[micisusers] Options for capturing MI-CIS data to transfer to a different system

The following message is for MI-CIS users who are looking for copies of
their MI-CIS student data so that they can convert it to alternate software.

 

One of the tasks you will likely desire to perform as you purchase or
develop Student Information Systems to replace MI-CIS will be transferring
the entered data in MI-CIS to the new product.  The following describes
options used by districts that have already left MI-CIS and new capabilities
that are being developed.  With any of these options, the output file from
MI-CIS is given to your vendor/developer, who will be responsible for the
conversion effort, accurately placing the MI-CIS fields in the correct spots
of the new database.  Options for Special Ed data are followed by
alternatives for Early On.

 

For Special Education data

1.       You can use the Ad Hoc reports in the My Reports item of the MI-CIS
menu.  You can select Active or Exited records and specify the data fields
you want.  Choosing the "Excel Only" output format allows you to choose as
many fields as are listed.  One drawback is that only one instance is
provided when MI-CIS stores multiples; that is, only the Primary
program/service, only the Initial and Last IEPs, etc.  This option is
available immediately.

 

2.       You can select the excel Export Special Ed Periodic Count Data
report in the Data Exchange menu.  This contains most of the data fields
submitted for the Fall MSDS collection, including address information.   The
main drawbacks are a limited number of fields and an increasingly
out-of-date set of information.  This option is available immediately for
the 3Win collection.  It will be available for the October 5, 2011Fall
Combined Collection along with the Data Portraits, which should be available
shortly.

 

3.       You can ask for ECS to produce a set of three excel files for all
active student records currently in MI-CIS.  The set includes all programs
and services and multiple IEP Plan records.  The files are placed in a
Footprints "issue"; Footprints is a secure site.  It usually takes a week
for the files to be produced and delivered.

 

4.       For eIEP users, a new export capability is being developed.  Right
now, you can generate historical PDF files for eIEPS and create progress
reports, one student at a time.  The new feature would create a batch file
for the eIEPs and/or progress reports of your selected active or exited
students . The planned function will be part of the MI-CIS menu structure so
that the file download can be secure.  The export function is expected to be
available in one month.

 

5.       Also for eIEP users, a new export capability for the data fields
entered for currently active merged eIEPs is being developed.  An excel file
of the eIEP content, including text fields, will be part of the MI-CIS menu
structure so that the file download can be secure.  The export function is
expected to be available in one month.

 

6.       Once an MSDS collection is completed, the submitted data for a
specific district is available in an excel file.  The fields are limited,
and the Combined Collection now contains all student records, not just
Special Ed.

 

 

 

For Early On data

in the Data Exchange menu.  This contains most of the data fields submitted
for the Early On MI-CIS collections, including address information.   The
main drawbacks are a limited number of fields and an increasingly
out-of-date set of information.  This option is available immediately for
the December 2011 and all previous collections.  It will be available for
the June 2012 Collection along with the Data Portraits; we hope this will be
around September 1, 2012.

 

3.       An export capability is being developed that will place most of the
fields for Early On children into a set of excel files.  It will include all
services and multiple IFSP records.  We expect it will take about a week to
produce and will be communicated through a Footprints ticket, like its
Special Ed counterpart.  The file layout should be settled and the
capability available by May 1.
