All,
One of the actions from out last meeting was to hold a telecon to continue the
discussion about branding NTAHRC. We started a good discussion at the meeting
(see meeting notes). I have also talked with folks that are not members of NTA
to ask them what would get them to join. We can talk about that feedback as
well. We need to complete this discussion in order to encourage membership at
the social on Nov. 17th. Therefore, there will be a meeting/telecon on
Tuesday, Nov. 13th at 6:30 pm. Yolanda, can we use your telecon number?
Also, we need to iron out the details for the social on Nov. 17th. For
instance, there were suggestions that prizes be handed out and the NTAHRC would
provide refreshments.
Please forward TAHRC social email (email Nov. 2) to collogues and friends. We
need to get the word out so folks will attend.

NTA meeting notes - Tuesday, October 23, 2018; 6:30 pm
Attendees: Yolanda, Mike, Coletta, Elijah, Gil Haynes, Yolanda, Keith Gordon,

Summary NTA annual conference – Wednesday meet and greet chapter folks met with
leadership of NTA. Gil worked with National to make the conference a success.
Conference was held at HU in student center, Geo science theme. Queen street
Baptist church luncheon, notable speaker, Gil Haynes. Awards portion was key.
Pam Denkins received an award. Hattie gave a tribute to Henry Livas. Talked
about some notables, went back into session and concluded at 4:00p. At awards
banquet installed the new president, Richard Gragg from FAMU. All this info
will be on NTA website about 130 people at awards banquet. NSF paid for 48
students to travel, registration and other occidentals. National will announce
2019 conference location soon.
Sidebar with Tawanna regarding National website – National will put literature
and products from conference on their website to get folks excited about
attending the conference in 2019.
Tennis Open – Friday, Sept. 28th, summary; 21s annual tournament. Tournament
went well. Yolanda still has two t-shirts left from this year and several left
from previous years. All this information will be on chapter website.
NTA scholarship awards – winners’ poster at tennis tournament. Scholarship
winners posted on website. Also have winners from previous year on website.
Rumble in the Roads – Chapter members can volunteer. To be a volunteer, must
fill out information and get screened. Screening takes about 5-days.
Volunteer registration information is on the chapter website. Once the
background check is complete, can volunteer for up to three years without
having to go through background check again. All kind of volunteer operations
are available.
Science Fairs – Tidewater fair will be held on March 16th, winners will go to
the next level of competition. Easy to judge, all levels of judges are needed.
York county fair is in January. Heritage high fair is in December.
Social – tentative schedule for NTA social is Saturday, November 17th at
2:00pm. Several locations were suggested like Vanguard, Fairlane’s bowling,
Western Branch place that has big screen and other activities, Green Turttle,
Bar Louie both in Peninsula town center. College football is on that date, so
may want to find a sports bar kind of place. There was a suggestion to send
out a Doodle poll to pick the location. ACTION: Doodle poll will go out on
Wednesday, October 24, 2018 with reply due by Dec. 28th. After the results
come in, will have a telecon with members to plan and execute the social. A
suggestion was made that the chapter have incentives for people to come to the
social. Some of the suggestions included, free tennis t-shirt, free
membership, and door prizes. The chapter will talk about this at telecon on
Monday, a social subcommittee will form to take care of the logistics. Perhaps
have a contest that each one reach out and bring someone to the social. Other
location suggestions, Comfort Zone to do line dancing.
HU associate dean for engineering Dr. Demetrius Geddis, need to update his
contact information on the email distribute list.
A discussion started on how do we grow the organization?
What type of activities do we want to do in 2019?
Student symposium at NSU still a good suggestion. If want NSF funding for this
need to organize and plan now.
Professor and student conference in 2020? Include outside organizations and
collaborate with other organizations. Would this be the 2020 national
conference? If we want to do this, we need to put proposal package together
now and submit to National. Gil suggested that since National has three
proposals, they may choose conference location for the next three years.
Action: Put plans for conference together.
National annual dues are due October 1, 2018.
The chapter needs a new membership form that clearly states what people are
paying for. The national membership form has no attachment or indication to
chapter affiliation. The chapter should also have some way to acknowledge when
a member pays their dues. Need a follow-up email notice, or something, perhaps
someone can call the member when they join.
Discussion about dues, there is a real disconnect. The issue is, national
requests membership dues on October 1st. If someone pays dues in September
during the annual conference, then that member has to pay annual membership in
October. So the member would have paid membership for a month, then would have
to pay again. This is a real disconnect. HRC membership should incorporate
national membership fee and HRC membership fee. The chapter will fix
information on form and website. There is still a timing issue of when paying
dues. Need to fix this issue. Either indicate when yearly dues have expired
or pro-rate dues based on when someone pays.
National does not monitor membership. Should acknowledge membership somehow.
National asked how to increase membership.
Another discussion started about why should members join this organization?
What is the value of membership? We need to talk about benefit to members.
What is the vision for this chapter? What is the objective and brand for this
chapter? Historically the chapter was a social place for folks that worked at
NASA. A place where people could talk about the things going on at NASA and
how to succeed. Was also a place where African Americans could present their
technical work and be connected to the community.
There is a need for CHROME club speakers. The chapter can build some training
modules and send folks out to the CHROME clubs.
Sidebar – at a future chapter meeting we should ask CHROME director to come and
talk with us about needs and how the chapter can help.
Mentoring and coaching – Have an event for career choices and decisions.
Perhaps conduct a workshop. Young professionals and college students.
Help K-12 teacher to assist with instructions for STEM, provide a simple
exercise. Target schools,
Chapter Brand suggestion “Mentoring at all Levels - School, College,
Professional”
Action: Schedule a telecon on November 9th to continue discussing chapter
brand, objective, chapter membership communication. Talk this through and have
information available for social on Nov. 17th.
