I agree with Ursula's comments as far as I'm capable of agreeing as I have no
experience with any of this and know even less. I hope that all of this
eventbrite stuff is ready to implement. Time will tell.
To Ursula, I checked on the Feller & Hill April booking and sent out info on
that several weeks ago to our SMBA e-mail to all, in fact the Monday after our
last show, that everything was ok and a go for the show. Evidently , either my
messages are not all getting out or the group mailing is still not working
properly.
I called Tom Feller and they had their website down for modifications and it
should now be up and will show our concert. I did tell Tom that we rely on band
websites for our attendees to check out relative to the bands coming to play
our stage They will have Tony Holt of the Wildwood Valley Boys who has played
our stage many times with him and Chris and also my crazy buddy, Bobby Davis on
bass so it should be an especially good show.
The 20-21 season is fully booked . Just waiting on the contract back from
Brandon for LRB so we can print fliers and send an ad to Bluegrass on the
Grass. I'll call Brandon this week if I don't get it in the next few days and
have him e-mail it if he has it back from Sammy. Bluegrass Bands drive me nuts
with sending contracts back. It only takes a few minutes to sign and mail but
they take weeks and more. Almost like they don't want to work on having dates
and then they gripe when they don't have enough of them.

- The cancelation policy cannot be changed once I issued the event for
public domain ( for this event only). For this event, I chose a notation that
refunds would be decided on an individual bases, which allowed me to create the
event and allowed us time to have this discussion since it was not discussed in
its entirety prior. I do have in the event information listed on Eventbrite the
following:
In case this event is cancelled, a full ticket price is refunded. In the event
you do not use your ticket, there is no refunds as the proceeds go to the band
payment. You may give your ticket to someone else to use however , they should
tell us who purchased it initially. Also, If they would not be a member, then
they would need to pay the difference at the door for the nonmember fee.
- the link for the Eventbrite sales is already listed on both our website
and the Facebook. They just need to click the link and it takes them directly
to the place they can place their order.
- I can print a report with ever name of who purchased a ticket so on the
night of the concert we know who is who.
- If we sell x amount of tickets, the band should be paid based on the
ticket sell, not the attendance or the red or blue ticket. As these sells
should considered money to be compensate the band, whatever internal process
Jean wants to use to note it on the balance sheet is acceptable to me.
- I will see going forward, if I list all the Events under Seven Mountains
Bluegrass Association Concerts will work when creating the individual concert
notices. I cannot change the current one as it would have to be cancelled
completely and refunds for the tickets already sold and they would have to
repurchase. I don’t think that is needed. However, the links are already on our
website on the first page!! And on Facebook… they have easy access to the link.

Looks like we are in agreement on no refunds.
Ursula, I believe the best way to handle the refund issue is simply to note in
our listings on Eventbrite: No refunds.
That way, once a person buys a ticket, they will realize at the outset they
cannot get a refund. (I personally have been burned on an issue like this many
years ago).

First, I agree with Kristin on the no shows. If they do not choose to come
after they've purchased the ticket and the concert is held, they sould not get
a refund. That notation should be omitted on Eventbrite.
As for Glen's question about whether the band gets paid for the no shows., our
contract clearly states the band gets 60% of tickets sold. As also, as per our
past policy they get paid for promotional tickets given away, like prizes at
the picnic, for selling the most raffle tickets and those sometimes given at
concerts like Tim Michaels as door prizes. In the past , I've donated a pair of
tickets to a specified show, usually the next show to help in promoting our
shows when Tim has me take the mike to promote our schedule and show
information.
I also agree with Glen that a way should be possible to have all our shows
listed without scrolling thru the numerous events not ours, possibly tied to
our schedule of concerts , possibly though the SMBA website somehow. I do not
know enough about how to do any of this to comment on it other than that
thought.

5. The "presold ticket" seat issue has been resolved they will be
initially set aside by Wayne. Good idea.
6. For Jean, we pay in cash and make up any difference needed by check.
That issue easily resolved.
Here is the additional item:
20 Eventbrite tickets are sold, only 10 appear. How do we pay the band? Do
we pay the band based on attendance (the 10 who appear) or on the 20 sold?
1. Jean - we can continue to give out member/nonmember tickets as they
check in.
2. If we decide to pay the band based on tickets sold, for the 10 no
shows, in the example above, we could just add 10 appropriate tickets and pay
the band on all sold (our red and blue tickets would continue to form the basis
of band payment).
3. If we pay only on actual attendance, we would have 10 paid tickets
which would just go in the Treasury.
Hopefully this additional item would only come up with a few, if any non
attendees, but we should be prepared.

If we have to cancel the show...Eventbrite, refunds their fees only if WE
cancel. If they do not come to the concert, the ticket is non refundable. They
are told that at the time of purchase. (If we want to do anything different, we
can discuss it as a group.Since the concert sales are not sent to our checking
account until 4 days after the event, the funds are just credited back to the
purchaser in the event we cancel the show.
We have 7 seats sold, we will hold 7 seats over on the area we sit. Wayne will
place seat markers on the seven seats . They can pick a different one should
they not want to sit there.
We know how many member and nonmember tickets we sell...we can add up what we
need to write a check for to pay the band...the AT DOOR ticket sales can still
be paid with cash. I guarantee that the band will want a ticket sold in any
fashion we can muster so they will appreciate getting a check and having to
cash the check should not cause a problem.
I think that was all the concerns but I will reread the email when I get home.

Saw on our local TV news we are 14 inches under our normal snowfall for this
year, so it made me think of the usual large snowfall we tend to get in March,

1. What happens with our Eventbrite presold tickets should we need to
suddenly cancel a performance due to bad weather or some other unforeseen
reason? Usually cancellations are made at nearly the last minute. We would
need a way to refund to the buyer. How does Eventbrite handle something like

actually performed. No attendance no refund, tough break. But, if we
cancel, the person has a right to a refund.
2. Do not think we should allow the presold ticket to be used at a

I was planning on using Eventbrite one time just to see how well it works for
us. Is there a way we can put a link on our website that would take a person
to the Eventbrite website?
How would a purchase for a concert three or four months in the future be
handled by Eventbrite? It appears that the link you supplied earlier is
"concert specific" - example the Joe Mullins show. I am thinking we need to
make it easy for our customers to get to Eventbrite, and to get to the specific
concert they want. I suspect they have date specific listings also.
As information for fellow Board Members, a few weeks ago I was nosing around on
the Eventbrite site looking for our listing and found numerous, what I call
little events, listed in the York = Red Lion area, so that vehicle to sell
tickets is being used by a lot of venues in our area. We are just joining the
list.
Just some thoughts, that's all. Now the idle hands must do some work.
