I'm not hooked on word merge, it's just that the data needs to be put
into a word letter. If I could merge all the other information into a
letter and knew how to include the pivot table that would be great.
Just so you know Ray, the list of items can exceed 300 although most
persons only have 8 - 12 items in their list. The number of letters we
send daily is about 150...during the slow period. /g

Glenda,
Do you have to do this as a Word merge? It would be a piece of cake to
import the Access data into Excel and then a simple pivot table would
give you exactly what you seem to need.

Access data that lists a header and items with values such as in my

could 'splain whut she's talkin about and mebby how-to. "Basically, you
create a function in Access VBA and use it as a query expression in your
data source. The function takes the ID and puts together the "many"
data, followed by the total, in a tab-delimited string."
