I am putting in a hardwood floor at home, and when certain folks are home over the weekend, they expect to see progress. J I’ll get you a more itemized response on Monday. But, we are certainly good with the $50/child that we tried last year, if still good for you. And I don’t see any other issues as long as agreed upon between you and FAST. I know we had a little settling of time slots last year as lane schedules got set in place. But, I think we all have better communications channels and roles figured out this year, let alone more time, that this is lining up to be a great season. The main issue I see on the horizon is the City Meet, considering the new Senior Center on the Corner. We might let Windsor host next year, if they are large enough and want to. Dan has stepped down from team liaison – so I will be handling contracts this year. 1. Looks like there were a few items on that contract that did not take place – namely sharing our ledgers at the end of the season. Do you still feel this is necessary? I am not sure given our plans: a. We are procuring our own laptop and printer so that we can be up-to-date with software and fully independent and sustainable as a functioning swim team going forward. b. We hope to build up a small reserve so that we can replace our starter and other make other necessary equipment replacements. c. We are purchasing a basic liability insurance plan to begin June 1 that will cover Collindale swimmers both at Collindale and at away meets. Families still must sign a document indicating that they have their own health insurance coverage. d. We have written and adopted Bylaws for the Collindale Swim Team. I would be happy to share those with you. e. We are creating a handbook to be able to provide a tool for incoming board members to work from. We hope to do the same for City Meet. 2. We do need to update this for the 2015 season: a. FAST had said they were talking with you about holding 3 practice sessions – or essentially having the pool from 7-10. That is written in the first pass on the contract they sent us – though the three practices was not defined clearly as it was in the text of the contract, but not in an hourly calculation table. I have not heard back from Mike Novelle as regards to my edits – but wasn’t sure where your talks had gone either. b. With 3 practice sessions does $50/swimmer water fee still hold? c. We would likely not host 6 swim meets – the season is short with City Meet being the weekend of July 17th-18th. While that is 6 weeks to have meets – we hope to only host about 4 of those. You can keep 6 in the contract as a holding spot if you like. The League scheduling session is April 14 – so we will know for sure. We are working towards a better method of scheduling that might lead to a more static schedule with competition between the same teams at the same time each year. d. You may want to change the language about City Meet to indicate something like it would be a separate contract. There are some discussions beginning around organizing the Horsetooth League more formally, and some of that discussion will revolve around City Meet. It may be that some smaller teams want to come together to run the meet – but hold it at one of the 3 (or 4 if Windsor wants to host) larger pools. This would spread out the responsibility of teams and allow smaller teams the financial benefit of the meet. I will be sure to keep the Collindale Rec Board in the loop as these negotiations take place. e. Do you want to include any other provisions or costs for special events – like if we want to return to “The Midnight Mile”? Our next board meeting is scheduled for Wednesday April 8th. I hope to be able to have both water and coaching contracts in place by April 1 so that we can put together our registration material with the appropriate costs and such by May 1st. They are definitely planning on hosting City Meet, so we do not have any significant parking issues with the construction of the assisted living facility. That being said, what are the recommendations for regular meets we may host? a. The pool was here first, along with its’ Swim Team reputation. I would hope for this year, as long as we don’t need to pull off a City Meet in conjunction with the MorningStar construction, that would help. b. So far, I have heard that MorningStar does not take “occupancy” until September, clearly after the Swim Team season, let alone the full pool season. I’ll stay close to them in advising them of your schedules, then getting feedback of perceived impact for future consideration. Is Dan still on your board as a liason to perhaps join with me in these planning sessions with them (when pertaining to Swim Meets planning and downstream communication, especially with guest teams)? c. Jami at MorningStar has actually expressed to me the desire for a collaborative posturing wherein they can promote Collindale Pool while they perhaps get favorable marketing exposure. I am not sure how that looks, but early communication are very positive. d. By 2016, we will have a new dynamic, after they are inhabited. Not sure how noise, parking or traffic will be taken, but they seem most amenable at this time just to be (likewise) accepted favorably into the neighborhood. A far stretch would be to build enough relationship with them that they might allow a nominal amount of overflow parking next year. They won’t have much parking to start with, but more than what their curb has now. e. The construction folks have lost one month due to bad weather and are currently working even through Saturdays. So, as much as I can tell now, meets on weekdays or weekends would be the same impact. a. Weekday mornings, we might be able to negotiate a section of Collindale Golf Course or even Warren Park, as city entities, for overflow parking. The main issue there is getting or shuttling across Horsetooth is dicey during the week; better on weekends, but then the golf course is packed on weekends. b. I’ve wondered if we could negotiate occasional overflow parking at Sheppardson Elementary, with some sort of shuttle going between (since it is on the better side of Horsetooth) as they are consistently empty weekday and weekend in summers, although further? Sheppardson has solicited free memberships (one per year) from us for their annual silent auction, and we have obliged. So, we kind of have an angle of reciprocation established, if useful. f. I have sensed the neighborhood gets more irritated at weekend meets because they are home and notice the parking throughout, but seem to never notice weekday meets. However, swim lessons take more of a hit during the week, but have an extra rain date padded in per each two week sesson. g. In summary, for this year, as liberty permits, if you had approx. 6 meets, maybe do 4 weekdays and two weekends to help us tease out issues, preferences and stir discussion for sustainable solutions. I am thinking the biggest conflict might be with week-day meets. If you have some recommendations, we can put those in our distribution materials. 2. We would like to have our water contract in place by April. So, we would like to have time to review it, though I don't think it will take long. We just need to approve it as a board, and to plan for it in our distribution materials as well. This is what threw me. John sent me the contract last year for my signature. Is this attached contract what you were referring to? If so, do you want us to initiate it ? The $50. / child worked fine for us, as well as the other terms.
