CONTEST! As you can see, I'm trying to "pretty up" the=20
text version of this newsletter with plain text art. So, I'm looking=20
for a cool plain text logo for ABC to celebrate our first year. =20

Just email your creations to
linda@xxxxxxxxxxxxxxxxxxxxxxxxxxxx =20

I will announce the winner and show some of the other entries=20
in either the next issue or the one after that, depending on how=20
many entries I get. For those who don't know what possiblities=20
there are with plain text art, here's a couple cool ones as examples:

A truck:
  |^^ ^^^^^^^^^^^^| ||____
  | B u d w e i s e r | ||'|"\,__
  |_..._...______=3D=3D=3D|=3D||_|__|...,]
  "(@)'(@)"""*|(@)(@)*****(@)*I

(thanks, Rick)

A dweeb:
    =A0,,,,
   =D4=BF=D4=AC

(thanks, Neil)

And, of course, the borders you see between these articles.

What will the winner win?

A FREE copy of any TWO of my Office Ebook Tutorials!
That's a $30 value!

Not to mention the fame and notoriety of being the=20
creator of ABC's Official Plain Text Logo!

So, send me them logos!! Don't be shy.

(3.) LINDA'S SOAPBOX
~~Linda F. Johnson, Editor/Publisher
^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-
Letters Behind a Name
~~ Who Cares Anyway? ~~
^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-^-.,.-
Being someone who actually DOES have an assortment=20
of letters I could put behind my name, I want to talk about=20
how important they really are.

Recently, a poll was posted in one of the Excel support=20
groups I belong to, asking if we would hire someone who=20
was totally self taught. Well, I voted a high five for that. =20
Some of the smartest people I know are completely self taught. =20
And, proportionately, some of the folks I know who have a=20
long string of initials following their names can't hold a candle=20
to the aforementioned. So, that proves to me that degrees=20
and initials don't necessarily mean diddly. What they mean,=20
usually, is this person is good at memorizing and taking tests=20
(or even cheating). Not necessarily that this person has ANY=20
relevant hands-on experience or a genuine knack for what=20
they do.

When I worked help desk, me and my fellow slaves used to=20
laugh all the time about the certified big shots. Who did=20
they come to when they couldn't figure something out?=20
Us flunkies. We did all the research for them and they=20
went back to their respective IT departments and shined=20
with our answers.=20

I see people with no degrees or initials constantly=20
answering questions for the people in the tech groups=20
who DO have the initials. And what are these initialed=20
people doing with this info? They are using it at their jobs=20
where they get paid very well. And what do the=20
non-initialed people get for supplying them with this info? =20
*Maybe* they get a thanks. Donero? Nada!

Does this mean I think all initialed people are stupid? =20
Not at all. I'm just saying that should not be the *main*=20
criteria you look for in a potential employee, consultant=20
or contractor. Nor should it be your *main* goal if you=20
are seeking ways to find better employment.

I once worked as a managing editor for a large reference=20
book company. My job was to run a department where we=20
reviewed books and listed upcoming new titles. (This was=20
over 30 years ago and would you believe I left this job=20
becuz it became computerized? No way was I gonna=20
work with them dang machines! LOL) Anyway, I did a=20
lot of hiring during that time and I hardly even looked at=20
initials. What I looked at was stuff like this:

Linda's Top Ten Reasons To Hire Someone

1. Do they love doing what they do?

2. Do they want to grow?

3. Do I see them fitting into the team?

4. Are they honest? Do I believe them?

5. Can I trust them?

6. Can they think logically and solve real problems?

7. Are they willing to learn and accept when they need to?

8. Are they self-motivated?

9. Do they really want the job?

10. Can they communicate?

And I was well-known in my company for having one of=20
the best teams. And the other team leaders always told=20
me how "lucky" I was. =20

They had departments full of initials. Some very impressive=20
credentials.  =20

I had a mishmash of people from high school dropouts=20
to PhDs. I even had one guy with a pretty scarey record.=20

They had constant ego battles amongst their teams -=20
backstabbing their ways to the top.=20
 =20
I had people who worked overtime without pay to help=20
others on their team meet deadlines, and all I had to do=20
was supply the pizza.=20

They dreaded salary review time cuz they had to dole=20
out the unfair percentages allotted to them from above. =20
 =20
My salary appraisals were done by my staff on each=20
other and I simply initialed them. Therefore PhDs were=20
being appraised by high school dropouts and vice versa. =20

And I guarantee you, to this day, those PhDs will probably=20
tell you some of the smartest people they worked with were=20
high school dropouts.

So. If any of you have jobs where you get to interview=20
potential employees, don't get blinded by their initials and=20
titles. Look at them with questions similar to my top ten=20
instead and I bet you will find the cream does indeed rise=20
to the top.

Happy Computing!
Linda, BS, MA, LMHC, CHT, MS MOUS Certified,=20
Brainbench Master Certified, LOL

and the last three initials mean more to me than any=20
of the others...and I hope they do to you too.

(4.) WHAT'S NEW at Linda's Computer Stop=20
http://www.personal-computer-tutor.com

First of all, let me say HAPPY ANNIVERSARY TO ABC!! =20
Yep, this is our thirteenth issue and it is going out to over=20
1950 subscribers, so I'd say we had a very successful first=20
year. Thanks so much to all who make it possible -- both=20
the writers and the readers. A most special thank you to=20
the Fleet members who have been here since the beginning. =20
What troopers you are.

Please readers, if you enjoy any article and there's an=20
email link there where the writer has requested your input,=20
please let them know you appreciate them. Send them your=20
ideas and thankyous. Remember that I don't pay these=20
people. They do this for you for free. Please let them know=20
how much you want them to continue to do this!

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

Now...on to what's new at my site. I have been VERY=20
busy this month. I was hoping to have my Word 201=20
and Excel 201 eBooks ready to announce in this issue,=20
but I'm running a little behind. However, I'm hoping to=20
get them done this week, while I'm on spring break from=20
the college, so check here every couple days to see:

http://www.personal-computer-tutor.com/library.htm

I've also added an online form you can copy and mail in=20
if you would prefer not to use your credit card online.

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

For those who don't know this, me and Fleet member,=20
Vic Ferri have been becoming the best of friends. And,=20
we decided to pool our complimentary talents. I'm the=20
teacher and he's the doer. LOL. So, check out Side by=20
Side Productions to see some of the cool downloads we=20
offer. Some are free. Some ain't. But they are all good=20
and every penny you spend on this helps to keep my site=20
and this ezine (as well as Vic and I) alive. Hope you will=20
check back often and see what we've come up with:

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

And Vic's getting pretty well known. His newest program,=20
Lock&Hide, is being featured in Neat Net Tricks this month. =20
http://www.neatnettricks.com
And, Jack Teems is offering a real nice deal on it for his=20
subscribers. =20

And, seems Vic is matching the deal for his WinTips members. =20
http://groups.yahoo.com/group/WinTips-Tricks

So, even though I know your hearts belong to ABC, you=20
might want to consider subscribing to NeatNetTricks or=20
joining WinTips-Tricks so you can get Lock&Hide for just=20
ten bucks! What a deal. And it's really a great little program.

Here's the info on it:

Don't forget the next set of my online classes starts on=20

I've added another forum to my website. And so far,=20
only me and one other person have posted. So, here's=20
another place for you to gather round the virtual water=20

New Fun Stuff in Office XP

Yeah, Yeah, I know Office XP still has some bugs, but=20
most of us agree there are some worthwhile improvements,=20
but that's not what I'm gonna talk about here. All I want=20
to share with you here are some of the cool little goodies=20
I've discovered. =20

=A4 Color coded sheet tabs in Excel. =20
Right click on any sheet tab and choose "Tab Color"=20

=A4 Send/Receive Settings in Outlook. =20
Go to Tools>Send/Receive Settings>Define Send/Receive=20
Groups and you can set up different times for different email=20
accounts to send/receive mail, so your more important mail=20
can come in more often.=20

=A4 Email Merges in Word. =20
Finally, they work!!=20

=A4 PowerPoint Animations. All I can say is WOW. I don't=20
even know where to start. So many new choices and finally,=20
PowerPoint has learned the importance of a timeline in=20
animation sequencing.=20

=A4 Access Views. =20
Now, along with Design View and Datasheet View and=20
the other views we are used to, Pivot Table View and=20
Pivot Chart View have been added. Pretty cool.=20

=A4 FrontPage page tabs. =20
Now when you are working on more than one page at a=20
time, there are tabs that let you easily hop from one to=20
the other.=20

All in all, I like Office XP. :-) =20
Maybe in another column,=20

Styles in Microsoft Word
Part II

For a while this column will shift its emphasis to Word=20
fundamentals. Those who want to read ahead are=20
welcome to look at the Intermediate Users Guide to=20
Microsoft Word on my site.=20
http://www.addbalance.com/usersguide/styles.htm
If you do read ahead, and you have questions, please=20
send them to Me at mailto:Chas_ABC@xxxxxxxxxxxxxx
so that I might be able to answer your questions in this=20
column.=20

Before getting into that, though, here is a brief Warning Note
 - Do not use Word as your Email Editor with Outlook 97/98

While using Word as your email editor has been known=20
to cause numerous problems, the situation has deteriorated=20
recently with new viruses which sneek in under Word's=20
macro protection and under any protection built into=20
Outlook / Outlook Express. Woody Leonard recently=20
advised that users of Outlook 97/98 that use of Word=20
as the email editor will expose them to virus attack=20
and that there will be no security patch coming from=20
Microsoft to fix this because Office 97 products are no=20
longer being supported.=20

Styles Overview

If you're concerned about whether or not you need to=20
learn styles, you do. Styles are the architecture upon=20
which Word is based. Just about everything in Word is=20
style-driven. In fact, many people in the industry refer=20
to Word as a "style-driven" program.

