RE: Formatting in Microsoft Word

Hi Chris,

I used this yesterday to design a table of contents.  It was very
straightforward, though I didn't know how to mark the items I wanted
included.  I think I was making it harder than need be.  Turns out, I'd
select what I wanted, then press Alt-Shift-O, and a dialog box would appear
that asked me at what level I wanted the item added.  It was easy.

Then I ran the Table of contents, and it designed the contents for me, with
hyperlinks, correct page numbers and everything.

I just wish I knew if it looked right.  Of course it should, as Microsoft
Word designed it, but it feels incomplete.  I wonder if it looks
aesthetically correct.

I also built a table yesterday to represent a title page.  This way I can
show revisions to the document, and other updates, including their dates,
the author of the revision, etc.

Now I wonder if I should center that table top to bottom on the page.  Would
it look better that way to sighted folks?  I wonder things like that.
Should I give it some color, do something to alleviate the black and white
of the document?  It's going to be a lengthy semi-technical document.  My
mind says not too much formatting, as it distracts from the content, but I
don't know what's best.

Doug is quite correct, Word does have an automatic Table of Contents
feature.  If you use the Heading-1, Heading-2, Heading-3 etc styles within
your document, you can then use the TOC function.  You can set it to how
many levels of heading should be included in the TOC (ie setting it to 3
will only show details up to Heading-3 in the TOC list).  

To use, place your cursor at the point you want to insert the TOC,select the
Reference sub-menu from the Insert menu then select the Index and Tables
sub-menu.  Now press Control + tab to get to the Table of Contents tab, fill
in the info and press OK.

If you subsequently amend your document after the TOC has been inserted,
simply place your cursor anywherre in the TOC and press the Applications
key.  From the menu select  'Update field'.  This will then ask if you want
to update the entire TOC or just the page numbers.  Select the one you want
and press OK.

I've used it for years, it's very easy to use and very effective.

If you want a header on the second and following pages, you must go to page
2 and insert the header information a second time or it will not show up on
subsequent pages.

Word has a table of contents function that will bring all headings into the
table automatically.  I have never used it, but I assume it has formatting
built into the function.

There is also a create tables function.  It will create tables with equally
spaced columns of different widths depending on how many columns you want.
It will also let you set different widths if, say, you wanted a wider left
column to allow for a longer row title.    To addd rows to a table,
place
the cursor at the right end of the bottom right cell and hit tab.  A table
title is easiest placed outside the table and can be centered as any other
text can be.

That's a tall order, Laura.  Header is probably the easiest thing.

Go to the view menu, and arrow down to header and footer and press enter.
this should put you in the header/footer pane, where you would enter your
header information.  If you press insert-f, Jaws should give you a lot of
information about font and such, including the words 'header style'.  Maybe.
depending on your version of JAWS.

You format a header the way you would do text, centering, bolding and so on.
If you down arrow a couple of times you will be in the footer pane, be
aware.

When you are finished with the header go back to the view menu and choose
normal so the pane goes away.

Once you are no longer in pane (sorry about that), you can read the header
with insert-f1, or in print preview with the JAWS cursor.
