Hi everyone,
I have the following updates relating to the mailbox replacement
project:
1. The Board has come to a decision on the type of replacement mailboxes
and the vendor to use for mailbox installation. As of 3:30PM today, we
received the final quote and paid the deposit to begin work on the
mailbox replacement process.
2. We decided to upgrade the mailboxes to the latest USPS standard since
it offers much better protection against theft. Each mailbox will be 3"
high and 12" wide. This means that magazines and envelopes can lay flat
inside of each mailbox. We will also increase the number of parcel
boxes from 5 to 11, since that meets the current USPS standard.
3. The new mailboxes will be dark bronze and have the same numbers
engraved on them as they do today. Since the mailboxes are wider, we
will need additional room on the middle wall. The bulletin board will
need to be relocated-- potentially above the mailboxes.
4. The new mailboxes will be lower on the wall due to ADA compliance
reasons. The parcel boxes will be at the bottom. The lowest mailbox
will be 32" from the ground, while the highest one will be 55" from the
ground.
5. Everyone will need a new key to access the new mailboxes. We will
come up with a plan for key distribution, but ideally we will have keys
in your hands prior to the new mailboxes receiving mail. The goal is to
get each set of keys to the homeowner or resident in a way that is
acceptable to the homeowner. Ideas include going door to door to
deliver keys to homeowners during specific times, and also providing a
pickup table near the mailboxes on a couple of occasions. Eventually,
keys that are not picked up will be held by CMA for distribution.
Please expect a future communication about this topic shortly after
Thanksgiving.
6. I know that everyone will be disappointed to hear this, but it will
take four weeks for the new mailboxes to be manufactured plus another
week for installation. Manufacturing should begin next week. The new
ETA for operational mailboxes is Monday, December 16th. Once we receive
an expected shipping date from the vendor, I can update everyone with a
more accurate completion date. The framing work for the new mailboxes
will be performed while we wait for the new mailboxes to be
manufactured. The HOA has done their part to get the project started,
and we now have to wait on the vendors to do their part. We selected a
very responsive company who will coordinate the project with the post
office and the stucco/framing company.
Mail Delivery:
The post office has not been delivering mail to our mailboxes (at least
not my mailbox), but packages are being left at our front doors. If
anyone needs to pick up mail, they can do so at 400 Pryor St. SW between
9AM and 6PM on Mondays through Fridays and 9AM-1PM on Saturdays. Please
keep in mind that Monday is Veteran's Day, so the post office is likely
to be closed.
Security:
1. The gate code was changed a couple of weeks ago. The new code was
distributed via eblast (CMA's email system). A few of you reached out
to me stating that you didn't receive the eblast. I forwarded your
information to Clara who confirmed that you were not on the list. You
have since been added, and you will receive future eblasts.
2. We audited one day of the call box and noticed that some vendor codes
were being used to gain entry to the community. These vendor codes have
been disabled, so you might notice increased tailgaters as a result. We
recommend that you enter through the gates slowly if you are followed by
a tailgater, however, we do not suggest that you slam on your brakes or
have a confrontation. Please report the incident to 911 with a
description of the vehicle and license plate if you would like to do so.
