April, If you are going to try to use Outlook to do the scheduling, I would recommend that you get yourself a copy of the Outlook Object model so you can see what you may have access to and be able to manipulate. As far as how you want to handle the employee info table, you probably will want to hold off on that until you see the Outlook object model so you will know what you are dealing with.