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

What we'll cover here:

 Listing All of the Styles=20
 Applying Existing Styles=20
Using Find and Replace to Replace Styles=20
Printing a list of styles and their formatting=20

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

Listing All of the Styles

When you click the Style button's drop-down arrow, only=20
the styles in use in the current template displays in the=20
list of styles. If you wish to see a list of all of the styles=20
that are available to you in Word, you can do so in one=20
of two different ways. Hold SHIFT and click the style=20
drop-down arrow. This displays all styles available.=20
There are approximately 125 styles to choose from,=20
excluding any user-defined styles. It's also possible=20
to list all styles by selecting All Styles from the Style=20
dialog box's List control in the bottom left corner.=20

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

Practice: View All Styles

Create a new blank document.=20

Click the Style drop-down arrow. Notice how many styles=20
are available.=20

Click with the mouse in the document to deselect the=20
Style drop-down list.=20

Hold SHIFT and click the Style drop-down arrow again.=20

More styles are available when you hold down the=20
SHIFT key.=20

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

Applying Styles

The same rules that apply to direct formatting of text=20
apply to style formatting of text. If you want to apply a=20
text attribute to a single word, you can click anywhere
in the word and select a formatting option such as bold,=20
italics or underline =97 Word applies the selected format=20
to the entire word. Similarly, if you want to format multiple=20
words you must first select the multiple words. The same=20
is true for applying character styles. To apply a character=20
style, you can click in the middle of any word and select=20
the character style to format the entire word. If you want=20
to change a group of words you must first select the text=20
before applying the character style.=20

Applying formatting to paragraphs is a little different. Just=20
click anywhere in a paragraph and apply direct formats=20
such as dragging the ruler to change indentation =97 since=20
paragraph formats affect an entire paragraph, you don't=20
have to select the paragraph. If you want to affect multiple=20
paragraphs, you must first select the multiple paragraphs.=20
And, similar to applying text formatting and character=20
styles, to apply a paragraph style, click within the=20
paragraph and apply the paragraph style. Or, select=20
multiple paragraphs to apply the same style to each of=20
the selected paragraphs.=20

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

Practice: Apply Styles

Type the following text into a new document.=20

   Profitability Report=20
   Entire Firm=20
   Individual Departments=20
   Bankruptcy=20
   Corporate=20
   Health Care=20
   Immigration=20
   Trust and Estate=20

Click anywhere within the first line, Profitability Report.=20
Click the Style drop-down arrow and select Heading 1.=20
Select the two paragraphs: Entire Firm and Individual=20
Departments.=20
Apply Heading 2 style to the selected text.=20
Apply Heading 3 style to the department names.=20

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

There are several keyboard shortcuts that are useful in=20
applying styles:=20

CTRL+ALT+1
 Heading 1
=20
CTRL+ALT+2
 Heading 2
=20
CTRL+ALT+3
 Heading 3
=20
CTRL+SHIFT+L
 List Bullet
=20
CTRL+SHIFT+N
 Normal
=20
CTRL+SHIFT+S
 Activates the Style Drop-Down List

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

<>TIP<> The above shortcut keys are standard in Word=20
documents. You can also assign a shortcut key=20
combination to any other styles that you use regularly.=20
This topic is covered in the section Assign a Keyboard=20
Shortcut To a Style.
=20
***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

Replacing Styles

Let's say you just finished applying styles to a long=20
agreement only to find that you applied the Heading 2=20
style where you should have applied the Heading 1=20
style. This can easily be remedied by using Word's=20
Find and Replace feature. Instead of searching for text,=20
however, you can tell Word to search and replace text=20
formatted with a specific style.=20

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

Practice: Find and Replace Styles

>From the Edit menu, choose Replace. If you prefer=20
keyboard shortcuts, press CTRL+H.=20

Click More on the Replace tab, if necessary, to display=20
additional options along the bottom portion of the dialog=20
box. If a button says Less, the window is already=20
expanded.=20

Delete any text, if necessary, that may appear in the=20
Find what and Replace with boxes.=20

Click in the Find what box and click Format.=20
Select Style.=20

Select Heading 2 in the Find what style list and click OK.=20

Click in the Replace with box and click Format.=20

Select Style.=20

Select Heading 1 and click OK. Note that while there is=20
no text within each edit box (Find and Replace), just=20
below each box is a message that Word will find and=20
replace styles that are applied to text within the=20
document.=20

Click Replace All, then click OK, and finally, click Close.=20

If you try to use the Find and Replace feature again,=20
make sure to click within each box (Find and Replace)=20
and click No Formatting to reset what Word is to search for.=20

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

Printing a List of Styles and their Formatting

You can print a list of the styles in use in a document=20
along with the formatting that goes into that style by=20
selecting "Styles" in the "Print What" box on the Print=20
Dialog Box instead of printing the document.=20

Next month=20
I expect to follow up with more on Styles, specifically,=20
creating and modifying your own styles and where styles=20
live. =20

* This article is based largely on the tutorial=20
"Understanding Styles"=20
http://www.addbalance.com/usersguide/styles.htm
which, itself is based on the Legal Users Guide to=20
Microsoft Word. The original Legal Users Guide was=20
not written by Charles Kenyon but rather by a team of=20
experts gathered by Microsoft. This article uses screen=20
shots from Word 2000 but the methods and distinctions=20
discussed hold true for versions of Word from Word 95=20
through Word 2002.

(8.) Tina's FrontPage News
~~Tina Clarke, AccessFP - Frontpage Resource Centre=20

Adding Functionality To Your Website With FrontPage 2002
Part III ~ Included Content=20

INSERTING REPEATED CONTENT -=20

You can display a web page on another page in the web=20
site, allowing you to maintain separate pages. For example,=20
to display a copyright notice on several pages in a web site,=20
create one page that contains the copyright notice, and include=20
that page on other pages in the web site. When you update=20
the copyright notice, you simply update that one page; all=20
other pages that include the copyright page will be=20
automatically updated.

SUBSTITUTING CONTENT -=20

FrontPage includes tools that will insert content from one=20
page to another page, display pages and images on a=20
certain date and more. These are known as configuration=20
variables. FrontPage has four predefined variables that=20
gather information automatically when you put them on=20
a page:

Author =96 is the user name of the person who created=20
the page.
Modified by =96 is the user name of the person who most=20
recently edited the page.
Description =96 is a description of the page.
Page URL =96 is the current location of the page.

NOTE: Some of FrontPage=92s web templates contain=20
additional standard configuration variables.

You can also define a variable yourself, such as a=20
copyright or a comment.

NOTE: This information is not for your visitors, but for=20
other people who will work on your website.

CREATING INFORMATION THAT CAN UPDATE=20
AUTOMATICALLY - The page based on schedule=20
component allows you to merge one page with another,=20
the only difference between this and a normal page=20
component is that it enables you to change the pages=20
automatically on a certain date.

Inserting an Include Page: -

Includes are something we talked about at the end of=20
Part III. Unlike a shared border which has to stick to the=20
page=92s margins, an include component can be inserted=20
anywhere.

Place the curser where you want the include page to=20
appear. Include pages spread themselves across the=20
page so it=92s best to utilise a table with an Include and=20
then you can control the rest of the width of the page.=20
Go to Insert | Web Component |. On the left pane click=20
=91Included Content=92. In the right pane click Page. =20
Press Finish. The =91Include Page Properties' Box appears=20
here you can type in the page you want to appear in the=20
current page, however in my experience, it is best to=20
utilise the browse button as this makes sure the path is=20
absolutely correct. With include pages you might be=20
best to name them with an underscore,=20
e.g.: _includemenufpresources.htm as this excludes=20
the page from being included in the FrontPage Search=20
and TOC (Table of Contents). When the page name=20
has been inserted, press OK and the contents of the=20
included page will appear in the current page.=20

If you want the contents to be viewed only by you keep=20
the include pages in the _private folder. On the server=20
this will only be private if you use the FrontPage=20
Extensions on the host.

In Normal view if you pass the mouse over the included=20
information, the pointer turns into a little hand holding=20
a piece of paper, this is there to remind you of the=20
included content. To edit the properties box, double=20
click the included content.

