Trouble Shooting in CIS

BMCIS:

 

 

Problem:    Activity Code popup is not showing codes.

 

Solution:     UCDCIS.BTR needs to be changed. We have uploaded UCDCIS.ZIP in SBI brief case under Credit Information System/BMCIS at www.sbibriefcase.co.in, download this file and unzip into h:\bmpc\data\branch00\iam\ folder.

                   Remarks : Consult support personnel from ZOCC for this purpose

 

Problem:    Not able to correct Error Number 431, 432, 46, 638, 851, 47, 639,

                   640, 641, 642, 643 in Bankmaster.

 

Solution:     These are newly introduced Errors in DOSCIS, for which necessary                                   

amendments were not made in BMCIS. The following steps are to be followed

                    to rectify these errors:

                    a. After rectification of other errors in Bankmaster, extract and load to DOSCIS.

                   b.  Rectify the errors in DOSCIS which could not be rectified in BM

                    c.  Write back from DOSCIS to Bankmaster

 

Problem:    Error Summary is not showing correct status even when rectifications are authorised

 

Solution:     When bulk corrections are made, the summary status is not correctly reflected

                   though authorisations are correctly saved. Please ignore the statistics. The

          programme relating to showing correct summary will be refined in next version

          of BMCIS.

 

Question:   When you are sending the latest version/patch?

 

Answer:      For the current year operations, there will be no new release. BMCIS and DOSCIS

distributed at SBIICM, Hyderabad and also officially followed up with despatch

of CDs from MIS are the latest.

 

Question:   Can we insert a record to BMCIS through EASIDATA.

 

Answer  :    No, you must not. If you do, balance updation will be aborted and on extraction,

only few accounts will be extracted. Easidata insertion of accounts must not be tried.

 

 

DOSCIS

 

 

Problem:    Sundry Deposit a/c for DD Purchase is getting extracted. This is creating

                   problem for validation on CORG.

 

Solution :    The partial realisation of DDP which is parked in Sundry Deposit account is also

                   getting extracted to help the branch to net off the DDP balances, so that the

          same will tally with the Weekly balance. If there is no outstanding, the balance

          has to be physically deleted. Please note that there is no mechanism of deleting

          this record in DOSCIS, which can be done externally using fox.

 

Question:   What are the changes in this new version?

 

Answer:      Please ensure that you are running the following latest versions DOSCIS-1.1.3.6,

CISPRO-3.0.0.0/1 and BMCIS-3.01. All these latest version were sent to each

DPCs/ZOCCs in the first week of March from MIS Department Corporate Centre, Mumbai.

                    The major changes in DOSCIS are as under:

 

                    1. SA reports are prepared borrower wise.

          2. New reports SA-7, Disc-5A, DISC-5B added. (These reports can be                    

generated by only those branch which were computerised as on 31/03/2003

          and have generated their SA returns thorough CIS.)

                    3. 10 new checks are introduced, out of which 6 are mandatory

                    4. Provision of Comparison between the previous year as regards asset code,

          NPA date, security. These reports can be generated by only those branches

          which were computerised as on 31/03/2003 and have generated their closing

          returns through CIS.

                    5. Introduction of module regarding CIBIL

                    6. Capital adequacy report and related data fields

                    7. Introduction of 90 days norms for standard to sub-standard.

 

Problem:    At the time of running Error listing, machine hangs and after rebooting

                   application is saying no record found for the Branch.

 

Solution:     We are not able to simulate this problem. This may be happening in some          

branches because of inadequate resources. We suggest that regular back up          

be taken preferably as on day end while exiting the DOSCIS application.           

Prevention is better than cure.

 

Question:   What should be the dates and other values in header parameter file?

 

Answer:      For March, 2004 annual closing parameter values are :

Question:   How do I handle DD Purchase accounts?

 

Answer:      Please refer to the ddp.doc document sent to you earlier. In short Bankmaster

report classifying the outstanding should be divided into two groups for all

type of Miscellaneous DDP accounts (like 01B08099600) i.e.

         

                   (a) Purchases on or after 02/01/2004 and 

                    (b) Purchases prior to 02/01/2004

                    and following steps should be followed.

           

                    1. Stray Purchases (not pre-funded) of Cheque/other instruments:

                    (a) Purchases on or after 02/01/2004: 

                   EDIT the account, change the outstanding to the balance of

                   DDPs shown by Bankmaster report for this group.

