Hi all,

As many of you know, I'm the parent volunteer who helps keep the mailing
list server running. I have children at CMS and CCHS and we were at Thoreau,
where I set up and ran an earlier incarnation of the web site and helped
with the transition to electronic announcements. This year I'm also managing
the CMS PTG e-mail list membership.

The list on which you are receiving this message, cc-lists@xxxxxxxxxxxxx, is
a new version of an earlier such list on lists.ptg-concord.org. Several of
you were on that list back when we were working through populating the PTG
lists from X2. I've included each school's PTG presidents, communication,
and e-mail list folks;  each school's principal; and Gene Warfel. A copy of
the list membership is appended, below. If you want off this list or think
someone else should be included, please let me know.

The reason for this list and this message is to start the conversation about
moving the lists off of lists.ptg-concord.org. This is a server, which also
goes by the name adrian.colonial.net, which the school district has
generously made available to the PTGs for many years. Some predecessors to
me set it up, I got involved, and took over the backend side of things when
they graduated. Over the years it has not always been a smooth or simple
operation and I've spent many hours fixing things. And the server is a cost
to the district, both as a capital asset, as well as a source of networking
problems: it is a spam magnet and, due to how the mailing list software
works, spam can flow through the server---though not to the lists---making
the server look like a source of spam to other systems.

On the district side, ConnectEd has been a great solution to the problem of
emergency communication via e-mail. There were times before that when the
schools would want to send an important message through the PTG list and the
system was down, putting stress on me, a parent volunteer, to fix the
system.

Since the start of the school year we've again had a round of issues:
colonial.net getting blacklisted as a spammer; the list server getting
blocked by big ISPs (AT&T, Earthlink). And folks concerned about not getting
out their messages or not receiving their messages.

Gene, as owner of colonial.net, and I, as volunteer admin, agree it is time
to retire adrian and find a new home (or homes) for the PTG lists.

I think these are the broad questions we need to consider:

*1. Should the PTG be responsible for mailing list systems carrying official
school messages? *

The daily announcements for CCHS and CMS contain a lot of school
information. In the old days these would have come home on school
letterhead. Coming from adrian, a school server, it makes some sense. But if
we move to (e.g.) cms-ptg@xxxxxxxxxxxxxxxx, should that really be carrying
information from the school to parents? Should we instead divide up the
school and PTG communications and have the school communications flow
through e.g. ConnectEd, and use the PTG list for lower-volume, PTG-only
information? (E.g. social events, fundraisers, etc.) Do we want the PTG
responsible when the system carrying school information is acting up?

*2. Should all the PTGs use the same mailing list system?*

The system we have now was originally set up for CMS and CCHS. We then added
the elementary schools. However, there really is no specific need for them
all to be on a single system. As long as each PTG is getting what it needs
done and has volunteers who can run it.

*3. Which mailing list system(s) should the PTG move to?*

Choices include big sites like Google Groups and Yahoo Groups or smaller
places like FreeLists (where this "meta-list" is hosted, as a way of
checking out its suitability).  There are pluses and minuses in all cases,
and we can get into the details of these choices as the conversation
progresses.