To update the included content merely open the include=20
page and edit the contents and save. Next time FrontPage=20
recalculates and refreshes the website all the pages that=20
this include page is inserted on will all have that content=20
updated, saving you hours of time. This is why it is=20
particularly good for customised navigation bars. If you=20
don=92t want to wait, go to Tools | Recalculate Hyperlinks=20
and a box will appear. Click Yes and FrontPage proceeds=20
with the recalculation.

How to use the Substitution Component: -

Go to Tools | Web Settings | Parameters tab | Add |=20
In the Name box, type a name for the variable. (This is=20
what you will call the variable.) In the Value box, type a=20
value for the variable. (This is what will be displayed on=20
the page.) Click OK. Position the cursor in a page where=20
you want to display the variable. Go to Insert | Web=20
Component | and, in the left pane, click =91Included Content=92,=20
and in the right pane, double-click =91Substitution=92. In the=20
=91Substitute with=92 box, click a variable from the list (for=20
example, Author) and click OK and it appears on the page.=20
If you selected the Description command however you=20
won=92t see anything when viewed via the browser. This is=20
because you have not specified a description anywhere=20
for this page.

To add a description Go to View | Folders and right click=20
the current page you are editing and select Properties=20
from the pop up menu the Dialog box will be named after=20
the current page for example =91mypage.htm Properties=92.=20
Select the Summary tab and type, (for example) =93This is=20
an example of the description=94 into the Comments text=20
box and click OK. Now preview the page in the browser=20
and you will see the description.

NOTE: If you use the Substitution Component to display=20
=91URL configuration variable=92, the URL that appears=20
corresponds to the computer on which the page is=20
CURRENTLY located. If you later publish the page on=20
another web server the old, incorrect URL remains=20
displayed inside the page. To fix this, just reinsert the=20
component.

How to change content automatically: -

This component acts much like an include page however=20
the difference is that the =91Page Based on Schedule=92=20
Component enables you to change the pages=20
automatically on a certain date. For example you can set=20
an included page with the text Welcome to automatically=20
change to Merry Christmas on December 31st.

Display a web page or picture at selected times

Position the cursor where you want to display another=20
page or picture. Go to Insert | Web Component | and in=20
the left pane click =91Included Content=92. In the right pane,=20
double-click either =91Page Based on a Schedule=92 or=20
=91Picture Based on a Schedule=92.=20

Do one or more of the following:=20

In the =91During the scheduled time=92 box, type the relative=20
URL of the page or picture to include, or click Browse to=20
locate it.=20

To specify a page or picture to display outside the=20
specified time period, in the Before and after the=20
scheduled time box, type the relative URL of the page=20
or picture you want to include, or click Browse to locate it.=20

In the drop-down boxes after Starting, specify the year,=20
month, day, and time at which you want to start=20
displaying the page or picture.=20

In the drop-down boxes after Ending, specify the year,=20
month, day, and time at which you want to stop=20
displaying the page or picture.=20

NOTE: The web server's clock is used to determine the=20
time period.

The =91Picture Based on Schedule=92 component enables you,=20
for example, to turn your standard welcoming graphic to=20
a picture of a pumpkin during Halloween and back to the=20
standard picture, then a picture of a Christmas tree at Xmas.

NOTE: All the included Content options open the same=20
dialog box, except for page Banners, which opens the=20
Page Banner Properties dialog box and we will be=20
discussing Page Banners along with other Cool=20
Components in Part IV.

Email Filters and Rules=20

Filters, may also be referred to as Message rules. =20
Different email programs have different methods of=20
applying them. What I hope to accomplish in this=20
document is to show you how to use words or phrases=20
to create effective Filters, or Message Rules.=20
[I will use the word "Filters", to refer to both]

My most important filter is the virus filter, it is my first one. =20
In it I have blocked subjects like 'Ha Ha sexy fun',=20
GONE.SCR, and other known virus phrases obtained=20
from the virus warnings. I have it set to delete these=20
as they come in.

I also like to set up folders for my incoming mail. I call my=20
second filter 'Friends'. If an incoming email is from any=20
of my 'friends', people I know; I have subfolders for=20
'special' ones<g>. groups I subscribe to (I have subfolders=20
for each one), newsletters, and product updates.

You should test each filter as you apply it, you would=20
not want to set up a filter which deletes all email=20
containing strings of capital letters. Better yet to move=20
to a 'possible junk', or other name you wish. This will=20
avoid you permanently deleting email that you may wish=20
to read. I have found several emails intended for me,=20
which I had filtered out into my 'Junkyard', which is=20
where all email which doesn't fit in my other filter rules=20
ends up.

For a really good look at what types of filters you can=20
set up, based on words, phrases, email addresses,=20
and domains, see this site: =20

<<NOTE FROM THE EDITOR: Though I agree that=20
filters will help you clean up your inboxes, I caution you=20
to use Mike's suggested "possible junk" folder until you=20
are sure what you are filtering is indeed junk. As I look=20
through the suggestions for filters at Spam Tracking 101,=20
I see many that would send ABC to the trash: Dollar=20
signs ($), for example, are used in Excel formulas and=20
could indeed appear here, and multiple exclamation=20
points are something many writers use to add emphasis. =20
So, add your filters wisely and set up a folder for your=20
friends, like Mike suggests, so ABC ends up in a friendly=20
folder and not the trash :-)=20

must select at least one condition.) You can specify=20
multiple conditions for a single rule by selecting more=20
than one check box. Click the and hyperlink in the Rule=20
Description section to specify whether all of the rule=20
conditions must be met before the specified action=20
occurs (and), or whether at least one must be met (or).
4. Specify the actions for your rule by selecting the=20
desired check boxes in the Actions section. (You must=20
select at least one condition.)
5. Click the underlined hyperlinks in the Rule Description=20

Filtering in The Bat! ~ by John Galvin:

In The Bat, filters are set up and managed using the=20
Sorting Office, which is accessed from the Account Menu.=20
There are various types of filters which can be used e.g.=20
filters for incoming mail/outgoing mail/read messages/replied=20
messages and selective download filters.

For a typical user, the filters for incoming mail are most=20
important.

To set up a new filter for incoming mail, click on the=20
Incoming Mail folder in the Sorting Office, and then=20
click new.=20

Enter a name for the filter e.g. My friends and then=20
select the folder where you want to send the mail to.=20

The most important bit is the Filter Strings. This is=20
where you determine what to filter e-mails on. For this, I=20
will choose an e-mail address. So for "Strings" I will use=20
"myfriend@xxxxxxxxxxxxxxxx", and the "Location" will=20
be "Sender".=20

If I receive a new e-mail, the filter will check to see if my=20
friends e-mail address is in the Senders field of the e-mail.=20
If it is, then the e-mail will be moved to whichever folder=20
I have specified previously.

Filters in The Bat are processed from the top down.=20

So when a new e-mail is received, it is first checked by=20
the filter at the top.=20

If that filter doesn't catch it, the next filter down will=20
check it and so on.=20

If it gets to the bottom of the list of filters, and none of=20
them were able to catch the e-mail, then the e-mail is=20
left in the Inbox.=20

Once an e-mail triggers a filter, it will stop being=20
processed by the rest of the filters, unless it is specified=20
otherwise.

The Actions/Options and Advanced Tabs in the Sorting=20
Office, allow greater flexibility in dealing with e-mails.=20

For example, I could set up a filter which takes customer=20
orders, moves the e-mails to a special folder, and=20
automatically appends each order to a text file while=20
sending a confirmation e-mail back to the sender."

Calypso Email Program ~ From the Calypso help file:

Using Individual Messages to Modify a Filter Rule

You can add a filter rule based on a message.
1. Right-click the message.
2. Click Add to Filter.
3. In the Add rule to filter dialog box, select the=20
appropriate filter rule from the Filter list.
4. Create a filter rule. Refer to Creating a Filter=20
Definition for help about creating a rule.
5. Click OK to save the rule. The filter definition=20
will be applied to the message.

Applying Filters Manually

You can apply existing filter definitions to a message=20
or folder.

To apply a filter definition to a message:
1. Right-click the message.
2. Click Filter then the filter name.

To apply a filter to a folder:
1. Right-click a folder.
2. Click Filter All Messages, then the filter name.=20

Creating a Filter Definition

1. In the mailbox folder list, right click Filter,=20
then click New Definition. The Filter Definition=20
dialog box appears.
2. Type a descriptive name for the filter in the=20
Filter definition name field.
3. To make this filter definition your JunkYard filter,=20
see Creating a JunkYard Filter. Otherwise, go to=20
step 4.
4. Click the Add button to create a filter rule.
5. In the What Pattern to Search For field, type the=20
character pattern that Calypso will use to search=20
incoming and/or outgoing mail.

Click the arrow [v] (hyperlink) and select an operator.=20
If applicable, type a second character pattern in the=20
second text box.

6. Select the Match case check box if you want capitals=20
and lower case letters in the filter pattern to match=20
those in the message.

