Docho,
Probably can’t make beers with you and Rules, but happy to assist with any web
items.

Rules,
Thanks for detailed event update. Well done. I checked out the link for
Folds of Honor Foundation. What a great selection for the charity. Given I
will not be at the SOGAGG event tomorrow, I’d like to get with you at your
convience sometime in the next week to discuss my webmaster role. I do
understand that beer is a requirement for getting sufficient detail. So you
name the place, and I’ll be there.

Ace, Knockdown, Woods, and I met with Lillian and Mike from NDIA this
afternoon. We took a turnover from Lilian, and we made some progress on
plans for the event. I was very impressed, but not surprised, with the
quality of the inquisitive and foresighted SOGAGG minds in action. This
start bodes well for a great tournament.
Thanks to everyone for volunteering to join the committee. We all have
opinions about how we should run this event. Your opinion is important, so
don’t be shy in sharing it.
Here is a status report.
Most importantly, we have selected a worthwhile charity as beneficiary of
the tournament: The Folds of Honor Foundation. The Folds of Honor
Foundation supports educational scholarships to the children and spouses of
our nations fallen or disabled service members. Please go to their web site
and spend some time getting to know them.
Next, Ace has taken on the role of finding a course. He is beginning with
Del Mar Country Club.
My next action is to create a budget and a POA&M.
Please review the attached documents. One is an update to the notes I sent
out earlier; the other is a draft mockup of a tournament web site (be sure
to click on the two small photos for videos). Our webmaster, Docho, will
coordinate with NDIA’s webmaster to get the real one up and running. Of
course, we’ll need to have those few minor details such as the tournament
golf course, the real cost, etc. before he can make it happen.
I have allocated positions to almost everyone. Please let me know if you
think you can’t perform in your assigned role, or if you are adept at
bringing in sponsors please let Knockdown know. Our next meeting will be
after the round at SeaNAir on Saturday, for those that will be there. I
will be available to discuss expectations for your role in further detail as
you desire—the more beer, the more detail.
Executive Director: Dwayne Junker. Coordinates with NDIA regarding all
aspects of the event. Identifies the tournament course.
Event Manager: Charlie Hopkins. Plans and oversees the conduct of the
event.
Assistant Event Manger: Gar Wright. With the Event Manager, coordinates
with the golf course, NOF Director, and NOE Director for all aspects of the
day of the event.
Sponsorship Director: Gar Wright. Identifies potential sponsors and
obtains sponsorship agreements sufficient to meet NDIA fundraising goals.
Assistant Sponsorship Directors: Mike Woiwode and Sarah Lamade. Action as
determined by the Sponsorship Director. Includes outreach and coordination
with sponsors, sign maker, and course to ensure robust on-site and on-course
signage.
Finance Director: Mike Woiwode. Manages all financial aspects of
conducting the event. Includes coordinating on-line registration, accounts
receivable, and accounts payable with SOGAGG Directors and NDIA.
Non-sponsorship, Off-course Fundraising (NOF) Director. Becky Hank.
Responsible for organizing and conducting off-course fundraising items and
events such as Raffle, Silent Auction, and Live Auction.
NOF Team Member. Jeff Hailey / Jack Sears / Rico Cassoni / Tug McGraw.
Action as determined by the NOF Director.
Non-sponsorship, On-course Event (NOE) Director. John Hank. Responsible
for organizing and conducting fundraising items and events such as
Mulligans, String, putting contest, Krank It Hole, Dixon, eLiveLife, etc.
NOE Team Member. Dave Rodriguez / Ken Garber. Action as determined by the
NOF Director.
Webmaster. Doug Twining. Coordinates all aspects of the event with the
NDIA webmaster. Includes web-site video, registration process, sponsor
advertising, and event announcements. Also responsible for establishing an
online meeting application.
Event Day Team. We will need a raft of people to perform event-day
functions. NDIA can probably provide a handful.
Warm Regards,
Charlie Hopkins

Subject: 2nd Annual NDIA Gold Coast Golf Tournament
SOGAGG,
This is an initial outreach for volunteers to conduct the Second Annual
NDIA Gold Coast Golf Tournament to be held Monday, 6 August 2018.
<image001.jpg>
One of the attached files (NDIA Golf Tournament 2017.pdf) is from the
First Annual 2017 tournament. It is hosted on the NDIA 2018 Gold Coast web
site golf page (https://www.navygoldcoast.org/golf-tournament/). This page
includes a YouTube video from 2017 (https://youtu.be/hKBQbiE6c7o).
Another of the attached files (Tourney_WEST_2015_Flyer.pdf) is the flyer
for the AFCEA WEST 2015 Golf Tournament that I ran. I include this as a
comparison. Something as simple as a charity golf tournament can be
conducted in many different ways.
The most important of the attached files for you to read is “NDIA Golf
Tournament Notes.” After you review these notes, please respond with your
desires regarding a position on the team. If you don’t feel completely
qualified, jump in anyway. I have performed all of these functions, some
less effectively than others, and I can share some files and experiences
with you as you like. Others on the team will also be happy to help, I am
sure.
Warm Regards,
Charlie Hopkins
