Role Purposes
Â
The Information Management Coordinator (IMCo) isresponsible for and coordinates
information management (IM) at a delegationlevel/department level. S/he ensures
that the covereddelegation(s)/department(s) manage its/their information
efficiently (with the rightorganization, processes and tools) and in line with
related institutionalguidelines and practices.
Â
S/he works closely with the IM Head of region (field)or the IM unit (HQ) to
ensure that all information management related issuesare addressed and
questions answered.
Â
The IMCo acts as change enabler for all InformationManagement guidelines,
processes and tools. In this regard, s/he is responsibleto ensure that those
guidelines, processes and tools are known and implementedefficiently in the
delegations covered. S/he builds capacities within thedelegation â and
particularly those of the (executive) assistant and IM Officerâ so that the
guidelines, processes or tools are mastered.

To better ensure the creation of knowledge, thecapture and security of
information and data, the IMCo develops synergies withall information and data
professionals.

Main responsibilities
Â
Within the delegation(s)covered:
·      Ensurescoherence in information management practices in the
delegation(s) and subsitess/he is responsible for; conducts regular visits to
those sites.
·      Draws upaction plans to be discussed/validated with the
management of thosedelegations; ensures the follow-up of these action plans and
supports the(executive) assistant & IM Officer to implement them.
·      Implements,promotes and monitors IM guidelines, projects and
tools and more broadly AIMdivision activities in order to achieve better IM
consistency .
·      Is thereference person for all information management related
questions, ensures aconsistent approach and that consolidated answers are given
on all IM relatedsubjects.
·      Based onanalysis of needs and processes, proposes and implements
solutions to improvethe management of the information life cycle.
·      Activelyseeks and develops internal collaboration and synergies
with other departmentsâ particularly with staff in charge of data management
- to âraise flagsâ andensures that IM guidelines rules areapplied.
·      Ensurescompliance with information and data security (including
Data Protection Office(DPO) recommendations) and other institutionally approved
rules.
·      Systematicallyorganizes or supervises information or training
sessions for staff on IMsubjects in coordination with the (executive) assistant
& IM officer.
·      Contributesto the global regional thinking and orientations
regarding AIM and IMstrategies.
·      Evaluatesand ensures that IM competencies are in place and that
the setup is adapted toneeds (including IM relays).
·      Togetherwith the (executive) assistant & IM Officer, organizes
and facilitates IMnational seminars/workshops.
·      Acts as atechnical supervisor of the (executive) assistants & IM
officers :participates in their recruitment; advises, supports and
provides/arrangestraining and coaching to build and develop their skills on all
IM relatedaspects.
·      Advises onphysical filing and semi-current archives as per the
institution guidelines.
·      Ensurescompliance of access management and permissions with the
access policy.
·      Ensurescompliance with the security of information policy.
·      Raisesawareness on Information Security and promotesgood
practices.
Other
·      Ensures the follow upof all messages and correspondence related
to the work, in relation with theconcerned interlocutors and/or departments;
·      Is aware of thedelegationâs objectives and has a good knowledge
of the Movement and otherinterlocutors relevant to the position;
·      Collects and sharesinformation so as to improve the ICRCâs
understanding of the environment,humanitarian trends and responses when
relevant;
·      Represents the ICRC inan appropriate way during activities,
meetings and in the field and avoids anyactivity that may reflect negatively on
the ICRCâs image;
·      Takes responsibility ofown professional learning and development;
Requirements
Background and Experience
- At least 5 years' experience in a similar position at ICRC or in a large
or international organization/company
- Fully conversant with MS Office, IBM Lotus Notes and SharePoint
- Very good command of English
- Bachelor's or master's degree in information management, information
science or data management: an asset
- Experience participating inthe definition and/or implementation of change
processes: an asset
