If you are among those who are volunteering to help with the BBC's effort 
to setup, manage and tear down the TOS/VSO meeting next week, I need your 
response to this memo.  Your response needs to be made whether you have 
already volunteered or have already promised someone else to help them and/or 
want to pick and choose what you do. 
 
Roy Knispel, Dave Worley, Janice Martin, Rick Knight and Wallace Coffey 
need not respond since their responsibilities and such are understood and 
well defined.
 
FIRST:  Be sure to indicate the actual times 
(start and end) that you expect to actually be involved with or at the meeting 
starting with Thursday at 7 a.m. until midnight each day.  This includes 
field trips.  Do not estimate social time to sit and talk with 
participants, go out for a meal with old or new friends or taking 
break.  All of that can be decide by you as we progress. That is a 
critical part of the meeting and we want you to not only help us 
but fully enjoy the meeting.  Just let others know what you are 
doing.  If you plan to leave the meeting completely to go home for a few 
hours, dress for dinner, etc. or home to eat and take care of other important 
matters, please write that in a expected time out and time back.  You are 
not being held to this fist tight.  We simply need to see what 
everyone plans to do and where they are and how they can help with the 
meeting.  We need this information for Friday, Saturday, Sunday,
 
SECONDLY:  You are encouraged in every way to mix and chat, meet and 
greet participants, even if you are working on whatever we are doing to 
manage the meeting as a club.  This should be a very fun event for 
you.
 
THIRDLY:  Let us know any particular commitments you have made to 
assisting anyone else with their part of preparing or managing the 
meeting.  Provide times starting and stopping as best you can guess.
 
FINALLY:  Suggest any area you would like to help 
with.
 
We will work out some type of plan of action and service for you and see if 
it works for you and BBC.
