Hi everyone,
Sorry to report that we have had to change the party date. NEW PARTY DATE:
Saturday 10th AUGUST
It turned out that some key people couldn’t do 13th July so we have had to look
at other dates. The best one for those helping to organise the party and for
Bex (our DJ) was 10th August.
HUGE apologies to anyone that can’t make the new date or that has already made
an effort to avoid a date clash with the 13th July. It is so difficult to find
a date that works for everyone ☹️
All welcome at the next party meeting on 7 May at (or outside) The Coppermill
Pub.

Notes from meeting on 23 April
Attendees: John, Stan, Cliff, Carl, Roy, Nicky
Music
1. Bex (DJ TBX) will bring her speakers (and stands), mixer and laptop. She
needs us to provide power - 5 sockets and a table. Cliff has agreed to make
this. We also need to source some matting or old carpet for the speaker stands
to go on.
2. Bex is happy to include our guilty pleasures on her playlist. Nicky to put
together a form for people to return.
3. Bex will come to set up her equipment before lunch. We can then plug in an
iPod to her laptop for background music. She’ll come back to DJ from early
evening till the end of the party at 11pm, when she'll take her equipment home.
Set up
4. The gazebos to go up on Friday evening. Volunteers will be required as
this is definitely a job where ‘many hands make light work’!
5. Bar and DJ table to be made on Friday evening/ Saturday morning. Cliff
to lead on this with some helpers.
6. Lights, decorations and the long lunch table to be put up on Saturday
morning. It would be nice to decorate the table - maybe a patchwork of table
cloths and some flowers? It would be good to have a volunteer to lead on this.
Lunch on the street and evening food
7. For the lunch, we thought of asking everyone to bring out some food to
share, perhaps a speciality or national dish. Numbers and dishes to be
confirmed in advance so we can make sure we have a bit of everything.
8. Everyone to bring their own chairs and plates/ cutlery, to cut down on
waste.
9. For the evening, people might like to bring out snacks (crisps, etc.)
10. Roy to follow-up with Chris about his suggestion of pizzas.
Honesty bar
11. John to coordinate the bar. He has bought a card reader so donations can
be made by card as well as cash.
12. We’ll need a team of Elmfield Roaders who are happy to do an hour-shift
on the bar. David, Nicky, Roy, Carl and Martin have volunteered.
Entertainment
13. Charmaine has contacted P&J Entertainments re: bouncy castles. A 12ft x
12ft (3.6 x 3.6m) is £80 for 24 hrs. It would be good to find out the cost of
the next size up as this might be too small.
14. ‘Guess the Baby’ game - photos of Elmfield Road residents as babies and
as adults; players have to guess who is who. Nicky to coordinate.
Next meeting
15. Date of next meeting: 7 May at 8pm at The Coppermill (but hopefully
outside). All very welcome!
