I kind of expected that it would be the EAA EIN if it existed at all. Also,
the qualification requirements for the grant weren’t clear about whether the
chapter could qualify as organizer or whether it had to be an individual. We
were always clear that the event was sponsored by KEVA.
As soon as we can get to the point of seeking local grants and financial
support, we will probably need to know if we can use the EAA EIN. I suspect
that for some who would provide money, the funds will need to be funneled
through the EAA account.

One note of clarification. KEVA does not have an EIN. The EAA has a EIN, but
I'm not sure if it could be used for an event like this. If/when this comes
up, I can check with the national office to find out. If there is an out of
pocket expense, if it is OK with the group, we can reimburse from out local
account.

Here are a couple of observations.
In previous years, the City of Knoxville has held an Earth Day event, and
Drive Electric Tennessee has hosted a Ride and Drive as part of it. This
year, the City of Knoxville has chosen not to host an Earth Day event. DET
is working with KUB about a R&D on April 21. (I think that’s right.). Last
year, a few KEVA members participated in the Y-12 Earth Day Event. Due to
DOE restrictions, no R&D was possible, but those of us who were there showed
our cars and talked with folks. KEVA has been invited to participate again
this year. I believe that’s on 4/22.
As to the grant last year, we were fortunate to get it. Grants were awarded
on a first come basis until the money ran out. We submitted our application
within a few hours of the announcement. There are several things that are
required starting with a suitable and safe location. Given that we do not
have a location identified, and assuming that grants will be awarded in the
same manner, the odds are against receiving one for Drive Electric Earth Day.
That’s not to say “Let’s not do it.” It’s just to be realistic. We did not
apply for the full $2500 potential since we would have to spend the money
first and be reimbursed. Given that the date for awarding the grants was
only a couple of weeks ahead of our event, it would have been difficult to
commit the full amount. In addition, we did not have access to KEVA funds,
so Susan and I chose to use our own, recognizing that if we did not receive
the grant, we would be responsible for the expenses. The grant came with
conditions that were not easily met at the Whole Foods site (attendance
estimates, numbers of ride and drives, and pre and post surveys). In
addition, we were not able to get KEVA’s EIN in a timely manner, so the
application was filed using Susan’s SSN. Susan received a 1099 showing the
funds, so I foresee a discussion with our accountant when we file our taxes.
As we continue to improve our planning and execution of events, we should
gain enough lead time to take advantage of things like the Plug-in-America
grants with more ease. We’re in the window right now where we should be
looking for local grants to support the fall NDEW R&D scheduled for October
3rd.

This seems right in line with Virginia’s work with Drive Electric
Tennessee. Have you touched base with her about it?
I’m sure if they need to find a space to host it we could find a City
location.

All,
I am forwarding the email below just so everyone is aware of this
opportunity, not because I’m saying we ought to apply.
I think this is similar to the grant Jack and Susan got for NDEW last year
– it is well worth it but requires a significant time commitment and
dedication.
