the Observatory.

Featuring member organizations from Museums and Historic Sites of Greater
Cincinnati.
Date: Sunday July 28 from 1-4pm

Purpose: to promote MHS and its member organizations through a “history fair”.
Goal: increased awareness of MHS member sites resulting in increased
visitation and /or K-12 programming requests. Additionally any individual
participant’s goals.
Target Audience: Public, history buffs, and social studies teachers

Marketing Message: Cincinnati has an amazingly rich history. So rich that few
Cincinnatians have heard the stories of all the people and places that made
Cincinnati the “Queen City of the West". History organizations from Museums
and Historic Sites of Greater Cincinnati will gather at the Cincinnati
Observatory to showcase their community’s history, public & school programs
and upcoming events with hands-on exhibits, demos and presentations. All ages
welcome. A great resource for History Teachers.
About MHS: The Museums and Historic Sites of Greater Cincinnati (MHS) is a
community of small to mid-sized historic sites, libraries and museums, that
keeps Cincinnati’s history relevant through public and school programs, and
professional development for MHS member’s organizations and collaborations.
Ticket Information
Free Event.
No reservations are needed. Drop in anytime between 1 & 4pm
Event held rain or shine. (held outdoors or inside)
Max Number of Participating Organizations (see Venue Set Up):
In consideration of a rain plan and indoor space limitations the event will
be limited to approximately 18-19 organizations to ensure all participants
can be accommodated indoors if needed. Ideally the weather will be nice and
exhibitors can set up outside if they prefer. Participants have the option of
sharing a 6’ table.
To date we have 9 organizations signed up.

Venue Set Up: We’re envisioning it an outdoor fair however final layout
depends on the final number of participating organizations (18-19 max), the
weather plan (rain or too hot) and participant’s wishes.
Scenario #1
Providing enough tents are available: All participating MHS organizations set
up under pop-up tents along the walkways near and between the two buildings.
Observatory buildings open for tours of the Observatory and safe sun viewing
through the 174-year-old telescope (weather permitting).
Scenario #2
Providing enough tents are available: participating MHS organizations will
have a choice of setting up under pop-up tents along the walkway between the
two buildings or at a 6’ table inside one of the buildings.
Observatory buildings open for tours of the Observatory and safe sun viewing.
Scenario #3 (Rain/Weather Plan)
All participating MHS organizations set up at a 6’ table inside one of the
buildings.
Observatory buildings open for tours of the Observatory.
Cost to participate: Free for current MHS members except:
Small/inexpensive items (Mug, book, hat, etc) for a MHS Raffle/Silent
Auction Basket to be offered at the event. Proceeds to underwrite this or
future events.
Possible MHS cost sharing for marketing postcards (Vistaprint) and additional
tables if needed.
Member organizations contribute by promoting the event through the method(s)
of their choice
Exhibits / Displays
Exhibitors are encouraged to offer hands-on, interactive displays or
activities. Needs help or ideas? Reach out to your colleagues on the
Listserve or at an upcoming MHS meeting. (FYI, no MHS monthly meeting in June)
Sales / Donations:
There are no restrictions on offering items for sale or soliciting donations.
Staffing / Volunteers:
No limit to number of staff/volunteers from participating organizations.
Observatory staff/volunteers will be on hand to assist set up/teardown,
Observatory tours, sun viewing.
Set Up / Timeline:
11am: Observatory open for set up
12:30am: Exhibitors ready to the public (Observatory guests are notorious for
arriving early to our events)
1-4pm: Open to the public
4-5pm: Tear-down/ clean up
Tents, Tables, Chairs
The Observatory can provide on a first-come first served basis:
Ten 10x10’ pop up tents. #TBC
Twelve 6’x30” tables
Two 8’x30” tables
Navy Blue table linens
60 folding chairs
Participating members are responsible for their own table/tent signage/name
tags, etc.
Participating organizations are encouraged to provide their own tent & table
if they can.
Non-participating members are encouraged to loan their tent/tables for the
event.