About Patterns, Wildcards, and Operators (hyperlink)

Patterns

Filter patterns tell Calypso what to look for when it is=20
searching your mail. A pattern may be a whole word=20
or part of a string.=20

For example, if you use "university" as your pattern,=20
Calypso will consider State University, clark@xxxxxxxxxxxxxx,=20
(university), or university news as a match, depending=20
on which objects you selected.

In other words, if you use "university" as your pattern,=20
Calypso will look for "university" surrounded by=20
non-alphanumeric characters. Non-alphanumeric=20
characters can be spaces, periods, parentheses,=20
commas, tabs, etc.=20

If you want to search for all instances of the word,=20
surrounded by non-alphanumeric characters or not,=20
you may want to use wildcards.

Note

Calypso ignores any spaces at the beginning or end=20
of the pattern.

Wildcards

Wildcards are symbols that stand for one or more=20
characters. Calypso uses the asterisk symbol (*) to=20
indicate wildcard characters.=20

For example, "*mclark*" would refer to samclark,=20
tomclarkson, pamclarke@xxxxxxxx, mclark@xxxxxxxx,=20
and so on.

Use "*" before a pattern to indicate that other characters=20
may precede it.=20

Use "*" after a pattern to indicate that other characters=20
may follow it.

Operators

Only Only the pattern string in the upper pattern box=20
will be evaluated. The e-mail message must include=20
the pattern to be considered a match. And The pattern =20
Strings in the upper and lower boxes will be evaluated.=20

The e-mail message must include both patterns to be=20
considered a match. Or The pattern strings in the upper=20
and lower boxes will be evaluated.=20

The e-mail message must include at least one pattern to=20
be considered a match. Not Only the pattern string in the=20
upper pattern box will be evaluated. The e-mail message=20
must NOT include the pattern to be considered a match.

And Not The pattern strings in the upper and lower boxes=20
will be evaluated.=20

The e-mail message must include the first pattern,=20
but cannot include the second pattern to be considered=20
a match.

7. In the Filter Mode field, select whether you want the=20
filter rule to apply to incoming mail, outgoing mail, or both.
8. In the What Objects to Search field, select one or more=20
of the filter objects. Calypso will search the selected=20
objects in the message to find a matching filter pattern.
9. In the What Action to Take field, select one or more=20
of the filter actions.=20

Use 'What's This?' Help [?] (hyperlink) for information=20
about individual actions.

Learn more about running a program

About Run Program

The Run Program option can initiate an application and=20
provide information from the message to the application. =20
When creating a filter rule, specify the application to use=20
and the part of the message to be included.=20

The command line in the Run Program field should=20
include the path to the application, any options, and=20
the following tokens:

<<SZ>> =3D message size
<<DS>> =3D date and time ("3/27/99 10:09AM" format)
<<DL>> =3D date and time ("1999-03-27 10:09:50 -0500" format)
<<DT>> =3D date only
<<TM>> =3D time only
<<SJ>> =3D subject
<<FR>> =3D from alias
<<FA>> =3D from address
<<TO>> =3D to alias(es)
<<TA>> =3D to address(es)
<<CC>> =3D CC alias(es)
<<CA>> =3D CC address(es)
<<BC>> =3D BCC field
<<BA>> =3D BCC address(es)
<<RT>> =3D ReplyTo field
<<AC>> =3D account name

For example, the Run Program field could contain a=20
command line that sends the subject of a message to=20
a pager.=20

The filter rule might look like this:

Mode: Incoming
Pattern: user@xxxxxxxxxxx
Case: Off
Objects: From
Action: Run program 'C:\program files\pager.exe <<SJ>>'

When the filter definition finds a matching filter pattern,=20
the application will run.

WARNING

It is possible to place a message header token in the=20
Run Program field without associating any specific=20
program. When a matching message was found, the=20
program listed in the message's header would be run.

For example, a filter rule has the following settings:
Mode: Incoming
Pattern: user@xxxxxxxxxxx
Case: Off
Objects: From
Action: Run program '<<SJ>>'

An incoming message matches the filter pattern and=20
has the subject of "netscape.exe". Based on the filter=20
rule above, Calypso would start the Netscape program;=20
however, if the subject were "deltree c:\", your hard=20
drive would be erased. Use extreme care if you place=20
only a header token in the Run Program field.

10. Click OK to add the filter rule to the filter definition.=20
11. Repeat steps 4-11 to add another filter rule.
12. In the Filter Definition panel, click a rule and use=20
the Priority Up and Priority Down keys to arrange the rules.=20

The order of the rules tells Calypso which filter action=20
to accept first.

13. Click Save when finished.
14. To apply the filter definition to your mail, select=20
the Apply selected filter definition check box in the=20
Filter tab. The Filter tab is located in Account Properties.=20

Filters

Filter definitions perform various actions on incoming=20
and outgoing mail. This feature is useful if you send or=20
receive many e-mail messages and want to organize=20
them automatically.

A filter definition is made up of filter rules. A filter rule=20
identifies a pattern that Calypso will look for in a message=20
header and then takes action on that message. Actions=20
can include running a program, saving a message as a=20
text file, deleting the message, or routing the message=20
to a folder or person.=20

For example, Sam Clark wants all his incoming university=20
mail placed in a folder labeled "School." Sam would create=20
a filter rule that looks for "university" in the From field of=20
incoming messages. When Calypso finds a match, it=20
places the message in the School folder.=20

You can create as many filter rules as needed to sort=20
your messages. The order of the filter rules within the=20
definition determines which actions are accepted first.=20

While you can apply only one filter definition to an account,=20
that definition can reference other filter definitions.=20
This gives you greater control over how your mail is sorted.

Each account in your mailbox can have a different active=20
filter, or you can activate the same filter definition for=20
several accounts. =20

How To Remove the Windows XP/IE Search Assistant=20
and Restore the Windows 2000 Search Interface

If you're using Windows XP, and prefer the old style=20
search tool that was used in Windows 2000, here's=20
how you can bring it back. =20

And let me tell ya, I'm sure you would have wanted it=20
back during the early days of Windows XP when this=20
search assistant was actually spying on you and calling=20
home to daddy. Really??

Read this for details:
http://www.theregister.co.uk/content/4/24815.html

To get rid of the Search Assistant:

1. Close all open Windows and programs, then click=20
Start>Run, type in regedit and press Enter to launch=20
the registry edotor.

2. Make your way to this key:
HKEY_CURRENT_USER \ Software \ Microsoft \=20
Windows \ CurrentVersion \ Explorer \ CabinetState \=20

3. In the right hand pane for CabinetState, create a new=20
STRING Value and name it "Use Search Asst"=20
(without the quotes)

4. Double-click your new string value and for Value=20
Data, type no.

To restore the 2000 Search view to Internet Explorer.

1. Navigate to HKEY_CURRENT_USER \ Software \=20
Microsoft \ Internet Explorer \ Main \=20

2. Do the same as you did above - in the right hand=20
pane create a String Value named Use Search Asst.=20
Double-click it and enter no for the Value data=20

3. Exit the Registry and refresh to see the change. If=20
the change doesn't show, reboot instead.

If you ever want to return to the XP default Search style,=20
just change the No values you entered to Yes. Alternately,=20
you can delete the whole key and Windows will recreate=20
the default on reboot.

EXTRA!=20
- Remove all your autocomplete search entries from the=20
Search entry box.

Go to this key:
HKEY_CURRENT_USER\Software\Microsoft\Search=20
Assistant\ACMru
Click the ACMru key to expand it and delete all the=20
sub keys under it.
The sub keys will have numbers for names - i.e.: 5604.
You can see your auto complete search entries in the=20
right hand pane.

By the way, ACMru stands for Auto Complete Most=20
Recently Used

Excel 2002 Power Programming with Microsoft Excel
By John Walkenbach
Publisher: Hungry Minds, Inc.
ISBN: 0764547992

Absolutely the best reference for VBA. It is geared=20
towards Excel, but it beats any book designed for generic=20
VBA as well. Simple enough for beginners to understand,=20
and covers advanced topics for the experts to review/learn=20
as well.=20

Access 2002 Developer=92s Handbook
By Paul Litwin, Ken Getz, Mike Gunderloy
Publisher: Sybex
ISBN: 0782140114

This series of books is designed for development of=20
applications in Access. It doesn=92t deal entirely with=20
VBA, but a key part of Access development is in VBA. =20
These books should never leave the side of a serious=20
Access programmer.=20

VBA Developer=92s Handbook
By Ken Getz, Mike Gilbert
Publisher: Sybex
ISBN: 0782129781

This book has one of the same authors as the previous=20
book. I don=92t recommend reading the book from cover=20
to cover, but it is a great reference book containing a vast=20
array of topics and examples.

