Event Assistant

The Event Assistant is an integral position on the special event team of the 
Development Department and reports to the Director of Donor Relations. This 
position will support the administrative operations of the Special Event 
Program and performs all activities necessary for the team to effectively plan 
and implement fundraising events for Catholic Charities.

• Manage the day-to-day communications and activities related to the special 
event program including correspondence and phone calls with volunteer 
committees, board members and Catholic Charities staff related to specific 
events.

• Ensure donor and prospect information and activities are properly responded 
to, tracked in Raisers Edge and followed up on in a timely fashion.

• Work in coordination with the event team to maintain reservations and 
donation log for events in Raisers Edge and create thumbnail sketches for all

Cultivation events throughout the year.

• Manage and maintain volunteer program for special events (d'Vine Affair, 
Patrick J. Ryan Main Event, First Look for Charity, LOSS Brunch, Veterans In 
Need Dinner, Golf Invitational, Patrick J. Ryan Golf Outing, Gala of the Arts, 
and Spirit of Saint Nicholas Ball) and the Development Department. 
Responsibilities include: o Recruit volunteers for all shifts necessary for 
execution of special events.

o Create and manage volunteer schedules for events.

o Communicate to volunteers their schedules and other assignments as needed. 
This includes coordinating and leading event training meetings before events 
and assisting with post-event evaluation.

o Act as the lead at special events to monitor volunteer activities and shifts.

o Track and report Development Department volunteer hours for quarterly 
volunteer logs.



• Serve as liaison between the gift processing team and Event 
Coordinator/Managers to ensure acknowledgement letters are sent out in a timely 
fashion.

• Attend event committee meetings and take meeting minutes (evening meetings 
are typical).

• Reserve the boardroom and meeting spaces for on-site committee meetings.

• Coordinate payments for event-related services and create invoices for 
outstanding payments.

• Work together with event team to facilitate mailings associated with special 
events, including solicitations and follow-up for underwriting support, auction 
and raffle prizes.

• Assist in the coordination of special events including auction and raffle 
organization and execution. Utilization of databases, magazines, directories

up. Create bid sheets, display sheet, receipts, etc.

• Create special communication and presentation pieces for events including 
raffle tickets, signage, flyers, and presentations as necessary.





• Oversee event supply inventory and day of event supply needs.

• Manage the content and distribution of the monthly event e-blast to be sent 
to all event donors and board members.

• Assists with prospect, foundation and corporation research when needed from 
attendees at events.

• Research opportunities for special event expansion, savings on event expenses 
and . enhancement.

• Provide the Director of Donor Relations support in overall administrative 
operations including answering phone. calls and scheduling meetings and also be 
the back-up for the Director of Development in these tasks as well. .

• Assist the Director of Program and Regional Events with special projects as 
necessary.

• Assist with event gift receipting when necessary and when Gift Processing 
staff is in need of assistance.

• Assist the Director of Donor Relations with monitoring and proof reading 
daily assignments performed by the interns.

• Work in coordination with the Administrative Assistant Coordinator (AAC) to 
respond to the in-kind donation phone calls/emails and be the back-up support

Basic Functions: The Director of Major Giving for Catholic Charities is a 
senior level position on the Development Team which reports to the Director of 
Development. The Development Team has 17 staff members and raises approximately 
$20-$22 million annually. The Director of Major Giving's primary 
responsibilities include: Major Gifts: Will be responsible for seeking out 
opportunities, developing and implementing initiatives to identify, cultivate 
and solicit prospects and donors beginning at the $25,000 level to ensure a 
strong base of major gift prospects and donors for Catholic Charities 1OOth 
Anniversary Centennial Year which will take place in Fiscal Year 2017. The 
Director of Major Giving will play a key role with the 1OO'h Anniversary 
Centennial Celebration Year and will work closely with a newly formed Major 
Gift Committee and the Board of Directors.

Essential Functions:

Management Functions:

• Writes and implements a comprehensive annual business plan for the Major 
Gifts Program. This plan includes strategies for identification, qualification, 
cultivation, solicitation and stewardship of current and prospective planned 
giving individuals.

• Create and manage budget for Major Giving Program.



Major Giving Functions:

•          Meets bi-weekly with Senior Fund Raising Team to identify and create 
strategies for donor/prospect strategies for solicitations.

•           Create a Major Gifts Board/Donor Committee and work together to 
identify, cultivate and solicit major prospects/donors.

•          Manages master portfolio of prospects and donors in conjunction with 
the Senior Fund Raising Team and Major Gifts Committee with responsibility for 
moving prospects/donors from qualification, strategy to the solicitation phase.

•           Conducts 2-4 personal visits per month with donors, potential 
donors and friends of Catholic Charities. • Writes correspondence and proposals 
to prospective donors, prepares contact reports on meeting and records 
interactions with prospects and donors in Raisers Edge. Creates thank you 
letters and follow up reports to donors.

•          Coordinates appointments to meet with donors/prospects and prepares 
materials to be used for visits, events and/or phone calls with Msgr. Michael 
Boland, Board Members, Senior Administration, Director of Development and

•          Organizes donor/prospect breakfast, lunch and dinner gatherings for 
Major Gift prospects/donors for Monsignor Boland, Board and Committee Members 
and Director of Development.

•          Works with appropriate development staff to update and Raisers Edge 
and Researchers Edge electronic data base to help research prospect/donor 
giving potential and create individual prospect solicitation strategies to 
maximize giving potential for the 100th Anniversary Centennial Celebration Year.

•          Works with the Communications Department to compose Major Giving 
materials for solicitations including proposals, talking points, brochures and 
necessary correspondence for appropriate meetings and solicitors.
