This email reports the outcome of our AGM last month.
I was elected chairman, but the other officers and ordinary members of the
committee remain unchanged. We are listed on our news page at www.wkars.org.uk
As you know, many motions were submitted, and those agreed can be found at the
end of this message. To implement those requiring mods to the constitution,
proposals are being worked on
Our practical meetings will be a new way of pursuing WKARS' constitutional
objectives - to further the interests of its members in all aspects of amateur
radio. I hope to give the start date for them very soon.
Meanwhile, a number of club members are preparing to take part in the 144MHz
May contest, as we did last year. It runs for 24hrs from 1400 UTC on Saturday
21 May. We need help from members for setting up/taking down and operating, so
please let Steven 2E0VKH know if you are interested and available. He's at:

Following a committee decision before the AGM, the club took advantage of a
special discount at the Kempton rally to buy a new AA-600 antenna analyser.
The committee are also considering a proposal to buy a hex beam for contesting.
Any views would be welcome.

AGM 2016 motions adopted.
1.0.1/5 That the club track its storage of private data, such as names,
addresses and contact details, and take all reasonable steps to protect that
data and to keep it up to date on member request, including by checking
regularly with members that the data be correct. Further 5b. that the club
avoid storing anything private which is not essential to the running of the
club.
1.0.1/7 That the committee create a list, to be agreed with the membership, of
those items which would constitute ‘personal and private’ data, and provide a
clear case for keeping that data in the club, and then provide a clear reason
for the limited case where such data would not be published in the normal way.
That list to then be added to the constitution as Annex 1 - List of Private
Data held by the club on behalf of members"
1.1.1 AGM Motion: Club policies on open decision-making, dialogue and privacy.
This AGM recognises the hard work and personal time that officers and committee
members contribute to WKARS.
This AGM also recognises that inclusive communication, decision-making and
dialogue are key to encouraging member participation and interest, particularly
among new licensees.
This AGM further recognises the need to keep the personal information of
members confidential.
This AGM therefore mandates the committee:
to involve members in decision-making by circulating in good time if possible,
a brief note on significant items for discussion and decision by the committee,
and inviting members’ comments.
to ensure that all members who are involved in any collective discussion by
email are aware of all the other participants.
to introduce as a condition of membership, a declaration that any personal
information received in the course of club activity must be kept confidential.
1.2.3 The members present at this AGM, approve the Committee to use any
appropriate means of communication amongst themselves and with members, but
where information should be for members only, then this shall be by email until
a future replacement method is agreed with club members.
1.3.1 I propose that communication from the committee to the membership are
kept brief, as is consistent with conveying the information.
1.4.1 That no electronic methods of communication which can be accessed by
non-members of the society through the internet, should be used for the
discussion of matters which apply to the Society and its members, and that such
discussions should only take place via media which is restricted to the
membership.
1.5.1 The members present at this AGM, declare that membership of West Kent ARS
shall not require members to have a published email address or join any
distribution list, as conditions of membership.