(12.) STEVE'S RAVIN' REVIEWS
~~Steve Mills

In the Internet age, writing a monthly software column is=20
somewhat difficult. There are terrific sites that update=20
software daily, so by the time you read a monthly column=20
it is frequently old news. We also have several sites we=20
regularly peruse for the latest updates on exciting new=20
stuff. In no particular order:=20

WebAttack - Marco Gransee=92s excellent site for shareware=20
and freeware. Not since the BBS days of Exec PC has=20
there been a site so well constructed.=20
http://www.webattack.com

Personally, I spend the 20 bucks a year and buy the=20
premium service at MyWebAttack. Drop by sometime=20
and see what I mean.
http://www.mywebattack.com
=20
NoNags =96 NoNags is actually a series of sites,=20
somewhat like TuCows I presume, that specializes in=20
=93no nag=94 free ware. I use them often when I need a=20
quick program with little hassle. Their ratings have=20
been consistently well considered, even though I find=20
myself disagreeing at times.=20
http://www.nonags.com

Lockergnome =96 Chris Pirillo=92s Lockergnome daily is=20
required reading for anyone interested in computers.=20
He frequently mentions programs you won=92t find=20
anywhere else, although I find the quality somewhat=20
uneven.=20
http://www.lockergnome.com

NeoWin =96 My favorite site to get a look at what=92s coming.=20
Not real practical, but for geeks, like me, it=92s interesting.=20
http://www.neowin.net

My approach to the monthly column is to review and=20
highlight programs which get the job done. Programs=20
I personally find are part of my working system and make=20
things a little bit better by being there. When possible, I=20
feature programs where the authors are responsive to=20
changing needs and bug killing. If it=92s free =96 that=92s great!=20
If it=92s fairly priced Shareware, I try to make sure you get=20
your money=92s worth. I saw a GREAT plug in for graphics=20
programs this week, but it just wasn=92t worth the money,=20
from my perspective. There seems to be something wrong=20
with a $100 plug in for a $60 program! In looking at recent=20
months I feel we=92ve reasonably accomplished that goal.=20
Feedback has been non-existent, so I have little to go by.=20
If you have a thought, pass it along. I would love to hear=20
from you.=20

Your suggestions are welcome and encouraged. =20

I recently reviewed a similar program, but found that I like=20
this one better. Our small office doesn=92t justify a real copy=20
machine and this program is perfect. It does everything=20
any commercial program does and seems to have been=20
tweaked to a mature, quality product.=20

Copying Machine works just like any real copying machine,=20
but has some additional capabilities. For example you can=20
save the images to disc so you can make copies of them=20
in the future without having to scan them again. You can=20
also make a selection on a page in order to zoom in on a=20

Old Friends! Nothing like them. I would guess that Ian=92s=20
editor is the program I=92ve been using the longest. Anyone=20
who does any programming or plain text editing realizes=20
how intensely personal the choice of a text editor is.=20
UltraEdit supports Plug-ins, one of which is HTML Tidy =96=20
a nice little HTML verification program. Last week, I saw
that Tidy had been updated and a new dll was needed.=20
I contacted Ian and the update was complete in less=20
than 24 hours. That=92s service! Every time I want a new=20
feature, it seems to be there. The depth of this program=20
is unbelievable!=20

The list of features goes on and on.=20
Here=92s what Ian calls Key Features:

<> UNICODE support=20
<> Disk based text editing - up to 2GB file size, minimum=20
RAM used even for multi-megabyte files=20
<> 100,000 word spell checker, with foreign languages=20
support (American English, British English, Dutch,=20
Finnish, French, German, Italian, Spanish and Swedish)=20
<> Syntax highlighting - configurable, pre-configured for=20
C/C++, VB, HTML, Java, and Perl, with special options=20
for FORTRAN and LaTex. Multiple wordfiles available=20
for download=20
<> FTP client built in to give access to FTP servers with=20
multiple account settings and automatic logon and save.=20
(32-Bit Only)=20
<> Project/Workspace support=20
<> Configurable keyboard mapping (32-Bit only)=20
<> Column/block mode editing=20
<> Hexadecimal Editor - allows editing of any binary file,=20
shows binary and ASCII view=20
<> Named Templates=20
<> Multi-byte Support with Integrated IME Support

There are some great Freeware Editors around and I use=20
them on other machines for simple configuration file editing=20
and othe simple chores, but for anything non-trivial, this is=20
the tool.

bill. In addition to filling my somewhat primitive needs,=20
this program has some very sophisticated features:=20

<> Windows XP / IE like user interface. =20
<> XP Theme Support =20
<> SSL (Implicit/Explicit) =20
<> Drag & Drop within internal windows and from Explorer =20
<> Multi Connections (remote and local) =20
<> FXP support =20
<> Transfer Queue=20
<> Scheduling
<> Uploads/Downloads/FXP=20
<> Up to 16 simultaneous threads=20
<> Ultra-Fast-Queue-Directory-Contents-Speed-Feature =20
<> Favorites as used in IE =20
<> Global History =20
<> Recursive Downloads / Uploads / Deletes =20
<> Resume for broken Transfers (ul/dl/fxp) =20
<> Background Transfers =20
<> Proxy / Firewall support=20
<> SOCKS5, SOCKS4, SOCKS4A, HTTP Proxy=20
<> Wingate, Winproxy, CSM, Checkpoint FW-1, Raptor=20
<> Passive Transfer Mode (PASV) =20
<> Bands=20
<> Local Folder Browser, Transfer Queue =20
<> FTP URL ( ftp://user:pw@xxxxxxxxxxxx:port/path ) support =20
<> URL Watcher =20
<> Cache Remote Directories =20
<> ASCII and Skip Lists =20
<> Commandline FTP commands =20
<> Active Log Control and Logging to File =20
<> Quick / Recent Folders =20
<> Custom Commands =20
<> CHMOD (Properties)=20

This is another program that shows great maturity,=20
sophistication and usability. Put this in your quiver. It=20
will be ready when you are.=20

(13.) GuitarMan's Outlook Express Tip of the Month
~~ PCTechTalk's G Man

Signatures

Ever wish there was a way to have your usual signature=20
(Great big hugs and kisses, Luv Franny) added to every=20
message you write without you having to type it each time?=20
Well, guess what? You can! Every version of Outlook=20
Express since its inception has this ability (and so does=20
yours).

To kick this wonderful convenience into high gear, open=20
up OE and go to Tools/Options and then click on the=20
Signatures tab. If you already see a listing called Default=20
under the 'Signatures' area, click directly on the word=20
Default to select it. If it's not there, click on the New=20
button to create it. Next, click on the 'Text' radio button=20
(the little circle next to the word Text) in the 'Edit=20
Signature' area, click anywhere inside the white box next=20
to it and type out your favorite signature.

I would suggest that you start by pressing the Enter key=20
in order to add a blank space just above the signature.=20
I'll also suggest that you press it again at the very end=20
to add a space there as well. These two things will allow=20
your sig to stand out from the body of whatever messages=20
you decide to compose and send. When you're finished=20
editing your signature, go back up to the top of this=20
window and place a check mark next to the statement=20
that reads "Add signatures to all outgoing messages".=20
Also, make sure there's NOT a chack mark next to the=20
one that says "Don't add signatures to replies and=20
forwards". These two things will assure that the signature=20
is already a part of the messages you compose, even=20
before you start to type (you'll see what I mean when you=20
first try it).

When you're all done, click on the OK button at the=20
bottom of the screen to set it in stone. Well, it's not really=20
stone since you can come back to this area whenever=20
you'd like and make changes to the signature anytime=20
you want. From this point on, you'll never have to type=20
out your sig ever again.

BUT WAIT, THERE'S MORE!

If you wish (and I'm pretty sure most of you will), you=20
can go back up to the "Signatures" area, click on that=20
New button and create another signature if you'd like.=20
In fact, there's no limit to how many of these you can=20
create and use. Just keep in mind that the sig that's set=20
as the Default will automatically be applied to each and=20
every new message, reply and forward you make. If you'd=20
rather use an alternate sig (one of the others you created=20
above), you'll have to delete the letters that make up the=20
sig that OE places and then go to Insert/Signature/(signame)=20
where (signame) denotes the name of the specific signature=20
you wish to use.

If you decide to go ahead and make multiple signatures,=20
I would strongly suggest that you give each one a name=20
that makes it easy to remember which one is which. To=20
do that, click directly on the name of the signature (Default,=20
Signature #1, Signature #2, etc.) to select it. Then, click on=20
it again and type in a new name. As an example, the sig=20
that I use for my computer tech messages is called 'PCTech'=20
(this is also my 'Default' sig since the majority of my email=20
is related to my free email tech list). The one I use for=20
emails to family and friends is called 'Family'. The one for=20
the websites I run is called 'Webmaster'. With the help of=20
these examples, I'm sure you'll have no problem figuring=20
out the best names for the sigs you choose to set up.

SO, NOW HOW MUCH WOULD YOU PAY?

One last thing. If you decide that you'd rather use one=20
of the other signatures as the default, go back into this=20
area, click directly on the name of that sig and then click=20
on the Default button. From that point on, this will be the=20
sig that OE places in every message you write.

