Tried sunbird/lightning/evolution with a caldav server? something

Ideally you should be using sieve on the mail servers, and a sieve
client plugin in thunderbird. (Sieve is a standard)
5. sent items is stored locally i guess in
evolution/thunderbird. but in outlook it is stored in server.
Tried IMAP? You probably are using a age-old pop3 account.
