Category: Bug / Operations / Comments Originator: Katzman, Jesse Priority: Critical Issue: Someone would enter a comment and later it could be missing... or they would enter a new comment for a stay and all previous stay comments would be deleted. The YWCA was using 2131 but since last week are on 2143. Around 5 people use HIFIS at the same time. HIFIS is on a dedicated shared drive (T:\HifisNet & T:\Vfp). People log on and off of HIFIS constantly. People shut down and start up HIFIS constantly. Their computers' clocks are synchronized. Their error log is larger than 5 MB. Here is a particular case of lost comments: Ewwwww, Jeeeeee Comments made during check in, comments made during stay (usually through Stay Details, but sometimes through Client Details -> Stay), comments made during check out. All made from June 20-June 27. Now they are all missing. Comments were not lost for Daaaaaaa, Jaaaa. I don't know why comments would stay for Jaaaa but not for Jeeeeee. Jason: Did anyone notice if some comments disappeared during the stay? For example, did anyone notice that comments adding during booking were missing during the stay, or stay comments added during the stay were missing at bookout? For a single stay do the comments disappear completely? Were there comments for this client for previous stays? If so, have they disappeared also? Are comments recorded by more then one user, and by that I specifically mean recorded under more then one user account? You mentioned that comments are added under the stay, and sometimes under the client. Comments recorded under Stay Details are stored in the HIFIS database with that particular stay record and do not appear on the Comments tab found in Client Details. Likewise, comments recorded under the Comments tab in Client Details will not appear in the comments box for Stay Details. Can you confirm that comments are disappearing in both of these locations? Jul23 it seems that Jesse Katzman in Saskatchewan has uncovered how comments are going missing in HIFIS. The behaviour can be reproduced as follows: Book in a family using the family bookin. Optionally add comments from the bookin screen at the time of bookin. During the course of the family's stay, add comments to the Stay Details for the head of house. Optionally add comments to another family member(s). Choose a family member and click book-out. On the family book out, mark the other family members so that everyone is booked out. Notice that as you select the other members, the comment box is updated with the comments recorded for the selected client's Stay Details. When you click save to complete the bookout, the client comments that are visible will be saved to the comment field for each family member, overwriting the existing comments. At the YWCA, it seems that most if not all comments were being recorded under the parent's stay details. The bookout involved selecting the parent, clicking bookout, then marking the child (or children) so that will be booked out also, and finally adding a bookout comment. Since the child was the last record touched, their comments are saved to the parent's record when save is clicked thus overwriting (losing) the existing comments. Jesse has passed this information to the YWCA and asked them to work around this issue either by booking family members out individually, or being cautious about what client is last highlighted in the family bookout screen when saving the bookout. In any case, if more then one family member has unique comments, they must be booked out one at a time to prevent overwriting the comments. Solution: Modified the management of comments during booking. A new button now allows for comments to be replicated to all selected clients during book-in/out.