Advantages of Outlook on an Exchange Server
~~ Voting

There are certain Outlook features available to you only=20
when you use Microsoft Exchange Server. In other words,=20
if you use Outlook at home or on a peer-to-peer network,=20
these features will not be available to you.=20

Message Recall: Recall a message from recipients who=20
haven=92t read it yet, and, if you want, replace the recalled=20
message with a new message.
=20
Voting: Request and tally responses to a multiple-choice=20
question you send in a message. Automatically consolidate=20
voting notifications in the original message.
=20
Offline folders and offline Address Book: When you work=20
offline, synchronize your folders and Address Book at a=20
remote location with folders on a Microsoft Exchange=20
Server computer, so you always have the latest information.
=20
Delegate Access and folder permissions: Give another=20
person delegate access permission to work in your=20
Microsoft Outlook folders and to send messages on your=20
behalf. Or assign a colleague permission to read, modify,=20
or create items in your public and private folders on a=20
Microsoft Exchange Server computer.
=20
Group scheduling: Schedule a meeting and reserve a=20
location and equipment. See the free/busy times for=20
meeting invitees and resources.
=20
Public folders: Collect, organize, and share files and=20
Microsoft Outlook items with others on your team or=20
across your organization. Participate in public, online=20
discussions with others. Or share a contact or task list=20
with a group.
=20
Organize Web pages in a public folder: Collect Web pages=20
for a group to share, and keep track of how often pages=20
are used, when they=92re updated, who owns them, and more.
=20
Out of Office Assistant: Manage e-mail messages while=20
you=92re out of the office. Set up an automatic response=20
to incoming messages that lets people know you are away.=20
=20
Web Access: Access your Outlook mailbox from any PC=20
with an internet connection and Internet Explorer.=20

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

I have already discussed several of these features in earlier=20
columns. This month I will talk about voting. There will be=20
no pregnant chads or Palm Beach County jokes, just a=20
discussion of voting, Outlook style.

Using Voting in Outlook

Voting in Outlook allows you to send an e-mail, ask the=20
recipients to reply to one of several choices, and have=20
Outlook tabulate the results for you. Why would you use=20
this feature? You might use it if you were planning a large=20
meeting at which you plan to provide lunch. You could give=20
the attendees the choice of several different types of=20
sandwiches. When they vote, by clicking a box in the e-mail=20
you sent, Outlook automatically tabulates the votes, provides=20
totals for each possible choice, and creates a list of who=20
selected what. (Make sure you print a copy of the tracking=20
report to take to the meeting so you will know who selected=20
what.) You can also use this feature to select dates for=20
meetings, choices of hotels, attendance at functions, etc.=20

How much time can this save you?=20

That depends on how many people are involved in a=20
particular meeting or event. If you need to find out how=20
many of the 300 people you invite to the company picnic=20
plan on attending, it will literally save you hours. If you=20
are trying to decide on a place for lunch with three of your=20
friends, it may be quick, but it will not save you much time.

How Does Voting Work?

You must create a message that contains voting buttons.=20
To do this:

In a new mail message, click on the options icon.=20
In the Voting & Tracking Options section, check=20
"Use voting buttons". =20

There are three sets of buttons built-in to the program:=20
Approve, Reject; Yes, No; and Yes, No, Maybe. You may=20
either use one of these selections or create a new one by=20
entering the name of each button separated by a semicolon,=20
i.e. Ham; Turkey; Roast Beef.=20

Click =93Have replies sent to:=94 and enter the user name of=20
the person to receive the replies. Your name is the default=20
but you can put someone else in chare of the replies if you=20
want.=20

When you send the e-mail, Outlook puts an InfoBar in the=20
message to draw attention to the voting buttons, however,=20
you may want to explain this in your message if you have=20
not sent this type of message to the recipients before. As=20
you can see from the graphic below, the buttons for voting=20
do not stand out in the message at all. It would be helpful if=20
the buttons were yellow like the InfoBar. =20

Each response will show up in your inbox as a separate=20
e-mail with the response listed as the subject of the=20
message. However, to check all the responses, open the=20
e-mail you sent (in your sent items) and you will see two=20
tabs on the e-mail: Message and Tracking. Click on the=20
Tracking button and you will see a tracking report with=20
the total replies for each selection and a list of replies.=20
If someone does not reply, that will be shown also.=20

When you print out this voting message you will have a=20
list of responses, or lack of response, from everyone to=20
whom you sent the e-mail, and the infobar tallies the=20
results for you. If you are in charge of coordinating=20
functions for an organization, or just want an easy way=20
to keep track of responses to a query, this will save you=20
much time and aggravation.=20

~~James La Borde

Date Functions in Access
~ How They Can Be Used To Help You

This month we will take a slightly different approach to=20
this article. We will dispense with most of the talk about=20
how things in Access work and show you a number of=20
examples of how you can apply them in real life. We will=20
start with a brief explanation of the functions and then=20
jump to the examples.

Before we begin however, there is one caveat. There are=20
two similar functions, Date() and Now(). While Now() will=20
give you the exact time, it can throw off some of the other=20
search criteria, most notably the Between criteria. This is=20
due to the default time in a date being midnight; therefore=20
when you do a Between search with just dates on a field=20
that uses Now(), you will search on everything between=20
midnight on your beginning date and midnight (00:00:00)=20
on your end date. This means that any time <I>after</I>=20
midnight (1:00 am, 8:15 pm, etc.) will not be searched.

The Date functions include: Date, DateAdd, DateDiff,=20
and DatePart. All of these are very useful in helping build=20
and define your database and how your data is handled.

Date()

DateAdd()

DateDiff()

DatePart()

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

Forget the Explanation =96 Give me Examples!

Date()
The Date() function, like many things in Access, does=20
pretty much what you expect it to do. It returns the current=20
date. There is a Now() variation of Date(). The only=20
difference is that it returns the current date <I>and time</I>,=20
rather than just the date. You will find this function invaluable=20
as you build your own database. It can be used as a default=20
value in a field on a form or as criteria in a query. There are=20
no parameters to worry about with this function.

DateAdd(interval,number,date)
The DateAdd() function adds a specified period of time to=20
the date given. It can be used on specific dates or in=20
conjunction with other fields and criteria to work dynamically.=20
There are three criteria to use with the DateAdd() function.=20
The first is interval. This allows you to specify how much=20
time you want to add to the date in question. You can specify=20
any interval from seconds to years. This gives you great=20
flexibility in how you can use it. The second parameter is=20
number. This is simply the number of intervals that you=20
specified. The final parameter is the date you wish to have=20
appended. As an added benefit, the function recognizes=20
negative numbers so can actually go back in time as well=20
as move you forward.=20

DateDiff(interval, date1, date2[, firstdayofweek[, firstweekofyear]])
The DateDiff function allows you to determine the difference=20
between two designated dates in the interval of your choice.=20
The parameters include: interval, date1, date2 and two=20
optional parameters allowing you to determine the beginning=20
of the week and year. This tool again gives you great=20
flexibility in how you use this function.=20

DatePart(interval, date[,firstdayofweek[, firstweekofyear]])
This is probably the most misunderstood but most useful=20
of the date functions. It allows you to extract any part of=20
a given date to use independent of the date itself. There=20
are numerous uses for this function and you will see many=20
of them in the examples area. There are two parameters to=20
the DatePart function, interval and date. The interval is the=20
time interval you wish to extract and the date is obviously=20
the date you are extracting from.=20

***<>***<>***<>***<>***<>***<>***<>***<>***<>***<>***

Enough of the Explanations =96 Get to the Examples Already!

As promised here are a number of examples for you to=20
peruse and try out for yourself. As an added bonus,=20
many of these will also work in Excel!

How to Determine Age:
=3D(DateDiff(=93d=94, Birthdate, Date()))/365.25=20

This will return a value for age in years, with a number=20
of decimal points.=20

How to dynamically Set a Criteria to Last Month End:
Date()-datepart(=93d=94,Date())

Notice the use of multiple date functions. You can use=20
as many as are needed, just be aware of what kind of=20
impact it may have on performance.

Dynamically calculate One week from today:
DateAdd(=93w=94,1,Date())
DateAdd(=93d=94,7,Date())

Notice that there are a number of ways at arriving at the=20
same answer.

Set criteria to return all values from the previous month:
There are a few ways to do this but I have found the most=20
efficient to be:
Create two new fields not shown as:=20
EffectiveM: Datepart(=93m=94, effective)
EffectiveY: Datepart(=93yyyy=94, effective)

This returns the month and year of the field called effective.=20
Next set your criteria as follows:
Under EffectiveM, IIF(datepart(=93m=94, date())=3D1, 12,=20
Datepart(=93m=94,Date())-1)
Under EffectiveY, IIF(datepart(=93yyyy=94, Date())=3D1,=20
Datepart(=93yyyy=94, Date())-1, Datepart(=93yyyy=94, Date()))

Notice the extensive use of the datepart function in=20
conjunction with the date function. This set of formulae=20
and criteria will return all values from the previous month=20
and accounts for the rollover in year. As I said, there are=20
other ways of doing this, this particular way works best=20
for me, and others may have a preference of their own!

