growing and expanding into areas new and old. We are currently looking to fill
the following position for our office in FakFak, Papua Barat:
FakFak Operation Officer (FK_OO)
FakFak Operations Officer will be supervised by the Kaimana-Fakfak Senior
Operation Coordinator. The purpose of the role is to carry out finance
transaction and to implement finance procedures and policies of CI Indonesia,
and also ensure proper field administration including HR (process outpatient
and inpatient, annual leave records, outsourcing staff) with accurate and
timely manner.
Key Responsibility:
Financial Duties
Handle Fakfak Office Petty Cash, preparing bank disbursements while making sure
that all financial transactions are in budget and accordance.
Review Travel Expense Report to comply with CI regulation with adequate
supporting documents.
Enters all financial transactions (petty cash voucher, bank payment voucher,
general ledger journal) into CI’s web base accounting system on daily basis
according to correct to the approved charging codes.
Handles regular office payment i.e: utilities, Telephone, Internet,
Car/Motocycle Rent, Outsource Payment, Medical reimbursement, etc.
Ensures that Travel Advances or Activity Advances are cleared in timely manne
Prepares monthly tax worksheet of Fakfak office and submits it to Jakarta
office.
Maintains the files of payment vouchers, general journal vouchers, financial
reports, bank statements, and other financial documents of Fakfak office.
Admin & Logistic:
Serves as receptionist and welcome visitor or guest in a good manner
Assists in arranging meeting, workshop/ events (venue selection, logistics
arrangement, copy materials)
Assists in arranging staff travel (reservation of flight and accommodation)
Assists Supervisor/Program Manager in preparing travel and honorarium agreement
Organizes Filing System and information, handling incoming and outgoing
letter/mail.
Purchases regular office supplies (stationary and groceries), and maintain the
office supplies inventory
Maintain FakFak Office Inventory list, conducts physical checking periodically
and ensure the asset list is updated periodically both in inventory list and in
BW
Maintain frequent communication, and including regular meetings with staff in
FakFak
Prepare overtime payment if any.
Ensuring the vehicle log is managed as per regulation
Human Resources
Process staff medical reimbursement (outpatient and inpatient) and ensure
proper documentations are provided;
Maintains good record of leave taken by staff and send leave form to HR for
verification.
Remind staff to complete their timesheet by 4th every month and ensure proper
coding
Assist to prepare SPK needed in FakFak Office using the standard template and
review the timesheet for payment.
QUALIFICATIONS
Academic degree level
Two years of experience in Finance and Administration
Effective in verbal and written communication, multi-tasking, organizational
and prioritization.
Demonstrate detail focus, an ability to follow procedures, meet deadlines, work
independently and cooperatively with team members are required.
Fluency in English (written) and Bahasa Indonesia (verbal and written)
Computer skills with strong familiarity of word processing, spreadsheets, and
database software are mandatory
ADDITIONAL QUALIFICATIONS
List additional required or preferred qualifications specific to the position.
Experience with Non-Government Organization (NGO)
Possess good knowledge of local cultural setting in Papua
