To supportContract and Procurement Unit to small contract and procurement value
as wellas to manage the filing document (hard copy) and soft copy in DMS for
auditpurpose and proper filing system. In addition, this incumbent also will
supportthe Invoice Verification Unit to file all the payments and vouchers in
thecontract and procurement folder.

A. Responsibilities
· Overall smooth anduninterrupted functioning of the assigned area of
responsibility
· Organize and coordinate of allwork mechanisms
· Daily operational execution ofall affairs in the assigned area of
responsibility
· Good impression of the CountryOffice through a helpful attitude towards
the clients
· Well established communicationsto all frequently approached offices
B. Tasks
The incumbentperforms the following tasks:
· Support the Contract andProcurement Officer for small contract and
procurement processes
· Assist Contract and Procurementsection for filing
· Check the completeness ofcontract and procurement documents
· Labelling the contract andprocurement folder
· Manage and upload contractdocuments to DMS
· Support the tasks of contractand procurement section
· Monthly project procurementreport
· Assist in and/or carry outother tasks as assigned
· Performsother duties and tasks at the request of management
C. Requiredqualifications, competences and experience
Education
· Minimum Diploma III inAdministration/Secretarial, Accounting, or any
majors
Professional Experience
· At least 2 year of workexperience in handling the administration works
· Minimum 1 year of workingexperience as a procurement assistance
Other Qualifications
· Knowledgein SAP - CoSoft and ProSoft;
· Goodworking knowledge of computer programs (e.g. MSOffice, Excel);
· Excellentcommunication and administrative skills;
· Abilities to work in aninternational team;
· Proficiency in English bothwritten and spoken.
