Advanced Printing Options

Introduction:
You already know how to print, but in this lesson you will learn those
extra jobs that come up from time to time. . This lesson explains;
*how to print more than one copy of a document,
* print on both sides of the page,
* print specific pages of a document.

Lets begin .
Select File → Print from the menu.

The Print dialog box appears.
Note: The Print dialog box is where you can specify printing options when
you print your document.
Several frequently used print options you might specify would be;
* how many pages to print,
* what pages to print,
* to print a selected paragraph,
* to print in landscape form,
* to print on both sides of the page.

To Print more than one copy of a document:
Step 1
Select File - Alt and F.
Step 2
Click on or down arrow to Print and enter.
Step 3
The first option in the Print dialogue box is Number of Copies and it is
here you can either up and down arrow to select how many copies you require
or just type in the number you wish to print off.
Step 4
Now just click or tab to OK and enter.
The Print dialog box closes and Word prints the required copies of your
document.

Page Range:
This allows you to specify what pages you want printed. There are several
options
here:

Pages: Prints only the pages you specify. Select a range of pages with a
hyphen (5-8) and separate single pages with a comma (3,7).
For Example:

To print a range of pages in a document from page 5 to 11:
Step 1
Select File - Alt and F.
Step 2
Click on or down arrow to Print and enter.
Step 3
Shift and tab once and type in 5-11.
Step 4
Click or tab to Ok and enter.
The dialogue box now closes and will print pages 5 to 11 inclusive from your
document.

To Print single or individual pages for example pages 4, page 8 and page 12:
Step 1
Select File - Alt and F.
Step 2
Click or down arrow to Print and enter.
Step 3
Shift and tab once and type in exactly as follows including the commas:
4,8,12
Step 4
Now Click or tab to Ok and enter.
The dialogue box now closes and prints off pages 4, 8 and 12 only of your
document.

Selection: Prints only selected text. This option allows you to print just
a selected portion of your document for example a paragraph, sentence or
bullet points etc. It is necessary for you to select the required text
first and then follow the below instructions:
Step 1
Select File - Alt and F.
Step 2
Click or down arrow to Print and enter.
Step 3
Shift and tab twice and you will hear All range radio button checked. Here
you down arrow until you hear Selection radio button checked.
Step4
Now just Click or tab to the OK button and enter.
Your selected text will now be sent to the printer and the print dialogue
box will close.
( Landscape position)

To print a document in landscape form rather than portrait, could be
described as printing on the long edge of the page rather than the short
edge. To do this just follow the below instructions:

Step 1
Select File - Alt and F.
Step 2
Click or down arrow to Print and enter.
Step 3
Click or tab to Properties and enter.
Step4
Click or tab about 6 times to where you can choose Portrait or Landscape and
down arrow to select Landscape.
Step 5
Then tab to OK and enter.
Step 6
Now tab to Close and enter.
The Print dialogue box will now close and your document will now be printed
on the long edge of the paper.
Note: You will have to go back into Print Properties to revert the print
layout to Portrait for future use.

Other Options for printing are:

All: Prints the entire document.

Current page: Prints only the page you're currently on.

Print to file
Prints the document to a file instead of sending it to the printer.

Print what
Allows you to select what to print: the document (the default, which you'll
use 99.9 of the time) or only comments, annotations, or style.

Print
Specifies the print order for the page range: All Pages in Range, Odd Pages,
and Even Pages.

Options
Lets you specify other printing options, such as printing a document in
reverse order (from the last page to the first).

Print on both sides of the paper (duplex printing)

Some printers automatically print on both sides of a page (automatic duplex
printing); other printers allow you to manually reinsert pages to print the
second side (manual duplex printing); and some printers do not support
duplex printing at all. To find out whether your printer supports duplex
printing, you can check the printer manual, contact the printer
manufacturer, or check the printer's properties by clicking Properties in
the Print dialog box.

To manually set up a printer to print to both sides of a sheet of paper

With some printers, you can use the Manual duplex check box under Printer in
the Print dialog box. Word will print all of the pages that appear on one
side of the paper and then prompt you to turn the stack over and feed the
pages into the printer again.

You can also use the following procedure to set up your printer for manual
duplex printing:
Step 1
On the File menu, click Print - Alt and F and down arrow to Print and enter.

Step 2
In the lower-left corner of the Print dialog box, in the Print box, click
Odd pages.
For Screen Readers just tab three times to All pages in Range and down arrow
to Odd Pages.
Step 3
Click or tab to OK and enter.
Step 4
After the odd pages are printed, flip the stack of pages over, and then in
the Print dialog box, click Even pages.
For Screen Readers just repeat step 2and down arrow this time to Even Pages.
Step 5
Click or tab to OK and enter.
You will now have your document printed on both sides of the paper.