Set criteria to return all values from the current month:
EffectiveM: Datepart(=93m=94, effective)
EffectiveY: Datepart(=93yyyy=94, effective)

This returns the month and year of the field called effective.=20
Next set your criteria as follows:
Under EffectiveM, Datepart(=93m=94,Date())
Under EffectiveY, Datepart(=93yyyy=94, Date())

To Calculate a Future Date in Time Dynamically:
DestroyDate: DateAdd(=93yyyy=94, [Retention],[EndDate])

Note that this will give you a future date based on two fields.=20
This example comes from a retention database that allows=20
the user to specify the desired retention period for the item=20
being stored. This allows you greater flexibility as the same=20
function can be used for various destruction periods. If you=20
chose, you could set the interval as a field and allow your=20
users to determine the entire retention period on their own.=20
This can be extremely useful in an environment that you=20
allow your users to purge data on their own.

As part two of this article, I am going to ask that you send=20
in your favorite creative use of the Date functions and we=20
will share them with the readers in the next issue. Feel free=20
to send in your favorites or if you are stuck on determining=20
a specific timeframe, send that in too. We may just be able=20
to help you. I would also like to hear from anyone who has=20
a specific topic that they would like to have covered.

(17.) Font Choices for Readability
~ by Frances McColl Stewart, n-etiquette.com
=20
The marriage of a font to a web page is not something to=20
be undertaken lightly or with little thought. Your website=20
message is largely text =96 and the font you choose is your=20
website=92s voice.

A font that is unreadable or difficult for your viewer is rude.=20
Remember what your mother told you when your=20
whispering excluded someone from your conversation? <G>

Consider your audience and be considerate of your=20
audience.

The easiest font to read is the most familiar font. The best=20
eyesight is generally due to the eyes being younger.=20
Experimental fonts are in the same class as Flash,=20
interesting attention getters when used purposefully on=20
an appropriate site but out of place on a conservative=20
community interest website.

Some viewers have difficulty adjusting even within a=20
website to the use of different fonts. Whatever font you=20
use should be used consistently. A general interest site=20
would normally use from two to four typefaces on a page=20
and restrict the number of sizes to two or three variations=20
per typeface.

Upper case is easier to read - balance this with the 'tone=20
of voice' that you are trying to establish. Interestingly,=20
most people equate all caps in the body of a message=20
as shouting at them but do not do this with headers or titles.=20
This acceptance is most likely a throwback to street criers=20
and news venders who would shout the main news of the=20
day.

If your target audience is older, it is important to increase=20
the contrast between the font and the background. Gray=20
against yellow, for example is almost indistinguishable for=20
those with beginning cataracts.

Color blindness, on the other hand affects 1 in 12 people=20
in the general population. The most common is a red-green=20
perception deficiency. There are websites offering help=20
and tests for your site to enable you to combine various=20
colors without losing over 8% of your audience. One of=20
my favorites is Cal Henderson=92s
http://www.iamcal.com/toys/colors
Studies have shown that sans-serif text is easier to read=20
on the Web. Most surfers still have very limited screen=20
resolution, which renders the additional strokes, or =91serifs=92,=20
poorly. Unfortunately, in print media, the reverse is true.=20
If the website in question needs to correlate newspaper=20
ads and a website to =91brand=92 their look, concessions can=20
be made in other areas to compensate. Contrast can be=20
heightened between the background color and the font=20
color; a larger font size may be chosen, etc. Studies done=20
by ACM (Computing Machinery, Inc.),=20
http://www.acm.org/sigchi/chi95/proceedings/intpost/tst_bdy.htm =20
showed the most preferred fonts were Arial and MS Sans=20
Serif at 9.75.

Fonts also carry emotional baggage with them. Meanings=20
associated with a font can be used to alienate your visitor=20
or to reinforce the message of your page.

Generally, sans-serif typefaces appear up-to-date. Serif=20
typefaces appear established or conservative. Even within=20
these two categories, though, fonts can be sassy, brassy,=20
retiring or loud. The fashion in fonts has drifted toward a=20
primitive / childish look in recent years, perhaps a backlash=20
to the dark Gothic fonts previously prominent.

The Microsoft font "Comic Sans" can scream =91amateur=92=20
combined with some web design but can be extremely=20
useful when you need a non-threatening appearance to=20
a website that might be necessarily difficult for your audience.=20
It has been used to great effect in some technical tutorials.

Some of the great new Harry Potter inspired fonts (such=20
as Parseltongue,=20
http://www.geocities.com/carpesaponem/aboutp.htm=20
are lively fun, combining schoolboy script with (shudder)=20
Magic! Unfortunately, they are all but illegible in smaller=20
sizes. I have a weakness for playful fantasy. Somewhere,=20
there is a website idea that is perfect for their use. Until I=20
find it, you all can expect this font on all of my greeting=20
cards (in 12 point or up).

Now that you have put a lot of work and thought into=20
your choice of font, it is time to face a painful reality.

If we want absolute control over the font that is actually=20
seen on our site, we are limited to using the small selection=20
of fonts that are installed on most people's computers.=20
(Basic categories of font: serif, sans-serif, and monospace=20
are generally interpreted as Times New Roman, Arial, and=20
Courier New)=20

Alternatives are available when the font is an important=20
part of your message. I have seen websites lately, where=20
almost the entire home page was done in graphic files.=20
(Be sure to do this in smaller sections to reduce load time=20
for your page and to give yourself the option to put lots=20
of alt tags on =96 search engines do not read text done=20
graphically.) Also, some fonts are copyrighted in such=20
a manner that it is illegal to embed them in a graphic.
(Be sure to check this.)

It is perhaps easier to specify fonts by listing options in=20
order of choice. If your chosen font is unavailable, a=20
standard default is requested next, followed by a font=20
category keyword (serif, sans-serif, or monospace).=20
Without this specific direction, not every Web browser=20
will interpret, or translate, your design accurately.

Used correctly, politely and consistently, fonts will=20
strengthen your website=92s identity or =91brand=92. Font=20
choices enable you to control not just your message =96=20
but the nuance, tone and ease of assimilation of your=20
Message.

(18.) Put Your Windows Taskbar on Steroids
~ by Ramey Bell
Editor, "inboxMagazine"=20

If you use your computer as much as I do, then you're=20
probably always looking for ways to save a few clicks=20
here and there, or improve your productivity in Windows.=20
The Windows taskbar is no exception. Have you "tweaked"=20
it like the rest of your system?

Before I share my experience with customizing the taskbar=20
I must warn you. You may have to change your=20
semi-religious thinking that the taskbar must live at the=20
bottom of the screen, and that it should never be resized :^)

Here's the steps in no particular order:

1.Click on an empty portion of the taskbar, hold down=20
your left mouse button and drag it to the top of the screen.=20
Think about it: You spend 90% of your time on the top of=20
the screen clicking on menus, buttons, and minimizing=20
windows. Why cruise all the way down to the bottom?

2. Now hover your cursor on the bottom line of the taskbar=20
until it turns into double arrows, and drag the taskbar=20
down until it is twice the size.

3. Move the toolbar containing your minimized windows=20
buttons to the top row if it's not there already. Note that=20
the toolbars all contain a vertical line on the left end,=20
which you can click and drag to move in any direction.

4. Right click on an empty area, select toolbars and check=20
address. Place it on the second row all the way to the left.

5. Download a freeware program called Command Prompt=20
Bar at=20
http://perso.wanadoo.fr/ruindivision . =20
After installation, right click again to reach the toolbars=20
menu and select it's entry. Place this toolbar in the middle=20
of the second row.

6. Select toolbars again and this time select new toolbar.=20
Click on My Documents in the window provided. It should=20
show up on the second row on the right. Slide this toolbar=20
all the way to the right. See what happens when you click=20
on the two small arrows?

That's all there is to it! Now type in website addresses=20
without having to launch your browser first, launch DOS=20
commands without looking for the DOS shortcut, and=20
access your documents with one click. You now have=20
more room for icons on the quick launch bar and system=20
tray as well.=20

It may take some getting used to, but it's well worth the=20
effort. It never hurts to save a few thousand clicks a=20
year! :O)

(19.) How To Stop Digital Thieves With CGI
~ by Steve Humphrey
Author, Learn to Use CGI in 2 Hours=20

I'm going to assume you're serious about your business.=20
If you're not, I can't help you anyway. You've gone as far=20
as getting a real merchant account to accept credit card=20
payments online.=20

You know that this was neither easy or cheap. So does=20
everyone else! So, a merchant account shows that you've=20
made a serious commitment to your business. That's good=20
for customer confidence, which is good for business.

