Hello Sean, "I have received an email with an attached form in word format, which needs to be completed and returned. I have no problem going into the attachment and reading it. Please advise on filling in details and returning form to sender." Sean, there is no clear cut way of filling in such word forms as most of them tend to be created in a very basic way. Normally when you have a question to answer in word forms it might be written in the following way; "What is your first name:" Note the presense of a Kolin after the question. If this exists in the word form questions for you then I would just write in my answers after that. For example, "what is your name: Paul". "When I press start button & m to go into my documents I notice that all the files/documents are listed horizontally. Can I list them vertically?" To list all your files vertically in the my documents folders, do the following; 1. Go into "my documents". 2 go into the view menu with alt + V. 3. Now press the letter L for list. 4. Now go into the tools menu and down arrow to "folder options", press the enter key. 5. When in here, press keys "control + tab" and ou will be in a tab page called view. 6. Now you will also be on the "view reset button so just hit the "spacebar" and you will be asked if you are sure you want to have this view for all your folders, just tab to ok or yes and press the enter key. 7. Tab to the ok button and press the enter key to finish. Paul. Many thanks Sean Kavanagh -----Original Message----- From: vip_students-bounce@xxxxxxxxxxxxx [mailto:vip_students-bounce@xxxxxxxxxxxxx]On Behalf Of Paul Traynor Sent: 25 June 2007 22:50 To: vip_students@xxxxxxxxxxxxx Subject: [vip_students] Outlook: Creating rules! Introduction: Lets take a typical situation where a user wants to save valuable emails that come into his or her inbox say on a daily basis such as these wonderful tutorials that yours truly writes up,*smiles*. I would like to have them go into a separate folder apart from my inbox. So what I need to do is create a rule for this to happen. My rule must perform the following job; *. Any emails that come in from the VIP_Students list must go into this folder so I can then have them all tidy and neat in a separate folder of their own where I can review them at any time I want. Now that I understand what I want, lets go make it happen. Step 1. Creating the folder. We must be in the Inbox at this point. Now using keys, "control + shift + letter E" we can activate the new folder dialogue box. Step 2. Once we have activated the new folder dialogue box it only remains for us to type in a folder name. for this part I will call my new folder, "VIPs". Step 3. I press enter key after I have typed in the name of the folder and its done. I have now created a place where my VIP student mails can go into when they come during the day. Step 4. Creating the rule. To begin creating the rule, we must first arrow down to at least one of the current emails we may have received from the VIP_Student list. We need to use one of the list emails from the group to base our rule upon. Step 5. When we have arrowed to a list email, we are now ready to bring up the rules wizard and to do this we need to press the "application key". When we press this key we have the following choices; Open Print Reply Reply to All Forward Follow Up Mark as Read Categories... Find All *Create Rule... Junk E-mail Delete Move to Folder... Options... Note: I have placed a star next to the choice we require. We need to press the enter key on this choice to start the rules wizard. Step 6. After we have pressed enter key on this choice we have the following; When I get e-mail with all of the selected conditions From vip_students@xxxxxxxxxxxxx The above first choice you have to make is , do I want to use the email shown in this example to be the email address I base my rule on. I always use this option so you can check this one with your spacebar. If it were for a different list then you would most likely have a different email address to check on. This information tells the rule that all messages with the above email address can go into the folder we will select for them. (Subject contains Outlook tutorial.) The line above is another option you can check if you don't wish to use the email for to base your rules on. So here we can choose to have the subject as our guide for the rule. I don't like this option for my rules as it can vary too much and throw the rule off somewhat. I suggest you do not check this option. (Sent to me only) The option can also be skipped in this case as its not ideal for our rule. Do the following Display in the New Item Alert window Play a selected sound: notify.wav Browse... Likewise you can also skip the above items as in all my time creating rules in outlook I haven't used those choices. (Move e-mail to folder: checkbox!) When you tab around and come to the checkbox mentioned above, also check it with your spacebar. This indicates that you wish to move the messages with the email address we checked earlier into a folder. (Select Folder button...) Now you need to press the spacebar on his button. Its here we can bring up our list of existing folders that we have in our Microsoft outlook. This includes a list such as the following; Folder list; Personal Folders Deleted Items Drafts Inbox Dolphin Jaws Kurzweil Speakup *VIP (4) Vista Windows Wineyes Junk E-mail [7] Outbox RSS Feeds Sent Items Calendar Contacts Tasks End of list. Step 7. Its when we bring up this folder list that we need to use our arrow keys to arrow through it and find the folder we created in the beginning. So once we have moved around and finally found the "VIP folder", we are ready to move on. Step. Tab once to the OK button and press the spacebar. Step 9. Once again just tab once to a second ok button and hit the spacebar. Step 10. Now you should have the following screen come up; Success The rule "VIP_Students" has been created. Run this rule now on messages already in the current folder "checkbox not checked" Once you get this screen up you need to check the checkbox above where it says "run the rule now on messages in the folder. If you tab around the screen you will eventually come upon it. Tip If you do a reverse tab you will land on it first time. Use the spacebar to check it. (OK ) Now tab key till you c come to the Ok button and hit the spacebar once again. If the rule has been made correctly and you have followed the instructions correctly then at this point all mail from the VIP students list that is currently in your inbox should now be automatically moved into the VIP folder you created and also all future VIP_Student mails that come in will go straight into the VIP folder. ******************************************************************** NOTICE: The information contained in this email and any attachments is confidential and may be privileged.
