Considering the learning experience from the marathon waiver, anything we
hand out could be consider official.

But my major concern was that we did not have anything available at the
last meeting as to where the Flat Iron site is.  What we need is some way
to be able to answer a question like: who was the last person to create a
Thunderbird Park Public Star Party hand out?

A text file would do fine.  Anything not simply searchable would be too
complex and prone to be unused.  A text file could be searched easily by
a browser.
