Dear Partners,
I hope this email finds you well. I have a number of issues to ask you, so
please take your time to read this email carefully.
1) IPR AGREEMENT
In first instance, please find in attachment the DEFINITIVE version of the IPR
agreement for your signature. Please make sure that each of you sends me 10
COPIES OF THE PAGE REGARDING YOUR INSTITUTION WITH SIGNATURES IN ORIGINAL BY
YOUR LEGAL REPRESENTATIVE/DULY AUTHORIZED DELEGATE. I'd be grateful if you
could anticipate me one e-copy of a scanned page first. Please send everything
to me at the address your find at the end of this email. Please try to do it
this week so that I'm able to deliver you the original fully signed copies at
the next meeting.
2) NL vs PT translation
Now let's move to the key issue that emerged at our last meeting in Bologna,
i.e. DUTCH/PORTUGUES translation.
As you might remember, RUAF affirms that IO2 translation in Dutch is not
necessary for the uptake of the course by Dutch HEIs and proposes to replace
Dutch version with Portuguese, which might be useful to a wider potential
public. Since we didn't have to ask a formal financial amendment, as you might
remember we asked the National Agency an opinion about an eventual substitution
of NL with PT. The fact is that since we didn't proceed with a formal request,
they gave us NO OPINION, so the only choice we have is to take a decision as a
Consortium, given that we are able to justify an eventual change in the program.
The last proposal of RUAF would be to use the EN version of IO2 for
dissemination in NL, somehow adapted to the NL audience, e.g. including some
additional Dutch materials to complement the EN version (like readings, case
study material etc. in Dutch), and to provide a full translation in PT for
diffusion in Latin America, mainly. So this is the alternative we are
discussing about - to be clear, a IO2 in EN specifically "localized" for NL
(for NL use).
Please also note that this option is only feasible for NL, which is a country
with a very high percentage of people speaking English and doesn't apply for
sure to France, Germany and Italy.
So said, we have to take a decision as a Consortium, because the work,
activity, vision and responsibilities are common to the whole of us.
Again, just to make sure that I am extremely clear, responsibility means also a
financial responsibility: in case we decide to change the original plan, all of
us will be equally responsible for the Consortium change of plans, in terms of
eventual cuts the AN might decide to apply.
Given all these premises, and considering that we cannot wait to discuss this
issue live during the meeting, the question I need you to answer is the
following:
DO YOU AGREE WITH THE CHANGE IN TRANSLATION OF IO2 MODULES AND RESOURCES FROM
NL TO PT AND A "LOCALISED" EN VERSION (with NL attachments / and additional
materials")?!
Obviously, we will accept ONE answer per Partner. In case of equal votes, as
usual practices the vote of the Coordinator will count twice. Since the
consortium is not that big, I hope to receive all answers BEFORE MARCH 3rd.

3) FINANCIAL MONITORING
Please consider also that date of March 3rd as the very last date for each of
you to provide Francesca and I the data for the interim financial monitoring.
We need a list of the expensed and a DRAFT of your timesheets - don't worry
about the signatures now, it's an internal monitoring.
Please note that those of you who will not provide this info by that date will
not be monitored and will not be considered for eventual shifts or changes in
budget. We need time to fix each of your situations, so please make sure we
have it. You had one more month than the original deadline.
Sorry to be so strict, but time is running, the problems/issues are many and we
have to solve them.
For whatever eventual support/clarification, I'm here at your disposal.
