The ICRC Regional Delegation in Jakarta seek to fillthe following position:
Logistics Assistant(2 positions)
(ResidentPosition, Jakarta-based)
The ICRC Delegationin Jakarta is seeking a suitably qualified candidate to fill
the above-mentioned position with bellow criteria:
Role Purposes
TheLogistics Assistant is based in Jakarta and reports directly to the
LogisticsCountry Manager. The Logistics Assistant will be responsible to
providetechnical and operational support for Jakarta and Dili office in the
areas ofpurchasing, stock management, transport, import export and fleet
management.The Logistics Assistant is also replacing the Logistics Country
Manager duringthe latter’s absence (training, holidays, medical leave, etc.).
Main responsibilities
Purchasing (30 %)
§ Carries out purchase in Jakarta and field locations as instructed§ Ensures
correct purchasing and procurement with reference to ICRC procedures, rules and
regulation including Financial rules and Code of Conduct are followed and fully
implemented;
§ Participate in tender process;
§ Liaises and coordinates with the Administration Department on
financialissues.
Transportation (20%)
§ Ensures correct transportation with reference to ICRC procedures, rulesand
regulation including Financial rules and Code of Conduct are followed andfully
implemented
§ Liaises with dispatch and suppliers for the needs of air, road and
railtransportation and initiates requests for quotation for transport,
makesselection tables and purchase contracts;
Export – Import (10%)
§ Ensures correct Export Import with reference to ICRC procedures, rulesand
regulation including Financial rules and Code of Conduct are followed andfully
implemented
§ Submitting the documents related to export / import clearance documentsto
the concern governments departmental (i.e. Min. of State Secretariat,Ministry
of Foreign Affairs, Customs Office etc.)
§ Do proper filling of all relevant documents concerning export and importin
order to ensure full accountability and transparency.
StockManagement (5%)
§ Ensures correct Stock Management with reference to ICRC procedures, rulesand
regulation including Financial rules and Code of Conduct are followed andfully
implemented
§ Ensures all the stock items are accompanied by the appropriate documents;
SupplyChain Management (5%)
§ Ensures correct Supply Chain Management with reference to ICRC
procedures,rules and regulation including Financial rules and Code of Conduct
are followedand fully implemented
§ Has a clear overview of the status of items and requisition orders in
thesupply chain i.e. monitors requisition order status, ensures required
deadlinesare respected and updates Field Supply System requisition order status
report;
FieldSupply System (FSS) and later Oscar Light/IRIS(5%)
§ Ensures correct FSS and Oscar Light/IRIS with reference to ICRCprocedures,
rules and regulation including Financial rules and Code of Conductare followed
and fully implemented
§ Supports training to the users upon their request to create, submit
andfollow-up on requisition orders and check the stock position;
FleetManagement Support & Office Activities & (25%)
§ Ensures correct Fleet Management Task and Office Activities withreference to
ICRC procedures, rules and regulation including Financial rulesand Code of
Conduct are followed and fully implemented
§ Perform as car dispatcher and coordinate with the Functional Manager inBAN.
§ Keeps files up to date at all times (purchase order files, Archive
files,requisition orders files, vehicle files, supplier files);
§ Interprets formally from English to National Language and vice versaduring
field visits, translate documents from English to National Language andvice
versa, if required;
Other
§ Ensures the follow up of all messages and correspondence related to thework,
in relation with the concerned interlocutors and/or departments;
§ Maintains and develops his/her network of interlocutors;
§ Is aware of the delegation’s objectives and has a good knowledge of
theMovement and other interlocutors relevant to the position;
§ Collects and shares information so as to improve the ICRC’s understandingthe
environment and identity humanitarian trends and responses;
§ Represents the ICRC in an appropriate way during activities, meetings andin
the field and avoids any activity that may reflect negatively on the
ICRC’simage;
§ Takes responsibility of own professional learning and development;
§ Participates actively in meetings, including replacing Logistics
CountryManager during his/her absence.
Requirements
Background and Experience
§ Minimum Bachelor degree or professional school of similar level
§ 2-year work experiences in a similar field
§ Good command of written and spoken English
§ Good command in local languages
§ Good Computer Knowledge
§ Confirmed capacity to adhere to general ICRC procedures
§ Methodical Person
§ Handles specific logistics files independently
§ Implements and runs basic logistics procedures
§ Negotiates basic contractual matters with external interlocutors
