Hi Patsy, (I’m copying this to the list so everybody knows too)
Please put whatever is in the Neg No. column in the Neg No. Excel field just as
it is (i.e. 3-7 goes in as 3-7, 10-14 as 10-14). However you may hit a snag if
Excel tries to calculate that as a sum. If so you will need to set the format
of the whole column (Right click the header cell and select “Format Cells”) to
either “General” or “Text”. That will stop the program from trying to evaluate
the contents as an expression.
Now if you’ve got, say, “3-7” against one Assignment and “7-14” on the row
below that is fine – just enter it exactly as it is in the book. It happens
because each of those numbers represents a strip of 35mm negatives which can
contain up to six individual negatives. The photographer concerned will have
moved on from one assignment to the next and therefore the strip can contain
images from both jobs.
There will not be a problem when using the index to find specific negatives as
the searcher will just take the sheet containing those strips and the
difference between assignments should (?) be quite obvious. The numbers will
give a good guide to where the assignment change falls.
I hope that is all fairly clear though it’s not an easy concept to grasp for
anybody who has not seen the actual negative binders in which the sheets are
stored – perhaps later we can arrange a visit to the store for those
interested. It will be quite an experience! In the meantime please shout with
any more questions.
With regard the database software I’m going to repost the earlier email with
links and some additional notes. I’ve also now added parts of the software
manual which may help everybody with searching.

Sorry to be a pain but we were talking yesterday about negs being lumped
together like 3-7 do I actually put 3-7 or 3,4,5,6,7,and sometimes there may be
duplicate neg number with the latest being a different job. I can extend the
Assignment over several neg numbers but not the description (for instance
Farnham Carnival) as each photo would be different. I can't remember what your
Now for the other thing you sent - the Datapower Database. Haven't a clue how
to open that to see the screen you had yesterday on your computer. It seems I
may have to install an app. I just seem to have everything on Excel - the same
format as we are all working with.
