We do have a website, but we are unable to use forms with it.
We asked the parents to respond to our letter using a very specific format.
Some did, but...!

Again just thinking out loud...
The problem with the copy and paste is probably with the format of the sent
in answers because all those people will put things down differently. Is it
possible you have a web site?? If so, maybe you could apologise to everyone
and ask them to either log on to your web site and enter stuff in a form
that is easilly digestible or ask them to re-email with a specific format so
you can edit the email body to pick up what you want. I'm sure they won't
mind emailing again especially if you explain that you didn't expect the
volume of resposnes.
