Exercise: Saving a New Workbook Complete the following eight steps to save your new workbook. Step 1: Press Insert-T to verify Book1 is the active workbook. JAWS announces, "Title Equals Microsoft Excel - Book1." Step 2: Press Alt-F to pull down the File menu. JAWS announces, "Menu Active New Dot Dot Dot Ctrl+N." Step 3: Select the Save As command by pressing the Down Arrow key until JAWS announces, "Save As Dot Dot Dot A." Then, press Enter to execute the Save As command. The Save As dialog box appears. JAWS announces, "Save As Dialog File Name: Edit Combo Book1.xls." A selection cursor appears around the default name (Book1.xls) in the File Name field. The dialog box is prompting you to assign a name and specify the drive and folder in which you want to save the workbook. Step 4: Type Budget 2003 in the File Name field. (You can include spaces in the name.) Your name replaces the name offered by Excel. Step 5: Press Insert-Tab to read the workbook name in the File Name field again. JAWS announces, "File Name: Edit Combo Budget 2003 To set the value, use the Arrow keys or type the value." (Excel adds .xls to the name when you save it.) Step 6: Move to the Save In combo box by pressing Tab until JAWS announces, "Save In: Combo Box My Documents." If the My Documents folder is not selected, press Alt-Down Arrow to open the combo box. Press the Down Arrow key until JAWS announces, "My Documents." Then, press Enter to open the My Documents folder. The contents of the My Documents folder appear in the list view. The name of your workbook is Budget 2003.xls. You are saving the workbook in the My Documents folder on the C drive. Step 7: Press Tab until the Save button is selected. Then, press Enter to activate the button. JAWS does not indicate that Excel is saving your workbook. However, it announces, "Budget 2003.xls Sheet1 A1," when Excel is finished saving your workbook. Step 8: Press Insert-T to read the title bar. JAWS announces, "Title Equals Microsoft Excel - Budget 2003.xls." Notice that the name of your workbook appears in the title bar. Exercise: Quick Saving an Existing Workbook You can use the keystroke Ctrl-S to save the Budget 2003.xls quickly. This method is the best way to save a workbook that you have saved at least once. Complete the following six steps to add data and then save the workbook again. Step 1: Press Insert-T to read the title bar. JAWS announces, "Title Equals Microsoft Excel - Budget 2003.xls." Step 2: Move the selection cursor to cell A8 by pressing the Down Arrow key until JAWS announces, "Blank A8." Step 3: In cell A8, type April. Then, press the Right Arrow key to accept the data and move to cell B8. JAWS announces, "Blank B8". Step 4: In cell B8, type 1650. Then, press Enter to accept the new data. Step 5: Press Ctrl-Home to move to cell A1. JAWS announces, "First Cell Budget 2003 A1." Step 6: Press Ctrl-S to save the workbook. Excel saves the Budget 2003.xls file with the new data. (JAWS does not indicate that Excel saved the workbook.) Exercise: Saving a Workbook Under a New Name If you would like to save an existing workbook with another name or in a new location, use the Save As command. Remember, when you use the Save As command, the existing workbook remains intact. Any changes you made to the workbook are reflected in the workbook that you created using the Save As command. Complete the following seven steps to save the information in Budget 2003.xls in a new workbook with another name. Step 1: Press Insert-T to verify Budget 2003.xls is the active workbook. Step 3: Move to the Save In combo box by pressing Tab until JAWS announces, "Save In: Combo Box My Documents." The file will be saved in the My Documents folder. Because you want the file saved in this folder you do not need to select a different drive. Step 4: Move the focus to the File Name field by pressing Tab until JAWS announces, "Save As Dialog File Name: Edit Combo Budget 2003.xls." Step 5: Assign a new name to the workbook by typing Expenses in the File Name field. Excel replaces Budget 2003.xls with Expenses. To verify, press Insert-Tab. Step 6: Press Tab until the Save button is selected. Then, press Enter to activate the Save button JAWS does not indicate that Excel is saving your workbook. However, it announces, "Expenses.xls Sheet1 Budget 2003 A1," when Excel is finished saving the workbook. Excel automatically closes the Budget 2003.xls workbook. Expenses.xls is the active workbook. Step 7: Press Insert-T to verify Expenses.xls is the active workbook. JAWS announces, "Title Equals Microsoft Excel - Expenses.xls." What You Learned.
