========================= But perhaps my understanding of your needs is wrong. ========================== To attempt to explain, I have taken some screen shots which I have uploaded to my site and which I reference in this email. I have a number of PST files with a number of folders in each one which I use to offload my primary pst file which receives all my email. You can see some of the folders in this disk list http://JSH.us/i/20121228/0.jpg And you can see them on the left hand side in view of my Outlook Inbox http://JSH.us/i/20121228/1.jpg Your email (the one I'm replying to) is the one highlighted. You will note that the mail is "colored". Note also two columns: "To" and "Categories" These colors are controlled by two things. First, all incoming messages are assigned a category by the Rules http://JSH.us/i/20121228/2.jpg The message from you (highlighted) is assigned a Category of Subject-Priority-7 because the subject contains a "[MSO]". This rules is the one highlighted in http://JSH.us/i/20121228/2.jpg Then the messages are colored for display according to the Automatic Formatting rules as here http://JSH.us/i/20121228/3.jpg Note that the highlighted Automatic Formatting rule says that your particular message would be shown in "blue" because it is a Subject-Priority-7 rule. Now the difficulty comes when I need to make all this happen in a NEW PST. Why a NEW PST, you ask. Well, my primary input PST can get big so I compress it. However, it has developed a hiccup which only lets me compress it to 9GB and I think it might theoretically compress a bit smaller, maybe 6 GB. In addition the development of the "hiccup" (which has happened before) causes me to worry that the "hiccup" may become "worse" potentially causing a loss of the PST. This has NOT happened to me in this version of Outlook (2007) but it DID happen in the prior version and once bitten ... To get around the hiccup requires that I create a new PST and then copy the messages I want out of the old PST and then input them into the new PST. After I copy all the messages, I must also a) recreate the RULES used to assign the Categories and b) recreate the AUTOMATIC FORMATTING used to control the display. Microsoft had provided a way to save the RULES. However, as I noted from the web article I found, they did NOT provide a straightforward way to save the AUTOMATIC FORMATTING. Per the article at http://bit.ly/YqMyBy Microsoft Outlook doesn't offer an easy method to backup or share custom views, and exporting the contents to a new pst does NOT include the views or custom forms. So the reason I couldn't find a way to do it is that MS didn't provide a way. Fortunately, the article provides a technique to get around the MS omission. James S.
