i agree with the indications included in Francesca’s e-mail. I know we are not
translators, but still we need to provide what we promised (and eventually we
should have promised something different in first instance… but now is too
late. We all agreed on the project proposal and now is too late to change our
mind). In Bologna we have dedicated part of the budget to appoint one person to
take care of the translation into Italian, and the same is what we suggest all
partners to do. Of course, as stated in the meeting, we are not in the position
to physically force you to do so, but indeed the decision to reduce the quality
of one language translation by a single partner cannot affect all other
partners if funds are cut by the EU afterward.
We are trying to find a common solution with RUAF for what concern translation
in Dutch based on the habits on English knowledge in the Netherlands, but still
we cannot be sure that it will be accepted by the EU (and cannot take share
responsibility on this either).
What we agreed in Bologna is included in the minutes circulated by Maria
Angela, and we actually do not have any more time to re-discuss it.
Concerning the other two points (IO3/IO2 and visits in Paris), I also agree
with Francesca (but let you to decide about the technical visits if you have a
feasible solution for moving the participants around the city).

I want to express again my opinion, but shortly, as you already know it. The
project coordinator and the other partners will react soon.
The Application form clearly states that we have to deliver 5 modules in 5
languages. “Number of language version of Modules and Resources: 5” is a
quantitative indicator of the project which will be carefully checked by AN.
Of course UGT Modules could have been shorter than they are (we “only promised”
at least 1 newly developed resources for each of them, but indeed developed
much more), anyway whithin the total course duration of 150 h.
There is also written in the AF that the final version of UGT modules and
resources will be published on the project web site, Open educational platforms
and diffused to national and international stakeholders.
On the other side the minutes circulated by Maria Angela last 30/11 are really
clear about finalisation of I02 (pdf file downloadble from the web site).
We did not hear any comment about that (see pag. 4 of the minutes), therefore I
don’t consider this issue as pending.
In addittion in my opinion you confuse the brochure (to disseminate the IO3
reccomandation to policy makers) with IO2 (teaching / learning material, whose
format is text file, video, interactive resources). They are different project
outcomes (the brochure is not a result by a tool for dissemination) and one can
not replace the other.
Concerning the conference, my concerns is that it is not realistic to say that
76 people will move all together around Paris to visit UA experiences (to say
that full day 1 is all multiplier event).

Dear All,
Many thanks to Emmanuel for asking for clarification (what is not so clear from
the minutes) and for Francesca to answer. I am however sorry to tell that
during the last business meeting in Bologna, some concerns were raised about
both the translation load in national languages, and intellectual property
rights and free access to the deliverables of UGT, and the solutions were
pending.
A/ Translation into national languages was agreed provided that the load is
reduced (by 50%) compared to the stage in November 2016. It appears that the
clean-up of each module is not reducing so much the size of each of them. Our
competence and duty is not translation, and what can be smoothly done for the
bulletin, the website or the video cannot for 5x40-50 Word pages. The
alternative is to use an automatic translator, with poor quality but compliance
with the formal request. Is it what we want?
The suggestion of Emmanuel is to draft a comprehensive summary of all modules
and to translate it into national languages, this summary being used as the
dissemination brochure of UGT (including pictures, schemes and tables when
necessary). This editorial activity can be covered by one partner (SUWAS
proposed to) or subcontracted (by an editorial/scriptorial agency such as
WRENMedia for instance, with which I'm used to work on other projects). We
could give to such a contractant all our draft materials in English and the TOR
to synthesize all within 15-20 pages. The other advantage is to get a final
product (in English) homogeneous and harmonized.
B/ With regards to the free public access to any delivrable produced by UGT,
Maria Angela was clear that some restricted access was possible as long as not
by payment: it can be according to an online registration process, for
instance. However, this restriction possibility is not mentioned in the last
version of the IPR contract and in the design of the website.
C/ Last comment about the international event in Paris: the first day (UGT
reports + visits) can be considered as the mandatory event with participant's
signatures, and the second day not. It is important for us to close the event
with a meeting session (also to discuss about what has been seen and the next
step), not with visits, reason for splitting the visits this way.
With very little time left and still lot to be done, we cannot ignore all the
constraints already mentioned during the past meetings and we shall find
practical solutions. I think that some of them have been listed above.

