[sac-board] Re: New Duty for the Secretary (A Proposal)

SAC Board,

I agreed to be Secretary because I take notes anyway. I know it is an easy
job with a lot less to do than treasurer.

I’m not qualified to keep a computer library. I don’t want to be qualified
to keep a computer library. As a matter of fact, I don’t even want to be
sitting at the computer typing this email.

To publicly propose a new job description for a voluntary position AFTER the
nominee accepts is just plain bizarre to me and doesn’t make a good
precedent for filling future vacancies.

The last time I was secretary there was a motion to eliminate the position
altogether.

Therefore, I think I would like to propose combining the Treasurer,
Secretary, and SAC Handout Tracker/Maintainer duties to address the
imbalance of work between Treasurer and Vice President.

Respectfully submitted,

Jennifer Polakis

While I was composing the letter about the GCU room rental, I has a
quick thought on the imbalance of work between the secretary and
treasurer. While this letter should come from the secretary, I already
had most of the work done with the same letter I wrote 30 months ago. But
the thought still stuck as to what the secretary could do more for SAC.

I would like to propose the following duty for future secretaries:

Track and maintain all SAC handouts.

I'm not proposing that the secretary actually create these handouts, but
rather keep copies of current handouts and a computer library of all past
versions, including the source files (Word, ODF, or TeX files; with the
resulting files being PDFs). The people creating the handouts should be
tracked too, so updates can be requested. This would allow SAC to have
one person who knows about all club handouts.

If someone needs a copy, the secretary can E-mail it. If a handout needs
to be updated, the secretary can ask the creator for a new version or
give the source material(s) to someone else for an update or new version.

Is this feasible? Worth the effort?

Paul;

I think that is a great idea. We would have a single person to contact
when a handout for a public star party or Messier Marathon is needed.

Paul, while this is a good idea the implication is the secretary must have
e-mail capabilities. Yet I don't think this should be something to stop the
idea. We just have to be sure future secretaries have internet
capabilities.

Count me in,

Actually, SAC's constitution already says this before the entry about
taking minutes.

The Secretary will be custodian of all official documents and
records of the organization and shall, with the President when
properly authorized, execute all legal documents in the name of
the organization and shall perform other duties delegated to
her/him:

I don't think directions to the observing site is too much of a stretch.

Yes, I understood the context, but was simply stating that allowing
anonymous access would be unusual... not that it couldn't be useful in this
situation. File access for the 'general public' can be accommodated via
their web browser without having to utilize ftp. I would only see the need
for ftp for the person responsible for 'putting' files on the server, not
necessarily for someone 'getting' them.

I mentioned "anonymous" because there is just about zero interest in these
files outside of SAC, and an equal chance that anybody would want to harm
them or steal them.