So far so good...=20

Now there's the issue of selling stuff to people online.=20
Your order form leads them to feed their credit card info=20
to a secure gateway, using software you bought or leased=20
from (or through) your merchant account provider. Finally,=20
the transaction is approved or denied.=20

If approved, the software generates a receipt and emails=20
you and the customer each a copy. At this point, the=20
customer is returned to a page you specified. In the case=20
of downloadable products, this is often the page where=20
they download your product. So, you've got the entire=20
process fully automated.=20

For a product or service with a fairly low price point and=20
a potential for many thousands of sales, this seems ideal.=20
You can quite literally make sales and earn income 24=20
hours a day. So, what's the problem?=20

The form code on your order page is the problem. If=20
someone uses the ViewSource function of their browser,=20
they can see all your code. If they have even a tiny bit of=20
initiative and skill, they can locate the URL of your=20
download page. After all, it's right there in your form code!=20

CGI provides two ways of fixing this problem. One involves=20
using a script that makes it impossible to view the source=20
code. You can find a source for such a script by=20
searching the web. Expect to pay a lot for this technology.=20

Another way is to make the return path a script instead=20
of the actual download location. The script would be used=20
to create and display the download page. It would not be=20
visible to the surfer, since it's not an HTML document.=20
The script can also record details of the transaction for=20
book-keeping purposes.=20

I admit that I discovered this by trial and error - and a=20
lucky guess or two. Your merchant account gateway=20
software may have radically different behavior than=20
mine, but here's what I've learned: =20

The gateway uses the POST method to send the customer=20
to your specified return URL (which can be a script as well=20
as a web page). It also POSTs most of its input data items=20
at the same time. They are usually ignored, but your script=20
can read them if you want to!=20

Use the names given to the form inputs. Have your script=20
extract the values of these "named parameters" at the=20
time it creates the download page. Record what you=20
want to save about the transaction in your orders file or=20
database.=20

Now here's the real secret to foiling the thieves. Inside=20
the script, check to see that the variables you extract=20
Contain non-empty values. Did you get that? Here's=20
an example:=20

if ($email eq "") {exit;}=20

In this example, the script expects to get an email=20
address. If it contains no characters, the script quits=20
instantly. By testing for the presence of some data in=20
such fields as customer name, email address, item #,=20
price, etc., you can tell whether the script was called=20
after a successful transaction - or by a thief...=20

Put all your security checks prior to the code that creates=20
the download page. If any test fails, the script exits and=20
the thief is left empty- handed. If your form-handling script=20
can convert a product name to a product ID that's never=20
visible to a browser, this provides even more security.=20
This will be POSTed back to the script and you can check=20
for it before allowing the download.=20

Close these security holes and you'll make more money.=20
You may even sleep a little better knowing that people=20
can't steal that product you worked so hard to create.=20
I know I do!=20

(20.) How to Achieve High Rankings in the Search Engines
~ by Sue Doughty
studio1webdesign.com=20

A frequent question asked is "Why do some people=20
achieve a high search engine positioning and get plenty=20
of traffic while others do not? Simple. The people who=20
have high search engine positions in the major search=20
engines selected keywords that many people are=20
searching with and placed those keywords in the body=20
of their content correctly. This is what is known as search=20
engine optimization or keyword optimization.

Search engine optimization will be one of the most=20
important investments you will make. Whether you decide=20
to take on the project yourself or hire a professional=20
service, we highly recommend search engine optimization=20
before you submit to the search engines.

Keywords: Do's and Don'ts

Here are some tips on how to optimize your web pages=20
and achieve high search engine rankings for your web=20
pages using keywords, meta tags2 and effective copy=20
writing. This article is best suited for the webmaster or=20
the author of the web site content. It is usually the=20
webmaster who is responsible for making sure that=20
pages are search engine ready. This article contains=20
web page code snippets (SHOWN IN THIS TYPEFACE)=20
given as examples to follow. Although this article is=20
technical in nature, it is vital to anyone who wants to=20
achieve a high search engine ranking.

Use of Keywords

Keywords and keyword phrases must occur often and=20
near the beginning of the TITLE tag, the DESCRIPTION=20
and KEYWORDS meta tags and the BODY of your web=20
pages. The more frequent the keywords appear and the=20
nearer they appear to the beginning of the tags and pages,=20
the greater the chance of achieving high search engine=20
positioning.=20

The tags that are most important for page optimization=20
are (in the following order):

1. The TITLE tag

Example: <TITLE>Plumbing Supplies Company</TITLE>

This is the most important tag on your web page. It should=20
begin with the most important search phrase users will=20
enter to find your site. It is more important than the content=20
and it is more important than the description or keywords=20
meta tags. Users searching for "plumbing supplies" will=20
stand a greater chance of finding your site using the above=20
title than if it were:

<TITLE>Plumbing Supply Company</TITLE>

2. The DESCRIPTION meta tag

Example: <META NAME=3D"description" CONTENT=3D"Plumbing=20
supplies for home and industry.">

Use a plain English sentence of no more than 40 words=20
for your description. Again, the description should begin=20
with the most important keywords. Search engines will=20
often use the contents of this tag to display results of a=20
search. If there is no description meta tag then the search=20
engine will attempt to build one from the content at the top=20
of the body of the page. Words like "Back Next Products=20
Support" won't mean anything to users reading search=20
results. Also do not use a list of keywords as a description.=20
Search engines will see this as an attempt to achieve a=20
high ranking and will probably penalize you and your site=20
may appear much lower on the list as a result.

3. The KEYWORDS meta tag

Example: <META NAME=3D"keywords" CONTENT=3D"plumbing=20
supplies, plumbers supplies, plumbers pipes, valves,=20
pipe wrenches">

Although the keywords meta tag is important, most=20
search engines will derive keywords from the actual=20
content of web pages. Nevertheless, you should include=20
the keywords meta tag in all pages you want indexed.=20
Do not "spam" the search engines by repeating keywords.=20
If you do you will most likely be penalized with a lower=20
ranking or even banned altogether. Additionally, only=20
use keywords that appear in the actual content of the=20
page. If the search engines detect that you are trying=20
to score a high ranking by using keywords that have=20
nothing to do with the content of the page then you risk=20
being penalized or banned.

4. ALT tags for images

Example: <IMG SRC=3D"logo.gif" WIDTH=3D"200" HEIGHT=3D"50"
ALT=3D"Plumbing Supplies Logo">

Although having a lesser importance than the above=20
tags, the <ALT> tag should also be used to achieve=20
sufficient keyword density.

Keyword Density and Copy Writing

Keywords and keyword phrases must occur often and=20
near the top the body of your web pages to be indexed.=20
The more frequent the keywords appear and the nearer=20
they appear to the beginning of the page, the greater=20
the chance of high search engine placement. Effective=20
use of keywords in the body of the page is the second=20
most important factor for high search engine placement.=20
As discussed above the <TITLE> tag is the most important.

The Home Page is The Most Important Page

The home page should contain the greatest concentration=20
of keywords. If a user searches for "plumbing supplies"=20
make sure that the phrase "plumbing supplies" appears=20
on the home page. Search engines will list in order of=20
importance all the sites having content related to the=20
search phrase entered by the user. If the phrase=20
"plumbing supplies" appears in one of the pages of your=20
site, then the search engines will place a greater=20
importance on your site and it will stand a much greater=20
chance of getting a higher ranking if the phrase also=20
appears on the home page.

The goal of the webmaster is to discover the best=20
keywords to use in your content and meta tags. Try to=20
figure out the search words and phrases users would=20
enter to find your site.

Don't Use an Image for the Body of Your Page

Since search engines use the actual content (words)=20
of your page as a basis for indexing, never use an image=20
as the main content of your page. Doing so will reduce=20
your chances of high search engine positioning.

Use Search Phrases

Using the above tags as a guide, a user may type=20
"plumbing supplies" in a search engine. This is a search=20
phrase because it is more than one word. Most users use=20
search phrases or keyword combinations, not single words.

Do Not Use Hidden Text

Never attempt to hide text to achieve greater keyword=20
density by making it the same color as the background=20
or use any similar "trick" to fool the search engines.=20
Doing so only risks your site being banned from the=20
search engines. Always be up front and straightforward=20
in your web page design. Never attempt to hide anything=20
from the search engines. These tricks usually backfire.

1 keywords =AD The words users enter into search engines=20
to find web pages with content they are looking for.

2 meta tags =AD Content in a web page that the search=20
engines can see but are not usually seen by the user=20
when the page is viewed on the Internet. It is common=20
to include a meta tag with a list of KEYWORDS to help=20
the search engines properly categorize it. Two other=20
important meta tags are the TITLE and DESCRIPTION=20
tags described in this article.

3 tags =AD Web pages are written in a format in which the=20
text is "tagged" with codes that the browser can read. =20
These tags tell the browser how to display the page.

4 spam =AD The derogatory term for excessive and=20
unwanted communication on Internet lines derived from=20
the canned meat product with the same name. In this=20
context it refers to the repeated use of the same=20
keywords in the meta tags to try to gain an unfair=20
advantage or to fool the search engines into giving=20
you a higher ranking. "Spamming" the search engines=20
can get you banned, so it is an unsafe practice.

5 alt tag =AD This is a tag used on images. Although most=20
Internet users have systems that can display images,=20
some cannot. The purpose of the <ALT> tag is to provide=20
some text which these users see in place of the image.=20
