Ryan,

There are a number of ways to create rules, but here are some notes I
wrote for the easiest, using Outlook 2003. 

Example rule 1: Assume you have joined the JAWS UK mailing list, and
want messages from the list to be placed in a folder you have created
for this purpose. 

Find a message in your Inbox that was sent to the JAWS UK mailing list.
Press the Applications key and choose Create Rule. A dialogue opens in
which many of the controls are based on the current message. You can
also get to this dialogue by opening the message and then going to the
Actions menu and choosing Create Rule.

Essentially the dialogue has two portions.  The first half allows you to
identify which messages the rule will apply to. It consists of has three
checkboxes and some associated controls which are all prefaced by "when
I get email with all of the selected conditions". 

The second half of the dialogue concerns what will happen to the
messages the rule applies to. Again there are three checkboxes and
associated controls, and all are prefaced by "do the following".

The dialogue has the following controls:

a) From jaws-uk-bounce@xxxxxxxxxxxxx checkbox - this checkbox will
contain the address from which the message was sent. Check it to apply
the rule to any message from the same address.

b) Subject contains checkbox - check this to apply the rule that
contains certain words in the subject.

c) Subject edit - will contain the full subject of the current message;
change it as you see fit.

d) Sent to checkbox - check this to apply the rule according to who it
has been sent to.

e) Sent to combo - will contain at least the option "me only" if only
the mailbox owner has been sent the message. Otherwise it will contain a
list of the addresses the message was sent to. In our example it will
contain "jaws-uk@xxxxxxxxxxxxx" and "me only".

f) Display in the New Item Alert window checkbox - check this to get a
dialogue detailing any new items that meet your criteria.

g) Play a selected sound checkbox - if you check this, a sound will be
played for any new items that meet your criteria. The sound that will be
played is listed in a read-only edit to the right of this control, which
cannot be reached with the PC cursor. Press Insert + NumPad minus to
route the JAWS cursor to this point and then Insert + RightArrow to hear
the name. press NumPad plus to revert to the PC cursor. 

h) Play button - press this to hear the sound

i) Stop button - press this to stop playing the sound.

j) Browse button - this opens a dialogue that allows you to choose a
sound to play. Once in it press Shift + Tab to move to a list of WAV
files which defaults to C:\Windows\Media. If you want to hear what one
of the entries sounds like, press Applications key and choose Play. This
will open Windows Media Player and play the sound. Then Alt + F4 to
close Windows Media Player and return to the list, or Alt + Tab back if
you think you'll want to listen to another one. When you've chosen one,
press Enter to return to the Create Rule dialogue.

k) Move e-mail to folder checkbox - the default folder is named in a
read-only edit to the right of this checkbox and can be read with the
same method as the selected sound, above. Alternatively just move to the
next control which allows you to review or change it.

l) Selected folder button - opens a tree view of available folders with
the current default folder highlighted.

m) OK button.

n) Cancel button.

o) Advanced Options button - use this button to go into the Rules
Wizard, which is discussed below.

By default all the checkboxes are unchecked. Note that there are two
ways to check any of them; either by moving to them and pressing
SpaceBar or by changing any of the associated controls. For instance, if
I go to the Subject edit and change its contents, that automatically
checks the Subject contains checkbox.

Once you have set up the criteria for the rule, press the OK button to
create the rule. For some reason this takes a few seconds, after which a
confirmation message appears. If you Tab around this message, there is
checkbox which you can check to run the rule on the current folder. I
always check this to test the rule.

So it will go in it's own folder.
