I don't know of any other way to achieve what you want Elise - other than creating a dummy account on one of your user's PCs. They don't have to "log in" as such - merely have the account set up in their Tools>Email Accounts list. It really is very simple and will run itself without any interference from a user. One final thought - if you have Exchange Server running you presumably have an admin machine somewhere to manage the user accounts. Why not set up the dummy account on that machine and have it done from the core of the operation? That way an end user doesn't even need to have it coming through their machine at all?