                    (b) Purchases prior to 02/01/2004: 

                   Open a new account (01B0888888888) in the DOSCIS in Facility

(7). Sub-facility (761), Constitution (43. Key in the residual information and Balance

of DDPs shown by Bankmaster report for this group. Asset code should be 4 (loss) and

any NPA data can be given.

 

2. Purchase of Interest/ Dividend Warrants/ Rupee drafts issued by exchange

companies (which are pre-funded):

                    (a) Purchases on or after 02/01/2004: 

                   EDIT the account, change the outstanding to the balance of

                   DDPs shown by Bankmaster report for this group.

                    (b) Purchases prior to 02/01/2004:

          Open a new account (01B0899999999) in the DOSCIS in Facility (7). Sub-

facility (761), Constitution (43). Key in the residual information and balance of DDPs shown

by Bankmaster report for this group. This will be standard asset.

 

Problem:    Report Date in data file does not match quarter date in header file.

 

Solution:     Please go thru system administrator/ Maintain Header File and verify        

Quarter Date and other details, If all these parameter values are correct and you have

uploaded the correct data into DOSCIS then please run system administrator/

Miscellaneous Utilities / Change Report Date of Data.

 

Problem:    Balancing of PCFC A/cs.

 

Solution:     Individual PCFC accounts are extracted using BMCIS. After extraction, balances in the

consolidated PCFC account (01602/099061) should be zeroised using modify detail

balances menu under balancing option in DOSCIS and the rupee outstanding of all  PCFC 

accounts tallied. If balance do not tally because of rounding off differences, rectify balances

using the menu option

Balancing-> Modify Detail Balances.

           

Please remember that these accounts are maintained in foreign currency,           

so re-pricing should have been done on the date of extraction i.e.                 

31/Mar/2003. If re-priced, there would not be any errors, otherwise,               

because of changes in currency conversion rate consolidated a/c                   

outstanding may not tally with the sum of  rupee equivalent of outstanding          

in individual a/cs.

           

Problem:    .WP files are not available for the current extraction.

(a) Can I  proceed with loading of the data.

(b) How the Summary balances will be loaded?

 

Solution:     a. If weekly files are not available, even then loading of data extracted          

from Bankmaster can be completed.

(b) Summary files will not be automatically populated, you have to key in the

summary data using  Balancing-> Data Entry Summary Balances.

 

Problem:    Balances are not matching with multi-currency balance sheet/weekly.

 

Solution:     Extraction may be incomplete or wrong for the following reasons;

 

                   a. improper arrear accounts

                   b. any branch specific memo not being present in CISMEMO.BTR

                   c. any account inserted to BMCIS using Easidata insert.

 

Please refer to steps.doc document and address the problems relating to           

proper arrear accounts.

 

It is also necessary that the balances under the GL heads are classified          

properly. The new module for populating balancing data will automatically classify

the GL heads properly. We would like to reiterate as under:

 

                   i.FCNRB(DL) should be treated as Demand Loan

                   ii. WCDL should be treated as Demand Loan

 

In spite of taking all corrective steps, if it appears that some accounts are not

extracted/ balances do not tally, you may as last recourse, update the balances

using the menu option

System Administrator->Data Exchange Menu-> Import MISLA Balances(FCBs)

 

                   The following corrections have to be made if this menu option is used.

 

                    i. Correcting balances of Metal Gold Loan a/cs

                   ii. Creating all non-fund based accounts

 

Problem:    01M15098502- sundry deposit account for DDP is also getting extracted.

 

Solution:     01M15098502 is the account where credit on account of DDPs are parked.           

When part payment of a DDP is made by the payee branch and advice is              

received at the originating branch. For the purposes of weekly, balance, if any,

in this account is netted. Similarly, after loading data to CIS, credit balance in

this account should be netted against the DDP account for which the part payment(s)

are received.

 

Problem:    Some accounts were Written-off in Live Ledger. How do we handle?

 

Solution:     No account should be written off other than by transferring to PB first. However, if the branch

has done it, correct report on Write-offs effected during the year cannot be generated.

 

Problem:    GraveYard a/c (Customer Id 099994) and Misc. Take-on customer Accounts           

(customer id 099995) are getting deleted while loading in DOSCIS.

 

Solution:     Yes for Customer ID 099994 and 099225 accounts are getting deleted,         

these accounts should not have any outstanding. If any branch has any             

such accounts, they should have opened the account under proper customer  

number. If not done, they can recreate the account in DOSCIS for 31st             

March and rectify the problem for future.

 

Problem:    Irrelevant data for Legal Expenses Previous Year and Current Year.

