Sam,
Cadence Design Systems recently introduced the Allegro PCB Design
Workbench suite of tools to help address the very issue you are
struggling with. The Workbench products allow you to manage change not
only on your design files (Design Workbench) but also for the components
, i.e. Schematic Symbols, Footprints and the parametric information
associated to these parts (Librarian Workbench). These two products
compliment each other and if used together provide a powerful
environment to manage change throughout the life of your product. DW
understands and manages the introduction of part changes made through
the LW. Engineers are automatically notified of parts that are revised
and can determine how/when this is incorporated in the designs that use
them.
The solution can be configured to manage both your design information
(i.e. design check out, check in with revision management) and your
design process however you wish to define it (i.e. library development,
Library QA, schematic capture, simulation, signal integrity, PCB layout,
fabrication analysis, artwork genration and manufacturing output.)
From the user perspective the Design Workbench user interface presents
each phase of your design process with visual aides to prompt
Engineers/Designers to perform the defined steps. This helps users
follow the process as it was designed and to create the complete set of
required deliverables quickly and accurately. Cadence and third party
tools as well as any external documentation (design guidelines,
standards) can be "linked" into the process "view" to prompt the user as
well as provide access to the detailed reference materials if they are
needed.
As you setup/configure your design process workflow you can create gated
checkpoints at key milestones. These can be leveraged insure the
appropriate deliverables are completed and qualified prior to taking the
next step in the process. These can be managed as hard or soft
requirements based upon the way your company chooses to operate (i.e.
prototypes might have relaxed requirements as opposed to production
design cycles that must be more rigorous).
Design files can be "locked down" prior to the review insuring what was
validated is in fact what gets delivered to the next step in your
process. For example prior to accepting the design for place & route you
may require some specific report files be generated and reviewed as you
transition from Schematic Capture to Layout insuring signal integrity
was validated, specific types of nets are tagged or named appropriately,
appropriate constraints are defined, etc.
Fujitsu has relied upon home grown tools to manage design files in much
the way you describe, e.g. manipulating file ownerships and permissions
along with a set of check out/check in with revisioning and workflows to
support configurations and to promote the data through the development
process. These are somewhat difficult to keep current with the Cadence
releases not to mention the rest of the enterprise that they must
integrate with. We are in the process of replacing these with the
Cadence Workbench products.

Group: We have 5-7 engineers doing schematics and pcb reviews. Right now we don't have any way of monitoring which sch and pcb is the latest. People do reviews and do file saves and dates change and its starting to get a bit annoying. Right now we are starting to look at some data base management softeware. For now is there a way to password protect schs and pcb files? Also any recommendations on date base management software for cadence products?