We had yesterday several meetings about UGT with Rémi and Aurore (Vegepolys).
1/ The final conference in Paris
We discussed this with Christine Aubry, who is located in Paris and specialist
of Urban Agriculture as you know. She is willing to participate.
We propose a 2 days format for all participants:
- day 1 am : UGT reports by UGT partners
- day 1 pm : visits UA entrepreneurial experiences
- day 2 am : visits UA entrepreneurial experiences
- day 2 pm : Discussion with stakeholders and UGT partners on 1/ skills and
needs, 2/ UA Entrepreneurship, 3/ needs for better coordination
But we should add at least a half day to close UGT issues and discuss the
perspectives (actions, new project...)
We wish to take this opportunity to launch an annual meeting about research and
higher education on urban agricutlure in France.
As summer 20017 was the objective, the dates (for availability reasons in
Paris) would be 10-13 july (preferred) or 6-7 july. Of course, UGT partners
need to be well represented. I can prepare a doodle to decide the best dates.
Actually, we need to decide soon, in order to make some advertisement in a
month from now (for recall the objective is 72 national particpants and 4
international besides UGT partners).
As a recall, the budget is only for non UGT participants. It will be the final
UGT meeting, and your participation would be financed by your respective UGT
meetings budget.
Many thanks for the proposal. I suggest to have 1 full day of conference and 1
day for optional visits. Please note that you’ll be re-funded by AN on the
basis of the n. of signature s/participants (external to the consortiutm AND to
the partners’organisation!). It is safer if you consider the signatures of the
1st day of conference on site, having the second day for visiting UA
experiences more free in terms of n. of participants.
2/ Translation of UGT course on national langages
The idea is to increase impact and dissemination. Therefore, I support the idea
to have a Portuguese version instead of NL (even if we could consider
spanish...).
The main point is the cost of translation. For time and skills reasons, we will
ask a translator to do the job of translation in French (but we will do the
final editing). We can use our UGT budget for that. Based on modules 1to 4
(only the .doc document), it represents 82949 words and a rough potential cost
of 11612€! We are looking for precise estimates. However, the questions are the
following :
- It could be a good idea to make a shorter version for the web site and in
various langages to meet the requirements, and keep the long one in english
- is it clear that we translate only the word document, but not the ppt or
other links?
Well, Emmanuel, when developing IO2 you (all) should have taken into
consideration both the requirement from AF in terms of expected results and the
effort required for translation. I think IO2 has been over-developed and the
version 2 represented the occasion to cut and shorten the Modules after testing.
Translation (considered as adaption and localisation of modules to the national
context) is also part of IO2 staff days.
I mean that an adaption of Modules to national context is good for the project,
but not to reduce the translation effort or the lenght of modules (which
should be more or less the same for the all national version).
Concerning PPTs (attachment to Modules) we said to not translate them into
national languages, as they represent only part of Modules’ resources ( most of
Modules resources being already included in the doc file) and also because
there is not enough room on the UGT web site for hosting all PPTs in different
language versions.
In case you want to replace a PPT in EN with an existing ones in national
language this is OK (and even welcome, let’s say) but please note that national
version of PPTs should be uploaded on your organisation’s web site (more
details to be agreed with Mammut). Same apply to NL version of IO2 (RUAF).
3/ UGT course freely available on UGT website
It is agreed to make it available on UGT website to meet EU requirements.
However :
- even if freely accessible it can be interesting to know who is accessing, for
example through an automatic instant authorisation (no login as moodle)
- to have it freely available on UGT website as pages that people can consult
is very different from a document that people can download (as it is the case
from your example, as well for the ppts linked to the document). The content
should be consultable but not downloadable in extenso.
- in this regards, the IPR agreement is not very precise and may be reviewed (I
checked, it is the august version, there is no new version following Bologa
meeting?)
The decision to make downloadable the modules from the web site has been taken
during last meeting and reported in the minutes. The minutes have been approved
by the consortium. The work flow for this has been set up, including test on
UGT web site. You can see as a metter of fact Emmanuel that we can not
re-nogotiate this decision. It will affect all the project work in the next
months and the possibility to reach the project goal in the few months left.
Doesn’t make really sense to protect further the PDF as it can be copied anyway
and anytime in different ways.
4/ UGT brochure or book
Not clear what is the brochure about. From a previous message I understood that
the idea of a publication was abandoned because of too much work. We still
think that to have abook or kind of brochure is a good and nice output of UGT
and to mutualize the budget to SWUAS is OK. Of course, it should not require
too much extra work. A lot of material is present through the modules documents
in word format. We could produce a brochure from that as differents chapters,
or from the shorter version as suggested above.
In the AF pag. 83 we can see that UNIBO, AGREE AND SWUAS have allocated 1500
under Exceptional cost (75% rembursed) for printing information and awareness
materials: brochure illustrating the model of curriculum, the collaborative
methodology and the policy reccomandentations as resulting from Activities
linekd to O3 development. RUAF has 3500 also for designing the brochure.
We can make modification on this but we have to inform the Agency before
implementing anything different from the AF .
I was raising the issue again now because I think that
a) we can take the opportunity of the email to the NA about the multiplier
events also for informing about plans related to this execptional cost and the
expected brochure (change in content, format, allocation of funds, etc. if you
have any ideas of different and more suitable awareness materials
b) if we want to use the brocure printed in all languages by end of May (events
in DE and IT) and beg, of July in FR we need to start working on it before end
of March or at least appoint 1or 2 partners to work on it and to present a
draft during the project meeting.
So please let us me know who is going to take care of that.