 

Solution:     Legal expenses of Current year and Recovery during the current year is getting

replaced with YTD Debit summation and YTD Credit Summation                

respectively. Please arrange to rectify the data by removing the                  

extraneous data.

 

Problem:    Restructuring provision - how is it calculated by CIS?

 

Solution:     Software does not calculate the provision on account of restructuring. The same

would have been calculated during the appraisal process for approval of restructuring.

If not done, the same may be calculated in terms of guidelines issued by the Bank and

the provision amount entered in DOSCIS.

 

Problem:    In case of education loan, arrear accounts are opened under the same memo          

                   and interest is not applied in arrear account.

(a)           Interest account is extracted separately, which should not have been done

(b) All checks are  getting applied to the Arrear a/c too.

 

Solution:     If arrear account number is mentioned properly in Bankmaster, the arrear           

account will be automatically extracted and merged with the principal for          

education loan. if it has not happened, check if the arrear account               

number is properly given in Bankmaster.

 

Problem:    Not able to balance the bills sub-facility wise. Can you explain?

 

Solution:     Sub-facility code of the bills are automatically determined by the software. It is

therefore not possible to change the sub-facility code if the account is opened under a

wrong memo. In case of sub-facility wise balancing, the system will check if the sum

of all outstanding bills in respect of an usance bill account tallies with the balance reflected

in the bill account. It is like comparing account balance with sum of outstanding transactions.

 

Question:   What is meant by improper Arrear Accounts?

 

Answer:      The following type of accounts will be considered improper match accounts.

a.     Different customer number for principal and Match a/c  e.g.                 

b.      01595080240 and 015P5080255

                   b. Improper memo for arrear eg.    Principal- 01595080240 -

Match account - 015C5080240 or 01600080240

                   c. same match account for two different Principal account.

          d. Having values in the match account field of an account which is not a Principal

account. Eg. in Account no 015P6080240 - if match account number 01596080240

has been entered. This may lead to cross-referencing.

 

Problem:    How to rectify an improper match account value.

 

Solution :    The mistake could not have been created through any of the Bankmaster usual

a/c opening menus. The branch may have used Easidata to                     

insert/amend such information. The same Easidata can be used to rectify           

the problem. While doing so proper care, as required by Bankmaster for            

making any changes through Easidata should be taken.

 

Problem:    Can we generate SA reports without rectifying errors relating to non-individual accounts.

 

Solution :    Yes. But, you must rectify all errors before export, otherwise, you cannot export the data.

 

Problem:    In C category branches, we are finding problems of extraction, write back          

and even running DOSCIS.

 

Solution  :   It has been found that these problems are mostly related to environment      

setting. Those Circles/ modules who had taken on BMCIS earlier have already resolved

these problems by setting the environment. The problem is occurring mostly because of the

presence of share.exe in non-Bankmaster block too. Circles have configured the autoexec.bat

so that when the system is logged to DOSCIS, the share.exe is not invoked. Further, similar

problems were reported in C category branches running on Windows2000. Solution for the

same has also been found and available under 'CIS set up for Windows2000'.

 

If the problem remains unresolved in spite of carrying out necessary configuration settings,

then updation through A<brcd>.dbf and  B<brcd>.dbf generated through MISLA can be done

to update the data base with recent outstandings. In such a situation, the menu option 'IMPORT   BALANCES FOR FCBs in DOSCIS to be used.'

 

Problem:    How do I rectify the errors in respect of non-individual accounts.

 

Solution:     Non-Individual Customer: Data requirement in respect of all non-individual borrowers should be

completed before 31st. The following steps must be followed to do so.

                   · Run Error Listing and print CORG<brcd>.err.

· Verify if the constitution /organisation code of the accounts listed in the reports are correct.

If not, rectify the constitution/organisation code in all the accounts of the same customer.

                   · Regenerate Error listing and print CORG<brcd>.err.

                   · Use menu option

"Account Maintenance->Live Accounts->Other Customer Information-> Customer Non-Individual"

and key in name and address of the Directors/ Partners/ Proprietor etc for each non-individual

accounts listed in the report.

· Regenerate error list and verify that no errors relating to non-individual accounts remain.

 

Problem:    In spite of doing as suggested, CORG is not error free. What shall I do?

 

Solution  :   i. Check, if district code is 0 or invalid for any related person reported under non-

                   individual customer. 

ii. Check if any blank records exist in the non-individual database i.e. CORG.dbf in DATA

folder. If blank records are there, the same can be deleted and then errorlisting menu to

be run to find out if any error relating to non-individual accounts  persist.
