the
Crossroads of Art & Activism CAPP Learning Exchanges taking place throughout
the regions served by ROOTS in June and July.  All the dates and trainers
are listed below.

On tomorrow's call we will flush out further details.  All of the hosts have
been contacted, and I have made attempts to talk to each of the trainers and
shadow trainers. 

One of the outcomes of tomorrow's call is to confirm Lead Trainers, as well
as Shadows.  From there we want folks to begin to follow the Communication
Plan, below and attached, which also contains a detailed timeline for the
work in each area. 

Please be aware that this is a lengthy document, so be sure to read all the
way to the end.  In addition, you are welcome to make suggested changes to
any of the documents.  I simply ask that they not yet be circulated until
the conclusion of tomorrow's call.

Following the call the staff will make recommended changes then we will move
forward with getting this information out to the greater ROOTS membership so
broader planning efforts can be forged.

Morning Strategic Planning Brunch
 
 
PURPOSE
 
In order to support the work of each Lead Trainer there will be one to two
additional RSC calls during the month of May.  Proposed check-in dates for
Lead Trainers to will be May 16th at 4:30 PM EDT and/or May 30th at 4:30 PM
EDT. Again, these calls are intended to lend additional support where help
may be needed.
 
ROLE OF LEAD TRAINER
 
The Lead Trainer is in charge of the overall organization of the training.
The Shadow Trainers are support to the Lead Trainer.  In addition, the
Shadow Trainers are observing in order to become Lead Trainers in future RSC
learning exchanges.  The Lead Trainer will ascertain the needs of the
community where the training is taking place by working closely with the
hosts.  In addition, the Lead Trainer will develop training materials in
response to those needs. The Lead Trainer will work to establish a series of
conference calls (each trainer has an assigned number, see below) where he
or she can plan with the host committee the activities for the training
period.
 
TIMELINE
 
The following is a suggested timeline for June RSC Learning Exchanges
Week of May 5, 2008?Lead Trainers organize call with host sites, as well as
connect with Strategic Planning Workgroup Chair to engage the Strategic
Planning Workgroup in the portion of the weekend activities that will be
dedicated to Strategic Planning.
 
Please Note:  Lead Trainers are not expected to plan Strategic Planning
Listening Sessions, which will either take place prior to the Learning
Exchange or following. However, it is important that both Lead Trainer and
Strategic Planning Workgroup Chair are informed of each others progress.
 
Week of May 12, 2008?Lead Trainers research needs of community where
training is taking place
Week of May 19, 2008?Lead Trainers begin developing training materials and
resources to support training; also, work with hosts to assist in developing
training materials
Week of May 26, 2008?While Shadow Trainers will be part of the communication
ongoing, during this week the Lead Trainers will meet with Shadow Trainers
to review plans in detail for the Learning Exchange

MINIMUM REQUIREMENTS FOR EACH HOSTS AREA
 
The hosts and RSC Lead Trainer will be responsible for administering the
funds for the Learning Exchange activities.  There is an established budget
of $1,865 for each Exchange.  A budget and clear details will be provided on
the administration of funds, as well as all the necessary reporting forms.
 
MINIMUM SET-UP REQUIREMENTS
 
Coffee needs to be provided for the morning, as well as water throughout the
day.  There will be a $10 requested donation for each person participating
in the Learning Exchange to help offset the costs of food.  Each host will
therefore provide lunch and an afternoon snack.  In addition, hosts for each
area will need to secure the venue for the Learning Exchange.