So please read carefully this long email below.
This skype call was meant to discuss some pending issues that might be too late
by end of March.
More specifically, as we might need to request the National Agency’s
authorisation for anticipating the national multiplier event in NL to end of
March (taking the occasion of the partners meeting), I thought this could be a
good occasion to see what further (slight) modification in the work programme
(translations, events, final conference, brochure, etc.) you might need, and
possibly notify the Agency about that (if needed).
Since NA’s replies are not usually quick nor fast, we have to get in touch with
it in short time (mid February?), and this might be the last request of
authorisation for UGT.
Anyway, If you don’t find the time for a skype call, we can exchange via email
and possibly collect your requests for slight modifications on activities and
results expected from your organisation in the AF. Please send your request (if
any) by 08/02 the very latest.
If we don’t hear from you, we will consider that you don’t have any particular
problem or concern in respecting what is written in the Application Form as
well as in the last meeting minutes in terms of expected activities, time
planning and results.
More specifically with regards to the agenda of the skype call, I would like to
raise your attention on the following pending issues:
- Project Brochure: it should be diffused during national multiplier events and
final conference, i.e to be ready by end of May (?). Therefore to decide about
this topic by end of March is too late. See also minutes of the last meeting in
Bologna. Are we able to produce a printed material based on IO3 content by end
of May (all languages)? Who coordinates this work? How are you going to use the
budget allocated to you under the Other Cost category? Shell we stick to the
decision taken in April to allocate all this budget to SWUAS? Should we take
the opportunity to ask AN to a) change the content of the brochure or b) to use
this budget in a different way? Which ones?
- Multiplier events and final conference : Let us know if you are going to make
any change in time / content of the multiplier events (also for the final
conference, which was mentioned as part of / or linked to an ISHS event?).
Please refer to the original AF.
-IO2 translation in NL: Please Mariella get in contact as soon as possible
with the project coordinator (in particular with Francesco and Maria Angela)
about the translation in NL and the final proposal by RUAF on this regards.
I would have taken the opportunity of the skype call also to ask your feedback
on the IO3 draft table of contents, as well as for exchanging on IO2 final
version, but I’ll send separate emails about these issues.

Could we consider also the afternoons? It is not possible on the 2 mornings for
