Hi Geneva!!

Thanks for the current link to the new file. I like how the names have been added so we will know who is working on what.

Would it be possible to include the date at the top of the file so that we would know immediately if this is this weeks file or the next one that is updated, since I don't know what day these files are updated, since you said "a week or so"? That would be helpful to everyone, I'd think.

Thank you for considering our suggestions.

Debby

Hi All,

My name is Geneva Vander Poel and I work for Bookshare's Collection Development department. I wanted to let everyone know that the Master List (or Outsourcers and Publishers list, as it is currently labeled on the website) has been updated. The list now reflects the changes Scott described in the earlier posting. If the origin column reads VOL, that title is currently being scanned by volunteers. If it shows VOL it will also list the volunteer's name in the Comments column and, when provided to us, the name of the proofreader. This change eliminates the need for volunteers to check the Currently Being Scanned list, and helps prevent any unnecessary duplicated effort when submitting books to the collection. From now on, you can expect the Master List to be updated weekly with this information.

This is the current link, though it will change in a week or so when the list is updated again: <https://wiki.benetech.org/download/attachments/17268805/0426.txt>https://wiki.benetech.org/download/attachments/17268805/0426.txt

Thanks very much for all of your work as volunteers!

Sincerely,

Geneva Vander Poel

Pedantry and mastery are opposite attitudes toward rules. To apply a rule to the letter, rigidly, unquestioningly, in cases where it fits and in cases where it does not fit, is pedantry... To apply a rule with natural ease, with judgment, noticing the cases where it fits, and without ever letting the words of the rule obscure the purpose of the action or the opportunities of the situation, is mastery. -George Polya, professor of mathematics (1887-1985)

Subject: [bksvol-discuss] Re: Confusion about the Master List

Roger, Mayrie, & List,

I researched among staff just now.

It will always be necessary to check both the Master List and the collection. Ideally, as soon as a title becomes live in the collection it is removed from the list because it is no longer being processed. However, you may find some overlap when searching both places (especially if the book was processed between 2008-2009).

It may be helpful to note these time frames:
* As of April 1st, titles are being removed from the Master List the day after they become live in the collection
* The Master List is updated to the Wiki and the website weekly
* Volunteer activity is updated daily but this does not necessarily mean that your scan will be recorded in the Master List the day it is done

To determine if a book on the Master List is being done in-house or by a volunteer look at the column titled "Origin"
It will show either "BKS" or "VOL" for in-house or volunteer.
If it shows VOL it will also list the volunteer's name in the Comments column and, when provided to us, the name of the proofreader (syntax = P/B for "proofread by" + name)

Just so you all know, Geneva is alert to your needs and contacts volunteers directly as soon as she gets new information on a book that may impact the volunteer who is scanning that book.

PS This note is much more articulate than the first draft I passed by Geneva for her astute edit. Thanks Geneva!

HI Scott!

This is great! Thanks for telling us about this change! We didn't know
about it before, or at least I didn't. Yaye! One less place to search when
deciding whether or not to scan a book! I'm so glad you told us this!

Mayrie

Volunteers,

Apologies for any confusion. A new procedure we introduced to simplify life
for scanners seems to have complicated it instead.

We have been adding books on the Being Scanned list to our Master List, so
that volunteers don't have to look at both lists. They can just look at the
Master List for ALL of the books being scanned by volunteers or in-house at
Bookshare.

The confusion comes when volunteers see the books they are working on list
in the new combined Master List and assume they are being scanned in-house.
We will develop a way to indicate which books are being scanned by
volunteers and which are scanned in-house at Bookshare. I will notify the
list once this is implemented.
