Hi Scott!

I finally have time to read and comment on the new manual.

I'll answer your questions and make comments on the guide that I jotted down as I was reading. I read both the part that was on the web site and the Word file that I downloaded from the link in chapter 4. After reading, I think the Word document was what was new. Is that right?

Answers to Your Questions

Is the content accurate?
Yes. I like the new information that has been added including examples, which are helpful to clarify anything I was a little unsure of.

Is the scope of the manual broad enough?
Yes.  I cannot think of anything that I would like to see added.

Is the document accessible?

Yes.

Is the document navigable?
Yes. Each time I finished a section, I backed up a page, which put me where I finished off in the table of contents so I could follow the link to the next section.

Where we include graphics are they sufficiently described?

Yes, I knew there were screen shots. They did not hinder my reading in any way. It was a good idea they were included for those who can see them.

Is the document something you will be able to use for your own training or reference?
Yes. I want to put things that I know I need to remember into a shorter file so I can reference it quickly.

Is the document something you will be able to use as you train and mentor other volunteers?

I have not mentored anyone yet. The manual would be helpful for mentors andn learners alike, I think.

Here are things I jotted down while reading everything.

The Document on the Web Site

There is an added word:

"because many names of places and people (proper nouns), slang, as well as made-up
words will be not be recognized as legitimate words."

II.  Required proofreading steps

Under this section, a link reads:

UNDER CONTRUCTION ARE STEPS:  E,  F,  and L

4.7  C.  Proofreading using Microsoft Word 2003

I think the word "have" was meant in the following:

You do not need to move all page numbers to the tops of pages, but doing this on the pages that has chapter headings helps to protect the chapter headings
from being accidentally removed by a software tool

In the following step, she meant "contain".

12.  Standardize paragraph format
(This step is for books that do not contains tables.)

D.  Customizing Word 2003

This is another helpful section which I was hoping for, because the information was together in the section on Word. Especially when a new volunteer comes onboard, this information is needed, and I'm also glad it's there, because I will know how to reset something if anything ever gets changed in Word.

As I had asked for, thanks for including the point size for each element of a book. I felt unsure of this when I first became a volunteer.

Since I think I remember a list member asking about this a while back, the following section was a useful and welcom adition.

A.  Creating Written Descriptions of Pedigree and Ancestor Charts

I thought she meant "become" in this question:

Did reading the examples
make pedigree charts became understandable for them?

The Word Document

I downloaded and read the file "Volunteer Proofreading Guide, using MS Word.doc", and found it clear, informative and helpful.

I was very pleased to see the following examples, because I have labored over it in several books I have proofread, hoping I did the correct thing. I was not sure if there always had to be a page i in the front matter or what to do when the pages with Roman numerals didn't seem to match up correctly before the Arabic numbers took over as far as page numbering, even when it didn't seem that any pages were missing. Both of these examples will give a volunteer a solid foundation.

Example: The first page in the body of the book that has a number on it, is numbered "5".
        Also, there are pages before this page that do not have a page number.
Do this:        -       To the 4 pages before p. 5, add page numbers 1 to 4.
-       We call this "back-numbering".

It's OK if you back number and don't get to "1".
Example: The first page in the body of the book that has a number on it, is numbered "5".
        But there are only 2 pages before p. 5 that do not have a page number.
Do this:        -       To the 2 pages before p. 5, add page numbers 3 and 4.
        -       There will be no page that is numbered "1", and that's fine.
(In this example, there will also be no page that is numbered "2".)

ii.     Next, use Roman numerals
But... use Roman numerals only if you run out of Arabic numbers!
In other words, if you are back-numbering and you get to "1", and there are still more pages to put numbers on, then use Roman numerals.

Pages before p. 1 could be: the Title Page, Copyright Page, Table of Contents, blank pages, etc.
These pages before the body of the book are called "Front Matter".

Example: The first page in the body of the book that has a number on it, is numbered "5".
        There are 7 pages before this page, that do not have a page number.
Do this:        -       To the 4 pages before p. 5, add page numbers 1 to 4.
- To the 3 pages before the page that you just numbered "1", add Roman numerals "i" through "iii". - In this example then, the first pages in the file will now be numbered "i", "ii", "iii", "1", "2", "3", "4", "5", "6", "7", etc. - You will have added these page numbers: "i", "ii", "iii", "1", "2", "3", "4" & "5".

The examples illustrating the proper form of the elipsis within a sentence was helpful.

Has the length of the brief synopsis been increased?

i.      Brief Synopsis  Must be less than 500 characters.

It has been a little difficult to contain a short synopsis whithin the 50-word limit. I have wished that it could have been 60 words for an upper limit sometimes. I divided 500 by 8 and got 62.5, guessing that eight characters might be a word. How many characters are considered a word?

Are the following instructions only for books that have been submitted with a hold for a certain proofreader? I would like to do what is most helpful for the QC staff.

6) Please rename the book by adding "HOLD FOR RICK " to the beginning of the book title.
This tags the book and really helps us!
Example:        For a book that had this title:
"Hold for Larry L.: Access to Medical Knowledge: Libraries, Digitization and the Public Good"
please rename the title to:
"HOLD FOR RICK Access to Medical Knowledge: Libraries, Digitization and the Public Good" After the book has been QC'd, we will of course remove the staff's name from the book title so it becomes: "Access To Medical Knowledge"

I finished proofreading a book last afternoon and checked it in. Since I offered to proofread this particular book, the scanner submitted it as"

hold for Debbie Franson Lost Traveler

Of course, when I checked in the finished proof, I reduced the book title to:

Lost Traveler

Per these instructions from the doc file, should I have checked it in as "HOLD FOR RICK Lost Traveler"?

The following step is one I need to get in the habit of doing. I think I remember a post to the list about it a few months ago.

D.      Please email me as soon as you've finished uploading your book
Please mention the title of the book. The email could be as short as having only a Subject Line, saying:
Just uploaded "HOLD FOR RICK Access To Medical Knowledge"
We can't be aware when each finished proof is uploaded so it's particularly helpful if you might be so kind as to do this step! We can get your book into the collection faster and streamline our QC process as well.

The Glossary.

There is one typo, though overall, the Glossary is fine.

Bookshare usage: Data about a book, such as the title, author, ISBN number, publisher,
synopis, etc.

I hope I was helpful and not too nitpicky.

This text-centric strategy is to facilitate rapid reading for blind volunteers. The screenshots themselves may more often be useful to sighted-volunteers and were positioned deeper as they do not apply to all volunteers.)

Is the document something you will be able to use for your own training or reference?

Is the document something you will be able to use as you train and mentor other volunteers? If not, please make suggestions either on changes to this document or on new resources that would help you mentor others.)
