  Thanks for your ideas Christine, the problem was that I used a software to
  convert the document from a PDF (wasn't able to access original file
  although had permission) and the conversion was only allowing limited
  formatting, hence my confusion and why I was checking my steps in case I had
  made a mistake.

    Tracey - sounds like you need to go on a Word course, or buy yourself a
    'teach yourself' style manual.  These are pretty basic questions that you
    would be covered in any basic course.  The Word help is pretty good at
  this
    level too.

    Thanks for the all previous TOC help, it worked well.

    I have another question, I have a two-page document consisting of images

    text, I would like to shrink the two pages down to have it all on one
  page,
    but have forgotten how to do this. The document is in Word and is not in a
    picture box, do I need to do this and then adjust size in Format Picture
    mode?
