[TN-Bird] Access to Special Collections at UT-Knoxville

Special Collections are housed in Hoskins Library at UT-Knoxville.  Hoskins is 
at 1401 Cumberland Ave.  Access to the collections is limited to 9:00-5:30 
Monday-Friday.  You have to apply at the front desk for access.  You are then 
directed to the reading room while the librarian retrieves the materials and 
brings them out to you.  There are restrictions on photocopying, and none of 
the materials can be checked out.

Special Collections is the repository for rare books, manuscripts, University 
Archives, and other unusual items of non-standard format (rare maps, prints, 
and historical ephemera). Because of the unusual nature of the holdings, it is 
a high security area of non circulating materials. 
Special Collections facilities are open to all library patrons, subject to 
department regulations. Materials must be applied for at the Reference and 
Information desk and must be used in the reading room provided. All 
researchers are asked to sign a register when applying for materials. Pencil 
(no ink, please!) and paper may be taken into the reading room. Other items 
are to be left in the reception area, where lockers are provided.

Photocopy Policy 
Nutshell Guide to the Policy 
Photocopying in Special Collections is different from photocopying for 
materials in the circulating collections of the Libraries. Why? See BACKGROUND 
below. Requests for permission to photocopy materials in the collections are 
considered by Special Collections staff on a case by case basis; no copies may 
be made without permission of the staff. For more specific information and for 
an explanation of the applicable copyright law, please read PROCEDURES below.

Background 
Photocopying of materials in the Special Collections Library is guided and 
governed by considerations that differ from those guiding the photocopying of 
materials in the circulating collections of the Libraries. In the case of the 
circulating collections, the Libraries seek to maintain the circulating 
collections in a good state of preservation, but priority is implicitly given 
to the user of the present.
 
The Special Collections Library is the repository for rare and unique 
materials as well as subject-specific research collections characterized by 
maximum breadth and depth. The priority is both for the user of the present 
and for the user centuries into the future; that is to say, photocopying of 
materials in Special Collections is guided and governed by considerations of 
intrinsic value (uniqueness, rarity, costliness) and condition, with a view to 
continuing to make the resources in the collections available to readers and 
researchers, not only now, but for all time.

Procedures 
In each instance where photocopying is desired, we ask that you receive 
permission from the staff member at the desk before copying or requesting the 
copy of an item from the collections. While many materials may be copied, 
certain items are too fragile to permit the handling required in the process 
of photocopying. Others may be too rare, under some sort of restriction, or 
may require handling by a staff member at the photocopier. EXTREME CARE SHOULD 
BE EXERCISED WHEN HANDLING FRAGILE ITEMS; please feel free to request 
assistance from the staff. In the case of materials from the manuscript 
collections, items to be copied may be copied one at a time, only. Take the 
item to show the staff member at the desk to obtain approval; and after 
copying, return to the desk with the item. Each manuscript item is handled in 
this way. 
The use of portable photocopiers or hand held scanners to copy materials in 
the collections is not permitted. Photographs may be made, of selected pages 
of books, manuscripts, maps, ephemera, newspapers, prints, or photographic 
images. Please consult with the staff member at the reference desk regarding 
the proper procedure.

In all cases, permission to copy is at the discretion of the staff member on 
duty at the reference desk. Permission may be denied if, in the judgment of 
staff, injury to the item or items would result; if the rarity, uniqueness, or 
costliness of the item mitigates against copying; or if violation of copyright 
law and or "fair use" may result.
