1. Tom got an estimate to do this work that was over $6000
2. We asked Tom to talk to Jim to see what he could do
3. Tom and Jim talked about it
4. Jim found a vendor that's doing it for around $3000
5. Jim thought he had authorization to go ahead after talking to Tom and
started the work
6. Meanwhile, Tom is still getting quotes to do the work thinking he had not
authorized it yet
So, there is a disconnect here between Tom (who is on this list) and Jim (who
is not,
but I've added to this one email). I am pleased we're getting the work done
for half
the price, but we need much better communications between Dase Management, the
vendors,
and this Board. I talk to both parties this morning and I am repeating it here
so
everyone can see.
1. Tom needs to be much clearer and precise in whether he is seeking quotes or
authorizing work.
2. Jim needs to be much better at providing written bids we can act on.
3. For expenditures of this size, only the Board can vote to finally select the
vendor
and approve the work. Because it is budgeted, we don't have to have a
Board meeting
to do this, we can just discuss here in email, which is archived and
available for
public view, should someone be interested in what we are approving.
In this case, we saved money, so there is no serious problem, I just want to
ensure
that Dase, the vendors, and this Board have complete clarity.

Jim just called me with the final numbers. The trimming will cost 3500 which
is a savings of 3000.
He will send a formal confirmation to Dase tonight
