Rules covered most of the Sponsor issues. As he said, a breakfast upgrade and
drink tickets will depend on garnering breakfast and beverage sponsors. We’ll
be doing the math to determine how much those sponsorships would be.
As as a benefit for major sponsors, we’ve asked for pricing for discounted
overnight stays with dinner or breakfast.
In order to bring on sponsors, we need the financial processes in place to
accept funds. Rules will be meeting with the financial group on Thursday.

Ace, Axe, and I met with the course tournament director this morning. I will
provide an update here, and Ace and Axe can add/subtract as appropriate.
OVERVIEW. Matt Loflen, a JC Golf employee, is the tournament director. As I
mentioned to him, his organization is very cooperative. Matt often said
“yes” where we would have had push back from other courses. So, we expect
that the support from the course will be very good before, during, and after
the event.
A course crew will create a bag drop on the street near the path heading to
the carts/pro shop. They will have a list of players and assigned carts.
Bags will be tagged and loaded on the players’ carts. By the way, each tag
will include a bounce back discount for future play at a reduced rate. I
will get the exact wording so we can advertise this discount on our
registration site.
Check-in will occur at the fireplace patio just south of the putting green.
There is enough room to set up as many tables for registration etc. as we
like. We can even have some of the silent auction items out for display and
initial bids. If sponsors are giving away T-shirts, hats, etc., we can use
the tables in this area.
A putting contest will be held at the putting green, run by the course.
Enter at the north end for practice. The contest will be at the south end.
A grab-and-go continental breakfast will be available near the cart area next
to the pro shop entrance. This will be coffee, tea, juice, and chef’s
selection of pastries. We hope the sponsorship crew can bring in funds to
allow an upgrade to breakfast burritos. Or, we can increase the player cost
before we finalize our budget.
The driving range will open at 0600. The range is one of the very few
weaknesses of this course. Six-person carts will transport players from the
cart area to the driving range—this takes several minutes and there are only
a couple of carts. The range is small and shared with the Country Club of
Rancho Bernardo. There may be room for a marshmallow driving contest at the
range. However, I am concerned that this might interfere with players
getting a reasonable warmup or making it to their carts on time.
The course will provide a microphone and will make announcements regarding
the start of the event. Players will be in their carts and ready to head out
in time for all “A” foursomes to tee off a 0730.
At the completion of the round, players can take their bags to their cars and
return to the starting area. The awards luncheon will be held nearby.
Anticipating a hot day, players will be ushered into the banquet room rather
than starting a cocktail period on the patio.
Particulars:
BEVERAGES. We can provide non-alcoholic beverages on the course as we like.
The course will provide 4 canopy areas and 4 coolers for our use. We can
purchase drink tickets and include them in the player swag bags. Tickets
will be $4 to $7 each based on items ordered. Given the appropriate
sponsorship, we could provide two per person. We could use different colors
to designate a lower-priced ticket (bud light type beer or Gatorade type
drink) and a higher-priced ticket (wine or well drink). We would pay only
for those tickets used. The seller of the drinks would mark the drink ticket
with the cost of the drink. There will be a no-host bar at the awards
luncheon. We cannot bring any beverages to the awards luncheon.
BEVERAGE CARTS. We can have our own beer cart(s) on the course, but each
must have a server on board ($125).
COURSE BEVERAGE CARTS. They are available unless we say otherwise. A snack
bar is near hole number one, and en route to hole number 10.
ADVERTISEMENT. We can use the Men’s Club and Women’s Club posting areas for
on-site advertising of our Folds of Honor Patriot Golf Day. The course
cannot consider an easel with an ad in another location. We can provide
flyers in the same area and, if I remember correctly, on the counter in the
pro shop.
ADVERTISING RESOURCES. Matt will provide logos and photos we can use for our
web site and flyers.
BANNERS FOR SPONSORS. There is an area above the pro shop for a banner, we
can have banners hung in the banquet hall, we can provide large screen
displays with advertising, and the course will gather hole signs and set them
up against the wall as the round ends, for example.
ROOMS. The Inn will set up a special rate for anyone attending the event (or
just Gold Coast, I assume). Reservations should be made early as the rate
will only be available while supplies last.
SPONSOR BENEFITS. I will let Axe fill in this section.
ON-COURSE GAMES. They will not mow the fairways the morning of our event.
They will mow the greens. Most of sHanks ideas are feasible. We can set up
the course the evening before starting with the first hole and getting
through the course before dark. For example, we can put a prop in the pond
on hole number four (par 3) to be used for a “hit-the-bucket-in-the-pond”
game. We can put up stakes on four of the holes for the four-hole combined
long drive contest. We can cause foursomes to play out of the bunker for the
first shot on the penalty hole (#10). We can have men play from the blues
with women from the gold. The gold tees can be moved forward, even onto the
fairway. We can place hula hoops for drop areas. I forgot to ask about the
type of closest-to-the-pin markers used, but we can follow up regarding that
and which holes, if any, we want to have chalk or line for straight drive
contests, for example. The course will provide carts to rotate the
volunteers as the day goes by.
SCORECARDS. We can supply our standard scorecard files with names,
foursomes, etc. The course will print them in color on card stock, corrected
with any last minute changes as required. They will print front and back, so
we can have sponsor logos on the back.
CART SIGNS. Each cart will have the players’ names. We can provide
logos/mottos for the CART SPONSOR or TITLE SPONSOR to be printed by the
course on the other side of the sign. The signs hang in a see-through
holders on the back of the carts.
SUMMARY. Bag Drop, 0600 Driving Range, Check-in, Start Live Auction, Give
Swag Bags, Sell On-course Contest Packages, sell raffle tickets?, Putting
Contest, Driving Range Contest, Grab-and-Go Breakfast, 36 Foursomes on the
course, “A” Foursomes tee off at 0730, Men from the Blues, Women from the
Golds (moved forward on some holes), a game on every hole, no vendors on the
course asking for $ from the players, 5-hour round (goal); 4.5-hour round
(stretch goal), awards banquet, raffle win board?, silent auction, Folds of
Honor Speaker, Title Sponsor Speaker, Award 1st, 2nd, 3rd, closest to the
pin, long drive, straight drive, etc. winners, great meal, good time,
goodbye, come back next year.
